No single provider is best for every small SaaS team; the right choice depends on what you run, what you need to retain, and how much infrastructure you want to operate.
Start with the questions you need logs to answer
Write down a few recent or likely incidents before comparing products. For example: Which requests began failing after a deployment? Are errors concentrated in one service or environment? What happened immediately before a particular request timed out? A logging service is useful when the team can move from a symptom to the relevant events quickly—not merely when it offers dashboards or a long list of integrations.

Use those questions to test search, filtering, and navigation. Check whether an engineer can narrow results by time, severity, service, environment, and request or trace identifier, and whether the product can connect an alert or trace to related logs. Query language and interface matter because the team will use them under pressure.
Check that logs are structured and carry useful context
Structured logs make events easier to validate, filter, correlate, and analyze. JSON is a common format, but JSON alone does not make logs meaningfully structured: field names, types, and meanings need to remain consistent. OpenTelemetry explains this in its logs documentation.

For each service, agree on a practical baseline of fields. Typically, that includes event time, severity, service identity, environment, and a request or trace identifier when available. Add domain-specific fields that help answer the team’s incident questions, while avoiding inconsistent names for the same concept across services.
Check whether the service accepts your current formats and supports the languages and platforms you use. OpenTelemetry support can make instrumentation more portable: standardizing how applications emit and export telemetry can reduce dependence on a backend-specific agent or format. Portability is not automatic, however; queries, dashboards, alerts, and proprietary features may still take work to recreate if you switch providers.
Estimate cost from your workload, not a headline rate
Before starting a trial, estimate how much data arrives, how much remains after filtering, how long it must be retained, and how often the team will query it. Include minimum charges and any separate fees tied to users, products, or usage. Use the candidate’s current calculator or account meter to model a representative month; billing units differ between providers, so do not apply one vendor’s calculation to another.

- Incoming data: Estimate the volume your applications and infrastructure send before filtering.
- Stored data: Estimate what remains after sampling, dropping noisy events, or redacting fields.
- Retention: Set different periods if debugging, security, or contractual needs require different windows.
- Queries: Consider how often and how broadly engineers search, and whether querying has a separate allowance or charge.
- Other charges: Check minimum fees, included usage, and team or member pricing.
As one vendor-specific example, Grafana Cloud’s Logs pricing documentation separates processed, written, retained, and queried volume. It describes a monthly fair-use ratio allowing queries up to 100 times written log volume, 50 GB of free written volume, 14-day retention for free accounts, and a 30-day minimum retention period for paid accounts. These are Grafana Cloud terms, not general rules for logging services; confirm current terms and model the charges for your own usage.
Choose retention as a policy, not just a plan feature
Decide how far back the team needs to search for ordinary debugging, security investigations, and contractual obligations. Then confirm the candidate’s minimum and extended retention periods, the price of longer storage, retrieval behavior, and whether retention can be configured per stream.
Ask what happens when the retention setting changes. Grafana says its retention changes are not retroactive: increasing the period does not restore logs that have already aged out under the previous setting. Confirm the equivalent behavior with any provider you evaluate before relying on a longer window.

Compare managed service effort with the components you must own
A managed backend can spare a small team from deploying and maintaining storage components. But collection still needs attention: agents or collectors must be configured, upgraded, monitored, and kept able to deliver data during interruptions.

It generally recommends using a Collector alongside services because the Collector can handle tasks such as retries, batching, encryption, and sensitive-data filtering. See the OpenTelemetry Collector documentation. A Collector adds useful control, but it is another component whose deployment and health the team must own.
Compare how long it takes to instrument a representative application, onboard infrastructure logs, and get to a useful query. Also check buffering and retry behavior, upgrades, troubleshooting guidance, support response expectations, and any service commitments that matter to your team.

Verify privacy, access, and security for your actual setup
Logs can accidentally include secrets, personal data, or customer identifiers. Identify what your applications emit before sending it to an external service. Test whether sensitive fields can be removed or masked at collection or ingestion, and verify that access controls let the team grant appropriate permissions without giving everyone access to everything.
Check for audit records of access and configuration changes, data location for the plan and region you would use, and the scope of any relevant contract or compliance attestation. A provider’s general security overview is not proof that a particular plan, configuration, or region meets your obligations. Grafana’s overview describes its own role-based access control, audit logging, isolation, and compliance attestations; assess the applicable details for your account rather than treating them as a blanket guarantee.

Compare candidates on one consistent scorecard
Once you know the incidents, data volume, retention needs, and constraints that matter, compare the same workload and assumptions across candidates.

Grafana Cloud is one documented managed option, not a universal recommendation. Its overview describes a Free plan with lower usage limits, shorter retention, and community support without an SLA; the vendor presents that plan as a way to evaluate the platform. Its pricing and usage details are published on its pricing and usage page and pricing page, and can change. Treat Better Stack and Datadog as candidates to assess against their own current product, pricing, and security documentation rather than assuming a third-party comparison establishes which is cheaper or better.
Use a trial to test the work the team will actually do
- Send representative logs. Include ordinary traffic, errors, and enough context to test the incident questions you listed.
- Run the searches that matter. Ask another engineer to find a specific event, narrow it by service and time, and follow identifiers to related logs or traces.
- Check data handling. Confirm that sensitive fields are removed as intended and that team permissions match your access policy.
- Measure real usage. Review the account meter or calculator using the trial’s observed ingestion, filtering, retention, and query patterns.
- Confirm retention and export behavior. Verify how long data remains available, what changing the policy does to existing data, and how logs can be exported if you leave.
Prefer the service that answers the team’s incident questions reliably within its privacy, operational, and cost constraints. If two candidates both meet those needs, the one that requires less ongoing maintenance or makes it easier to keep instrumentation portable may be the better fit for a small team.
