“Doesn’t sync” can describe four different problems: continuous two-way synchronization, a one-time migration, a Google Drive link that will not open, or a Google Docs, Sheets, or Slides file that another application cannot edit. Identify the workflow first. The fix may be an OAuth authorization, a Workspace administrator policy, a revoked sharing permission, or a file-format limitation—not a broken sync engine.
Start by naming the operation
Before changing settings, write down exactly what you expected to happen. A service that imports files once is not necessarily a synchronization client, and a browser share link is not the same as an application connection to Drive.

Also record the open-source application and version, the source and destination, the direction of transfer, and whether the Google account is personal or managed by Google Workspace. A feature documented for one direction or account type may not apply to another.

Nextcloud’s Google integration is a useful example of this distinction. It supports importing content from personal Google accounts and Google Workspace accounts for migration, but the project documentation explicitly says: "Note that this is a one-time import and will not keep Nextcloud in sync with Google." After the import, edits made in Google Drive do not automatically update the imported copy in Nextcloud, and edits in Nextcloud do not flow back to Drive.

When a one-time import is appropriate
- You are moving a file collection into a self-managed Nextcloud server.
- You need an initial copy for local ownership, backup, or a new collaboration space.
- You can accept a defined cutover date after which only one system is authoritative.
When it is the wrong tool
Do not choose a one-time importer when people must continue editing the same files in both systems. Keeping two independently changing copies aligned requires a separately documented synchronization product or workflow. If an app advertises “Google integration,” read whether that means import, export, link sharing, or an actual background sync service.
Check that a Drive integration is a real API connection
Applications that work directly with Drive generally use the Google Drive API and OAuth 2.0. Google’s API documentation describes operations including uploading, downloading, searching, and sharing files. The open-source client must implement the relevant operations and obtain permission through Google’s authorization screen; installing the application alone does not grant access.
Authorization checks
- Open the application’s account or cloud-storage settings and start its Google connection flow.
- Sign in to the exact Google account that owns or can access the files. If the browser has several accounts open, verify the account shown during consent.
- Review the requested permissions and approve the connection if they match the job. A connection that was canceled, denied, or later revoked must be authorized again.
- Return to the app and confirm that it reports an active connection rather than merely displaying a saved email address.
- Run a small test with a non-sensitive file before attempting a large migration.
If the app never opens a Google consent flow, does not document Drive API support, or only accepts a pasted browser URL, it may not be a Drive integration. It may simply be a link opener or a local file manager.

Personal Google accounts and organization-managed Workspace accounts are governed differently. Workspace administrators can control third-party applications’ ability to open Drive files and can restrict programmatic access through the Drive API. When those controls are disabled for a user, organizational unit, or configuration group, an otherwise valid open-source client may fail for every file.

What the user should do
- Note whether the failing account ends in a company, school, or other managed domain.
- Give the administrator the app name, version, OAuth client details shown by the app, and the time of the failed attempt.
- Ask the administrator to review the organization’s third-party Drive-app access and Drive API controls for the affected users.
- Do not try to bypass a policy with a personal account or by copying confidential files elsewhere; that can violate organizational rules.
An administrator may intentionally allow browser access while blocking API access. In that case, a shared link can work in Drive’s web interface even though an external synchronization client cannot connect.
A shared link still verifies identity and permissions
A Drive link is not an anonymous file unless the owner deliberately configured it that way. Drive checks the visitor’s authenticated identity against the file’s access-control list (ACL). A recipient who is signed into the wrong Google account can see an access-denied message even when the owner believes the file was shared correctly.
Recipient test
- Copy the link without changing it.
- Open a private browser window or sign out of other Google accounts.
- Sign in to the exact address to which the owner granted access.
- Open the link and check whether the available action is view, comment, or edit as expected.
Owner checks
The owner should reopen the item’s sharing settings and confirm that the recipient’s address is present, the intended role is still active, and any expiration date has not passed. Organization restrictions can prevent sharing outside the domain even when the recipient’s address is correct. If the file was moved, replaced, or access was inherited from a folder, inspect the current item and folder permissions rather than relying on an old invitation email.

