Use Custom Instructions for standing directions about how ChatGPT should respond, ChatGPT Memory for personal details and preferences that can improve future chats, and a personal knowledge base for reference material you want to organize and keep beyond ChatGPT. They serve different purposes, and you can use all three.
Choose a place by the kind of information
| Where it goes | Best for | What to keep in mind |
|---|---|---|
| Custom Instructions | Explicit, recurring directions about what ChatGPT should know or how it should answer—for example, a preferred tone or a recurring constraint. | You maintain the guidance, and it applies within the ChatGPT experience. OpenAI describes Custom Instructions as direct guidance about what you want ChatGPT to know and how you want it to respond. OpenAI’s explanation. |
| Saved Memory | Personal details and preferences that may help personalize future ChatGPT conversations. | ChatGPT decides what context is relevant; Memory is not a complete archive of everything you have said. OpenAI’s Memory guide. |
| Reference to chat history | Useful context from earlier chats that you have not deliberately saved as a fixed memory. | What ChatGPT draws from past chats can change over time, and it may not retain every detail. OpenAI’s Memory guide. |
| Personal knowledge base | Notes, project material, and other reference information you want to organize, preserve, or use beyond one AI conversation. | You choose how it is stored and synced, and you are responsible for maintaining that system. Obsidian and Notion offer different approaches, described below. |
How ChatGPT Memory differs from Custom Instructions
Put response rules in Custom Instructions
Custom Instructions are the clearest place for deliberate, repeatable guidance: for example, “Use plain language,” “Show the assumptions behind calculations,” or “Ask before making changes to my draft.” Treat them as directions for the assistant, not as a filing cabinet for all your documents.

Use Saved Memory for relevant personal context
A saved memory is a detail you asked ChatGPT to remember or that it identified as useful context. OpenAI says saved memories are stored separately from the chat where they were mentioned. By contrast, referencing chat history can surface useful details without turning each one into a fixed saved item; the context ChatGPT uses may change as it updates what is useful. OpenAI explains these Memory sources.
Do not rely on Memory to preserve every instruction, conversation, or project fact. OpenAI says ChatGPT does not retain every detail and chooses which available information is relevant. The sources and controls available can vary by plan, region, platform, and workspace, so check what your account actually offers rather than assuming every setting is universal. Keep source material in a knowledge base
Long reference notes, research, and project documents are usually easier to manage in a knowledge base you can browse and update yourself. You can then share or connect only relevant material when a task needs it, subject to the features available in your account and the service you use. A knowledge base does not automatically become ChatGPT Memory.
When an external knowledge base makes sense
Obsidian: notes as local files
Obsidian describes a vault as a folder of files stored locally, with notes available offline. To use a vault across devices, you choose a sync method; the options in its guide include Obsidian Sync, third-party cloud sync, local sync, and version control. The guide warns that iCloud Drive on Windows may cause file duplication or corruption, so do not treat any sync setup as automatically safe. Your choice of local storage does not, by itself, prove that a particular configuration is secure or backed up. Obsidian’s sync guide.
Notion: a hosted workspace with imports and connectors
Notion supports importing Markdown; its help says imported text becomes searchable and works with Notion AI. Its AI connectors guide describes searching selected third-party sources, including Slack, Jira, and Google Drive, from a Notion workspace. That makes it a useful example if you want a hosted workspace and connected-source search, but the guides do not establish availability or price for a particular plan. Notion’s import guide and AI connectors guide.
A practical way to combine the three
- Write stable response preferences in Custom Instructions. Keep them short, explicit, and limited to guidance that should apply repeatedly.
- Save only useful personal context in Memory. Choose facts or preferences that can improve later conversations; do not use it as your sole copy of important material.
- Organize durable reference information in a knowledge base. Decide where the files or workspace live, how they sync, and how you back them up.
- Bring in only relevant source material for a task. Use a supported connection or provide the material when needed; whether this is available depends on your account and services.
Privacy, review, and deletion
OpenAI lists Memory settings under Settings > Personalization > Memory. Review the memory summary or sources available in your account, correct outdated context, and remove information wherever it is stored. Turning off Memory does not delete past chats. Deleting a chat also may not remove a separately saved memory; removal can require deleting both the memory and relevant source material, such as the originating chat or connected content. OpenAI’s Memory controls guidance.

For a one-off interaction you do not want used to personalize future conversations, start an unpersonalized Temporary Chat and select that option at the beginning. By default, Temporary Chat does not create memories or appear in chat history. The choice about using existing personalization cannot be changed after the chat starts. Temporary Chat FAQ.
Custom GPTs are another boundary to know about: OpenAI says they do not use saved Memory, Custom Instructions, or previous conversations, and each conversation starts fresh. Do not assume your stored ChatGPT context follows you into a custom GPT. OpenAI’s GPTs guidance.

For an external knowledge base, check who controls the files or workspace, where copies reside, how syncing works, and whether you have a separate backup. A local-file approach and a hosted workspace present different storage choices; neither product description alone guarantees a particular privacy or backup outcome.
