If your GST return data does not match your sales records, first reconcile the same tax period invoice by invoice, then compare GSTR-1 or IFF with GSTR-3B. Identify whether the difference comes from a missing or duplicate invoice, a timing or classification issue, a note or amendment, or a liability payment difference. Correct the return only after confirming the underlying transaction and the correction route available for that period.
Start with the same tax period and the right records
For an India GST-registered business, the first comparison is between the sales register and the outward-supply details reported in GSTR-1—or IFF, where applicable. GSTR-1 includes invoice-level information for registered recipients, certain inter-state sales to unregistered recipients, credit and debit notes, exports, advances, amendments, and summary categories. See the GST Portal’s GSTR-1 and GSTR-1A guide.

- Choose one tax period and export the sales register, filed GSTR-1 or IFF data, and GSTR-3B figures for that same period. Keep copies of the filed returns and supporting invoices, credit notes, and debit notes.
- Match each sales document against the return by document number and date. Where applicable, check the recipient GSTIN, place of supply, supply category, taxable value, tax rate, and tax amount.
- After checking individual documents, compare category totals and the resulting outward-supply liability with the liability reported and paid through GSTR-3B.
- Record each difference in a working list with the document reference, tax treatment, taxable value, and tax amount. Do not change a filed return merely to make totals agree.
This is a practical reconciliation method; the GST Portal describes return contents and correction facilities but does not prescribe this exact checklist.

Classify the mismatch before choosing a correction
Common items to investigate include an omitted or duplicate invoice, a document recorded in a different period, an incorrect recipient GSTIN, place of supply or supply category, a wrong rate or value, and a credit or debit note or amendment missing from one side of the comparison. These are diagnostic possibilities, not proof that any one issue occurred.
#1 Best Overall
- Document difference: Check whether an invoice or note appears in the sales register but not the return, or appears twice in either record.
- Period difference: Confirm the transaction’s tax period and whether it was reported in a different period. Compare like with like before treating it as an omission.
- Classification or calculation difference: Verify the GSTIN, place of supply, supply category, taxable value, applicable rate, and calculated tax against the underlying documents.
- Amendment or note difference: Check whether a credit note, debit note, or correction to an earlier document is reflected in the relevant return data and period.
Once the cause is identified, determine whether the issue is still correctable in the current-period GSTR-1A window or requires a subsequent-return amendment for an earlier period. The appropriate route depends on the return status, tax period, transaction facts, and applicable rules.
Current-period GSTR-1 errors: check whether GSTR-1A is available
The GST Portal describes GSTR-1A as an optional way to add or amend details for the current period after GSTR-1 is filed or its due date has passed, whichever is later, and before GSTR-3B is filed for that same period. It is available once per period, and changes made through it auto-populate to GSTR-3B. Consult the GST Portal’s GSTR-1 and GSTR-1A guide and check the portal for the period’s current status.
GSTR-1A is not the same process as amending an earlier-period return. If a supplier adds or amends details through GSTR-1A, the GST Portal says those details feed into the recipient’s GSTR-2B for the next tax period.
Earlier-period errors: verify the applicable amendment deadline
For prior-period corrections, the GST Portal’s GSTR-1 FAQ says errors or omissions in invoices from a previous financial year cannot be amended after 30 November of the following financial year. Check the GST Portal guidance for GSTR-1.

CBIC’s Sectoral FAQs contain older wording that ties the time limit to the September return after the financial year or filing the annual return, whichever is earlier. Because that wording differs from the Portal FAQ’s stated 30 November cut-off, do not assume the older formulation settles the rule for your period. Check the current statutory text, notifications, and portal guidance applicable to the return, or get advice from a GST practitioner or accountant before filing a consequential amendment.
GSTR-1 or IFF liability differs from GSTR-3B: handle DRC-01B separately
DRC-01B is a liability-mismatch intimation process, not a GSTR-1A correction facility. GST Portal guidance says an intimation may be issued when liability reported in GSTR-1 or IFF exceeds liability paid in GSTR-3B or GSTR-3BQ beyond a configurable threshold. If you receive one, a Part B response is required; failure to respond can block filing subsequent GSTR-1 or IFF. See the GST Portal’s DRC-01B guidance.
The Part B response can include a DRC-03 payment ARN, an explanation of the difference, or both as applicable. If you explain the difference, the guide requires a written explanation. Follow the portal’s response workflow and retain the ARN, explanation, and filed acknowledgement.
When to get help and how tools may fit
Ask a GST practitioner or accountant to review the case if the tax treatment is uncertain, the normal correction window appears closed, or the liability difference is material. GST return preparation can be done through the GST Portal’s online tools, an offline utility, or third-party ASP applications through GSPs, as described in its GSTR-1 preparation guide. Such tools can support data preparation; they do not establish that a transaction was classified or corrected properly. Verify a provider’s current features and suitability for your workflow.