Google-native documents need a format decision
Google Docs, Sheets, and Slides files are native cloud documents, not ordinary binary files in the same sense as a PDF or a text document. The Drive API operations used for ordinary files do not make these native documents behave like downloadable files in every client. An application may therefore list a document but be unable to download it in its native form.

Choose the required outcome
- Keep Google collaboration: Leave the native document in Drive and share it with collaborators who need Google’s simultaneous editing and comments.
- Send an editable copy: Export the document to a format the receiving application supports, such as an Office-compatible document or spreadsheet format.
- Send a fixed copy: Export to PDF when layout and reading matter more than continued editing.
- Move ownership of the content: Export, verify the result in the destination application, and treat the exported file as a separate copy.
Exporting is a conversion, not live synchronization. Changes made later in the Google-native document will not update an exported copy unless someone repeats the export and handles version conflicts.
Do not confuse Nextcloud federation with Google Drive federation
Nextcloud’s federation feature is designed for compatible Nextcloud or ownCloud servers. It lets users share across participating servers that support the federation protocol; it is not a general-purpose Google Drive federation mechanism. A Nextcloud account and a Google Drive account therefore cannot be assumed to exchange live folders simply because both are cloud storage services.
Use federation when the participants are on compatible Nextcloud or ownCloud installations. Use a documented Drive API integration, a browser share, or an export when one participant is using Google services.
A practical troubleshooting sequence
Follow these steps in order so that a policy or format problem is not mistaken for a network failure.

- Define the desired result. Write “continuous sync,” “one-time import,” “open a link,” or “transfer an editable document.”
- Identify both sides. Record the open-source app and version, server version if relevant, source and destination, direction, and the exact Google account type.
- Check the app’s documented capability. Look for explicit Drive API, OAuth, import, export, or federation documentation. Do not infer live sync from the phrase “Drive support.”
- Reauthorize the connection. Remove a stale Google connection in the app if it offers that control, then complete OAuth again with the intended account.
- Test a small ordinary file. A plain text file or image helps separate authorization and transport issues from Google-native document behavior.
- Escalate Workspace restrictions. If the account is managed, ask an administrator to check third-party app and Drive API access for the affected users.
- Test link identity. Open the link while signed in only to the authorized account, then have the owner verify current ACL entries and expiration.
- Convert native documents when necessary. Export to a compatible editable format or PDF, then open that copy in the receiving application.
- Check logs and timestamps. Capture the exact error, HTTP status if the app exposes it, account used, and time. This gives an administrator or maintainer something reproducible to investigate.
- Stop expecting unsupported behavior. If the documentation identifies a one-time importer or a one-way export, redesign the workflow instead of repeatedly retrying it.
Choose the workflow that matches the collaboration need

Common mistakes that waste time
Calling an import a backup
An imported snapshot is not a continuing backup. Decide how later changes will be captured and which system is the source of truth.
Testing with the wrong account
Multiple signed-in Google accounts make link and OAuth testing deceptive. Use a private window or sign out before repeating the test.
Assuming file names prove compatibility
A visible title such as “Budget” does not reveal whether the item is an ordinary spreadsheet file or a Google Sheets document. Check the item type and choose an export when required.
Ignoring administrator ownership
When every user in a Workspace domain fails in the same app, repeated reinstallations are unlikely to help. The organization’s API or third-party-app policy is a more plausible control point.
Creating parallel edited copies
Exporting a document for editing while others continue changing the original creates a merge problem. Assign an owner, set a cutover time, or keep editing in one suite.
Security and privacy considerations
OAuth approval gives an application access described by its requested scopes. Grant only the access necessary for the workflow, and remove the connection when the project ends. For sensitive organizational files, use the organization-approved application and account rather than moving data to a personal Google account to evade a restriction.
Self-hosting an open-source service can provide control over storage and administration, but it does not change Google’s permission checks, Workspace policies, or native-document formats. Hosting hardware can move bytes; it cannot grant an app an authorization that Google has denied.

- Is the goal live two-way sync, import, link access, or document exchange?
- Does the app explicitly support the required Drive API operation?
- Was OAuth completed with the intended account?
- Is the account personal or governed by Workspace?
- Could an administrator policy be blocking API or third-party access?
- Is the recipient signed into the account listed in the file ACL?
- Is the item a Google-native document that needs export?
- Would a one-time copy or compatible-server federation better fit the actual need?
