WhatsApp Business Features: A Practical Guide for Support Teams

A practical guide to WhatsApp Business app tools and Platform/API capabilities, with guidance on team access, automation, policy and choosing an approach.

WhatsApp Business offers two distinct ways to handle customer support. The free WhatsApp Business app provides practical tools for smaller teams, including a business profile, saved replies, labels, automated greetings and a product catalog. The WhatsApp Business Platform (API) supports custom integrations, interactive messaging and workflows involving agents or bots, but it is not itself a complete shared inbox. The right choice depends on how many people need to respond, what systems must connect, and who will manage consent, templates and human escalation.

What features does the WhatsApp Business app have?

The WhatsApp Business app is a mobile option for businesses that want to organize and answer chats without building an API integration. WhatsApp says the app is free to download for Android and iPhone. It is separate from WhatsApp Messenger, and a single phone number cannot be used in both apps at the same time. Business profile

Add identifying and practical details such as a logo, business description, business hours and website. A complete profile helps customers confirm they are contacting the business and find basic information without asking an agent.

Greeting and away messages

Greeting messages can welcome customers, while away messages can set expectations when the business is unavailable. They are basic automated responses, not a staffed escalation route. If a customer needs help that an automated reply cannot provide, explain how to reach a person or another support channel.

Quick replies

Save commonly used answers and send them using shortcuts. This is useful for recurring questions such as opening hours, delivery basics or where to find a return policy. Agents should keep saved answers accurate and avoid using them where a customer’s circumstances call for an individual response.

Labels

Use labels to organize and filter conversations—for example, to distinguish chats that need follow-up from those awaiting a customer response. Labels help agents find chats, but they are not a substitute for a formal assignment and reporting workflow.

Catalog and catalog links

Display products or services in a catalog and share a full catalog or links to individual items in a conversation. This can give customers useful product context within the chat; it does not by itself establish order-management or ecommerce integration.

Business broadcasts

WhatsApp describes business broadcasts as private one-to-one messages sent to multiple people, with scheduling, quick actions and insights. Availability is limited to eligible users in select countries, so do not assume a business can use the feature everywhere. WhatsApp Business app features

What does the WhatsApp Business Platform (API) add?

The Platform is the programmatic option for businesses that need messaging connected to agents, bots or backend systems. Meta’s Cloud API documentation describes Cloud API as the official WhatsApp Business Platform API, hosted by Meta. APIs can connect customer messaging with systems such as a CRM or marketing platform. Meta: WhatsApp Cloud API documentation

Meta describes both customer-initiated conversations and business-initiated conversations after the business obtains opt-in and uses customizable message templates. Supported message types and interactions described on the feature page include files, images, locations, interactive lists, reply buttons and product messages. Businesses can also use website buttons or QR codes as entry points, and the Platform provides read-receipt engagement signals. WhatsApp Business Platform features

The distinction matters operationally: an API provides ways to integrate and customize messaging, but it should not be mistaken for a ready-made agent workspace. The actual implementation determines whether staff have a shared inbox, conversation assignment, history and a clear handoff from automation to a person.

App or Platform: which fits a support team?

Need WhatsApp Business app WhatsApp Business Platform/API
Basic customer replies and saved answers Quick replies, greetings and away messages Can support customized messaging flows; the business must provide or select an agent-facing workflow
Chat organization Labels and filters Depends on the inbox or integration used with the API
Multiple agents or devices Up to 10 linked devices and agents is described for Meta Verified businesses; it is not a universal app entitlement Can connect messaging to agents or bots; assignment and shared-inbox capabilities depend on the implementation
Integration with other systems Basic app tools; a CRM or backend integration is not established by the app feature descriptions APIs can connect messaging with CRM, marketing and other backend systems
Interactive and custom messaging Saved replies and basic automated messages Customizable templates, interactive lists and reply buttons, among other supported message types
Business-initiated messaging Broadcast availability is limited to eligible users in select countries Requires opt-in and approved templates for business-initiated conversations under current policy
Price comparison Free to download; other charges are not established here No stable universal Platform or provider price is established here

The app is the more direct fit when a small operation mainly answers inbound questions, shares catalog items and benefits from simple organization and saved text. Consider the Platform when the workflow calls for programmatic control, integrations, custom interactive flows, or coordinated work across agents and automation. This is a capabilities-based distinction, not a tested performance comparison.

