In QuickBooks Desktop for Windows, go to Edit > Preferences. On a Mac, choose QuickBooks > Preferences. In the Preferences window, select the category for the option you want to change.

Find the setting you need
Preferences is organized by category rather than presented as one list of all settings. Select the area that matches your task, such as Accounting, Desktop View, or Payroll & Employees, then look for the relevant option. Depending on the category, the window may offer separate tabs for My Preferences and Company Preferences. Not every category has identical tabs.

- Company Preferences: Check here when changing an option intended to apply to the company file.
Some feature-specific changes have additional access requirements. For example, Intuit’s payroll preferences instructions describe their own workflow and access context. Follow the procedure for the specific setting rather than assuming every preference can be changed the same way.

QuickBooks Online uses a different route: Settings > Account and settings. If an instruction says to click the gear icon or open Account and settings, it may be written for Online rather than Desktop. Intuit’s Desktop and Online terminology comparison distinguishes the Online settings page from Desktop Preferences.
