When Does an Entity Become Part of a Data Model?

An entity is a thing being described, while a data model organizes its types, properties, and relationships. Here is when an entity is represented in a model—and why it never becomes the model itself.

An entity never “stops being” a data model: the two terms refer to different things. An entity is something being described; a data model is the organized description of data, including the entity types, properties, and relationships relevant to its purpose. An entity becomes part of a model when that structure is made explicit—not when it reaches a particular lifecycle stage.

What is the difference between an entity and a data model?

The European Commission’s OOTS technical-design glossary describes a data model as an abstract organization of data elements that standardizes how they relate. It defines an entity as a “thing”—for example, a vessel, location, sensor, incident, event, or observation—about which information may be held. In short, the entity is what the model describes; the model is the organized description.

In Microsoft’s Entity Data Model (EDM), entity types, properties, and associations are core concepts used to describe data structure. These terms distinguish the things represented from the structures used to represent them.

Which term applies: entity, type, instance, or set?

These related terms describe different levels of a model. The distinctions matter when discussing a business concept, an individual record, or a collection exposed by an application.

Term Meaning Example
Entity A concrete or abstract thing about which information may be held. A customer, an order, or an incident.
Entity type A named class or template describing shared properties and relationships. A Customer type with an identifier and name property.
Entity instance One specific occurrence of an entity type. One particular customer record.
Entity set A logical collection of instances, not the type or the complete model. A named Customers collection in an OData service.
Data model The organized representation of relevant data concepts and how they relate. A description containing Customer and Order types, their properties, and their relationship.
Schema Often, an implementation-facing description of database structures; its exact meaning depends on context. A persistent named collection of database-object descriptions.

Microsoft explains that an EDM entity type is a template for entities and that an entity has a key identifying it within an entity set. In OData, an entity set is a named collection and can be an entry point into the service model. The OData data-model overview describes the service metadata document as a representation of that model for clients.

When is an entity part of a data model?

A business noun on a brainstorming list is a candidate concept, not necessarily a useful model representation. It is part of a model when the description makes its role and relevant structure clear enough for the intended use. That commonly means specifying:

  • Which entity types the model includes.
  • Which attributes or properties describe each type.
  • How the modeled types relate to one another.
  • Where needed, how instances are identified and what constraints apply.

There is no universal required number of properties, mandatory diagram, or requirement that the model already exist in a deployed database. A conceptual model can describe a domain independently of storage; a service model can describe an API; and a database schema can define implementation structures. They may correspond, but they serve different purposes and need not be identical.

How does the distinction work in common examples?

  • “Customer” as a business concept: Usually a candidate entity type, not the entire data model.
  • One customer record: An entity instance. In the EDM framing, a key identifies it within its entity set.
  • A Customer type with properties and an Orders relationship: A described part of a data model, because its structure and connection to another type are explicit.
  • A Customers collection: An entity set in OData/EDM terminology. It groups instances; it is not the type or the complete model.
  • A database table: A physical or implementation representation that may realize part of a model. It is not necessarily the whole conceptual model, and a model does not require a one-to-one table for every entity.
  • A class named CustomerEntity: The name alone does not determine what it represents. It might be a persistence class, domain object, API object, or framework-specific entity representation. Identify its role and layer before treating it as a model concept.

Why do teams sometimes call an entity a model?

Frameworks and codebases may use “entity” as a local name for a class or object, often one associated with persistence. That convention does not make the terms interchangeable in general data-modeling language. When a team says “entity model,” clarify whether it means an entity type, an individual object, a persistence representation, or the broader data model.

Likewise, “schema” is not a universal synonym for “data model.” ISO terminology describes a schema as a persistent named collection of descriptors for database objects. A conceptual model may be technology-independent, while a schema is often closer to a database implementation. State which layer is meant when comparing them.

What is the simplest way to phrase it?

Say that an entity is represented in a data model once the model specifies the entity’s intended type or role and the relevant properties and relationships. There is no point at which the entity itself transforms into—or stops being—a data model. The model is the organized representation; the entity is what it represents.