Can multiple agents use WhatsApp Business?

The app’s multiple-device claim is qualification-bound: WhatsApp says Meta Verified businesses can link up to 10 devices and agents. That figure should not be treated as a general limit or entitlement for every app user. WhatsApp Business app features

For a larger or more coordinated support operation, focus on the actual workflow around the Platform. Confirm that the selected implementation gives agents the shared visibility, assignment, conversation history and escalation paths they need; those capabilities are not guaranteed merely by using the API.

Rules support teams need to build into Platform workflows

WhatsApp’s current Business Messaging Policy covers the app and Platform. The template and 24-hour requirements below are Platform-specific. As policy can change, consult the official policy before launching or changing a messaging workflow. WhatsApp Business Messaging Policy

Obtain clear opt-in

Before sending subsequent WhatsApp messages, obtain the person’s mobile number and explicit opt-in. The policy says the opt-in must make clear that the person agrees to receive WhatsApp messages and identify the business.

Use approved templates to initiate Platform conversations

A business may initiate a Platform conversation only with an approved message template. Build template approval into the process for outbound notifications rather than treating a free-form reply as an acceptable substitute.

Observe the customer-service window

Under the current policy, a business may reply without a template within 24 hours of the user’s last message. Outside that window, approved templates are required, and the policy associates those messages with business-initiated pricing. This is a current policy rule, not a guarantee that charges or terms will remain unchanged.

Provide a route to a person or another support channel

Automation is allowed within the 24-hour window, but the policy requires clear, direct escalation options. Depending on the business, that can mean a human agent, phone, email, web help, in-person support or a support form. Make the route visible in the automated flow rather than leaving customers stuck in a loop.

Protect customer information

The business is responsible for required notices, consent, a published privacy policy and compliance with applicable law. Do not request or share full payment-card numbers, bank-account numbers, personal ID numbers or other sensitive identifiers in messages. Do not disclose one customer’s chat information to another customer.

How to choose an approach for your team

  1. Map who answers chats. If one person or a small team can work from the app’s labels and saved replies, its built-in tools may be enough. If several agents need coordinated assignment and shared history, assess the agent workspace used with a Platform integration.
  2. List the systems that must connect. If messages need to interact with a CRM, order system or other backend, the Platform’s API route is designed to support integrations. The app feature descriptions do not establish equivalent backend connectivity.
  3. Separate simple replies from custom automation. Quick replies and greeting or away messages cover basic repetitive needs. Custom flows and interactive message types point toward a Platform implementation.
  4. Decide whether the business sends outbound messages. If the team mainly responds to customers who contact it, inbound handling is central. If it will initiate notifications, plan for opt-in, approved templates and the current customer-service window rules.
  5. Assign operational ownership. Someone must maintain consent records, templates, privacy practices, automation and escalation to a person. An API integration does not remove those responsibilities.
  6. Check eligibility and total cost before rollout. Expanded app features can be eligibility- or country-limited, and the reviewed official material does not establish a universal Platform or provider price. Confirm current terms for the specific business and implementation.

Frequently Asked Questions

Is the WhatsApp Business app free?

WhatsApp says the app is free to download on Android and iPhone. That statement concerns downloading the app; it does not establish a universal price for Platform usage or third-party implementations.

Can I use the same number for WhatsApp Messenger and WhatsApp Business?

No. WhatsApp’s Help Center says one phone number cannot be used in both apps simultaneously.

Does the WhatsApp Business Platform include a shared inbox?

Not by itself. The API enables messaging integrations, but the agent interface, assignment, history and escalation features depend on the chosen implementation.

Can a business send a WhatsApp message whenever it wants?

No. For Platform conversations initiated by the business, the current policy requires opt-in and an approved template. Within 24 hours of the customer’s last message, a business can reply without a template; outside that window, an approved template is required.

Does every business have access to business broadcasts?

No. WhatsApp describes business broadcasts as available only to eligible users in select countries.

How much does the WhatsApp Business Platform cost?

A universal current Platform or provider price is not established by the official feature and policy information cited here. Pricing can depend on the current terms and the implementation; check the applicable official and provider pricing before committing.
