Windows Backup can sync selected folders to OneDrive and remember certain Windows settings and installed apps for setup on another PC. It is not a complete copy of your computer: files outside the selected folders, every app’s data, and a full drive image are not promised. What returns depends on what you selected, your Microsoft account, and available OneDrive storage.
What Windows Backup saves
Selected folders go to OneDrive
In the Windows Backup app, you can choose to back up Desktop, Documents, Pictures, Videos, and Music. The selected folders sync to your OneDrive account and can be accessed after you sign in to OneDrive on another PC. This covers the folders you select, not every file on every drive. Microsoft’s Windows Backup guide explains the setup and restore flow.

Selected Windows settings and preferences
Windows Backup offers categories such as accessibility, accounts and Wi-Fi information, personalization, language preferences and dictionary, and other Windows settings. The category labels do not mean that every Windows setting is included. For the detailed list, consult Microsoft’s Windows Backup Settings Catalog.

Microsoft lists Wi-Fi network and password information among the available categories. Personalization preferences require a OneDrive sign-in and available storage; if storage is insufficient, those preferences are not backed up.

Installed-app information
Windows Backup can remember installed apps and restore app pins during setup on a new PC. Selecting a Microsoft Store app’s pin can restore that app; for a non-Store app, Windows directs you to the web to download its installer. This is a way to help you find and reinstall apps, not a transfer of every program installation, license, local database, or app-specific setting.
What it does not save as a complete backup
Microsoft describes Windows Backup as selected-folder sync to OneDrive plus selected settings and app information for a new-device restore. Its guidance does not describe a sector-by-sector drive image or promise that every file, application, or piece of application data will be recoverable. If a file is on another drive or outside the folders you selected, do not assume Windows Backup copied it.

Microsoft Support says, “To use Windows Backup, you need to sign in with your Microsoft account.” The consumer workflow is for a personal Microsoft account; work or school accounts do not work with this app flow. On a managed PC, organizational policies may also affect what is available, so check with your administrator. See Microsoft’s Windows Backup component overview.
Where the backup is stored, and the storage limit
The selected folders sync to OneDrive rather than to an external drive through Windows Backup. Microsoft’s support guide says a free Microsoft account includes 5 GB of OneDrive cloud storage; the page does not state a year for that figure, and more storage is available to purchase. Whether that is enough depends on the size of the folders you select. Check OneDrive space and sync status if some content is not appearing in the cloud.

If you need a separate local copy, use a distinct backup workflow that writes to external storage. Microsoft’s general backup and restore guidance describes backup copies on external drives, cloud storage, or other locations; it does not mean Windows Backup’s OneDrive folder sync also writes to an external drive.
How to get files, settings, and apps back
- During new-PC setup or Windows reinstallation: sign in with the same Microsoft account. If an available backup is detected, Windows can offer it for restoration. Follow the setup prompts to restore the settings and app pins that were saved.
- For files: sign in to OneDrive with the account used for the backup, then access the synced folders. The files are available through OneDrive rather than as a full-disk restore.
- For apps: use restored pins to reinstall Store apps or follow the web link to obtain a non-Store app’s installer. Sign in to each app or restore its own data separately if required.
The available restoration depends on the categories and folders previously selected, account access, and cloud storage. Windows Backup does not turn this process into a clone of the old PC.

Windows Backup is different from Windows recovery tools
Backup describes copies and settings you can use later; recovery options change or roll back the current Windows installation. Microsoft’s recovery options guide distinguishes operations such as Reset this PC, which can be configured to keep or remove personal files, and System Restore, which keeps personal files but can undo system changes. Point-in-time restore returns the PC to an earlier state. These are separate operations, not contents of a Windows Backup archive; check the specific option and its consequences before starting it.

Which backup approach fits your recovery goal?
| Need | What Windows Backup provides | What to plan for |
|---|---|---|
| Access selected personal folders on a new PC | Syncs selected Desktop, Documents, Pictures, Videos, and Music folders to OneDrive. | Confirm the right folders are selected and OneDrive has space. |
| Carry some Windows preferences to a new PC | Can sync settings from the available categories. | Check the Settings Catalog for the exact supported inventory. |
| Find and reinstall apps | Remembers apps and restores pins; Store apps can be selected for restoration, while non-Store apps require downloading an installer. | Plan to reinstall software and handle app data, sign-ins, and licenses separately. |
| Recover the entire machine or every file | Does not establish a full disk image or a guarantee of complete recovery. | Choose a separate backup method designed for the scope and destination you need, such as an independent local copy. |
