Then save the notice, check what work you are authorized to preserve, and ask the provider or your organization’s administrator what the change means in practice. Do not move work data to another service until your organization’s privacy, security, and retention rules allow it.
First, identify which kind of AI account you use
The right response depends on whether you use a personal account, an account managed by work or school, a team or enterprise workspace, or an API. These can have different terms, administrators, data controls, and export permissions. Check the account selector, billing records, workspace name, and the agreement for the product you actually use.

Personal account
A personal account is generally governed by the provider’s consumer terms and the settings available to that account. Do not assume that a personal login used for work has the same controls or protections as an organization-managed service.

An administrator may control access to services and data connected to a managed account. OpenAI says of managed ChatGPT accounts, “Your administrator manages this account and the ChatGPT data associated with it.” The organization’s agreement governs use; switching between a managed and personal ChatGPT account does not merge or transfer their data. Google Workspace administrators can restrict access to Gemini or its access to Workspace data. Work and school users may also be restricted from sharing copies of data directly with third parties unless an administrator enables that option. Team, enterprise, or API access
Organization plans and API services may have separate terms, retention settings, administrator controls, and support arrangements from consumer plans. For example, Anthropic’s August 28, 2025 announcement about revised consumer terms applied to Free, Pro, and Max, and said it did not apply to Claude for Work, Government, Education, or API usage. That is a dated statement, not a guarantee about current terms; verify the agreement for your product and plan. Anthropic: Claude is a space to think.
Record exactly what changed
Keep the provider’s notice and note the policy or terms version, publication or effective date, your region and plan, and the features or use cases affected. If the change came through an administrator, ask for the provider notice or the applicable internal policy. A team reorganization does not necessarily change customer terms, but it can affect who handles support or escalation; ask what operational change, if any, follows from it.

Clarify whether the announcement concerns a safety restriction, product retirement, data retention, account enforcement, support process, or administrator controls. A dated policy page can help establish what the provider publicly announced, but it does not establish a universal notice period for contract or product changes. Anthropic’s Responsible Scaling Policy, for instance, records dated policy changes; it is not a promise about notice periods for every customer term. Anthropic: Responsible Scaling Policy.
Ask the provider or administrator questions that affect your decision
Request concrete answers rather than relying on a general announcement. Ask:
- Which exact terms or policy changed, and when does the change take effect?
- Which product, plan, region, features, and use cases are affected?
- Does it change access, moderation, retention, training settings, support, or audit controls?
- What may the account owner export, and what data will be retained or deleted?
- Is there a migration window, an escalation contact, or a documented alternative?
Check the agreement that applies to your account and, for organizational use, your internal approval and data-handling rules. The provider materials described here do not establish universal contractual rights or notice periods; those depend on the actual agreement and applicable local law.

Preserve data only through an authorized export route
Before access changes, determine who is permitted to export the relevant data and use the provider’s documented procedure. An export may be a readable archive for reference rather than a file another AI service can import as conversation history.
Anthropic organization data
Anthropic documents organization exports for Team and Enterprise Primary Owners. Members do not have the self-serve organization export option, and content deleted before the export is not included. Confirm your role and follow the organization’s retention rules before requesting an export. Anthropic Support: How can I export my Claude data?.
Google Gemini Apps activity
Google documents an export of Gemini Apps data through Google Takeout. Google states, “Downloading your Gemini Apps activity doesn’t delete it from Google’s servers.” The archive may not include changes made after the export request but before the archive is created, so an export is a snapshot rather than a live sync. Work or school information
Do not treat possession of an export as permission to transfer it. Follow confidentiality, retention, and security policies, and check whether an administrator allows sharing a copy outside the organization. If direct sharing is restricted, Google documents Takeout as an option for a user-created copy or manual movement where permitted; organizational rules still determine whether that movement is allowed. Save the enforcement notice, the account identifier, and any relevant information that helps explain the affected activity. Use the provider’s official support or appeal route if one is documented. Anthropic says banned users may appeal a ban for review in its transparency documentation. Anthropic Transparency Hub: System Trust and Reporting.

If the account is managed by an employer or school, contact its administrator as well as the provider where appropriate.
Plan a provider change as an approved migration
Before copying prompts, files, or conversation exports into another AI service, confirm that the organization permits the transfer and assess the destination’s terms, data retention, training settings, access controls, and geographic availability. For personal data, make the same checks against your own privacy needs and the destination’s settings.
Compare eligible services against the requirements that matter to your use:
- Which consumer, business, or API terms apply to your intended account?
- Can administrators manage access and review activity through suitable audit controls?
- What retention, training, and deletion settings are available, and who can change them?
- What does the export actually contain, and can the destination import it as usable history?
- What safety rules and enforcement or appeal process apply?
- Is the service available in the relevant geography, and does it meet applicable requirements?
- Will your workflows work, and are support arrangements adequate?
Do not assume that an export from one provider can be imported into another. Test critical workflows with non-sensitive material and establish a fallback for work that cannot wait on a migration. OpenAI describes business-specific retention controls, including Zero Data Retention for eligible API customers, but eligibility and exact terms must be verified with the provider.
