Test search, offline access, syncing, and export with your own notes before committing to an app or moving an archive.
How to test search with your own notes
There is no established feature-by-feature benchmark here that ranks note apps by search quality. Instead, use a small set of representative notes to see whether an app finds the material you actually need.

- Search distinctive phrases. Choose wording that appears in a note you can identify, then check whether the app returns the right note and how quickly its results appear.
- Try different ways of finding the same note. Search for its title and any tags you rely on, as well as a phrase from the body. Do not assume title, tag, and full-text searches behave identically.
- Test attachments you depend on. If you need to find information inside attached documents or other files, confirm whether the app searches that content; searching the note around an attachment is not the same test.
- Repeat the test offline if that matters to you. Disconnect the device and search for notes you expect to have locally. An app may make notes available offline without making every search feature or attachment searchable while disconnected.
Record what works, including any indexing delay, on each device you use. Official documentation for the apps discussed below does not establish a comparative search benchmark, so treat your results as a fit test rather than a universal ranking.
Check what sync and offline access mean on each device
“Synced” does not necessarily mean every note is fully stored on every device. Check what remains available when a connection drops, whether you must choose notebooks for offline use, and what happens when the device reconnects.

Obsidian
Obsidian says its notes are stored locally and remain available offline. Its sync guide also covers backing up files and documents several approaches to syncing. Obsidian warns against mixing sync services on the same vault because conflicts or corruption can result. If you use Obsidian, check the guide before combining services and keep an independent backup rather than treating sync as your only recovery plan: Obsidian’s sync guide.
Evernote
Evernote says its desktop apps store synced notes locally. On mobile, full note content may require a connection, a recent view, or setup of offline notebooks. Use Evernote’s instructions to configure offline notes and notebooks on the mobile devices you actually use: Evernote mobile offline setup.

Test the disconnected-to-reconnected transition
- Choose notes you need in a typical no-connection situation and confirm they are available on the relevant device.
- Turn off connectivity and open those notes. Check full content and any attachments, not just titles or previews.
- If you expect to edit offline, make a harmless test change and reconnect. Confirm how the app handles the change and whether it appears on your other devices.
Availability and setup can differ by platform and app configuration. Verify any subscription or account requirement directly with the app before relying on a particular offline workflow.

Sync keeps devices aligned; it is not the same as an independent backup. A service can propagate a mistaken edit or deletion, so ask how you would restore an earlier copy and where that copy lives. Keep a separate backup that you can access even if the syncing service or account is unavailable.

Encryption also affects recovery. Obsidian Sync offers end-to-end encryption, but the user must retain the encryption password. Obsidian Help warns: “If you ever lose or forget the encryption password, you won’t be able to connect additional vaults to your remote vault.” Obsidian says it cannot recover a forgotten password or the encrypted data, and its documentation notes that some metadata is not end-to-end encrypted. Review the details before choosing a sync mode: Obsidian’s security and privacy documentation.
- Find out which sync mode you are using and what it encrypts; do not assume every mode has the same privacy properties.
- Understand who controls the password or key and what happens if it is lost.
- Confirm the steps for restoring notes, then make sure your independent backup is current and usable.
Compare export options and test portability
An export is useful only if it contains the material you need and can be opened outside the original app. Check formats, platform restrictions, attachments, links, and formatting before moving a large collection.

These documented formats and import paths do not establish perfect fidelity for every note or migration. Before switching, export or import a small sample that includes links, formatting, and attachments. Open the resulting files without relying on the original app, and compare them with the source. If the sample loses anything important, investigate the cause before moving the full archive.
A practical selection checklist
- Search: Can it find your representative titles, phrases, tags, and attachment content? Does it work offline if you need it to?
- Sync and offline: Which devices keep complete note content locally? What requires setup, and what happens to offline edits after reconnection?
- Export: Which formats are available, on which platforms, and what happens to attachments, links, and formatting?
- Privacy and recovery: What is encrypted, who holds the recovery secret, and can you restore notes from an independent backup?
Use the answers to decide whether an app fits your real workflow, rather than relying on feature names alone. If you are considering a switch, run the same tests in the app you use now and the one you are evaluating.
