What to Do When a Third-Party OAuth App Has Access to Company Data

An unexpected OAuth grant is a potential security incident. Identify the app and scopes, preserve logs, contain the grant at the right scope, and investigate what the app could—and did—access.

If an unexpected third-party OAuth app can access company data, treat the grant as a potential security incident. First identify the app, the permissions it received, and whether one user or an administrator approved access for the organization. Preserve available evidence, contain the grant at the right scope, and investigate whether the app actually accessed data. Revoking access limits future use; it does not prove that no data was previously viewed, copied, or shared.

What an OAuth grant means for your organization

OAuth lets a user or administrator authorize an application to act on their behalf or access specified services without giving the app the user’s password. The grant is represented through permissions, often called scopes, and tokens that the app can use. As Microsoft explains in its guidance on illicit consent grants, an app may therefore retain a route to data even when the user’s password is not shared with it.

An app appearing in an inventory is not, on its own, proof of malicious activity. It is a reason to establish who authorized it, what the authorization permits, and whether its activity is expected. The response depends on whether consent was user-specific or organization-wide, the breadth and sensitivity of the scopes, the provider’s controls, and what audit data is available.

Keep three questions separate throughout the response: what was authorized, what the app could have accessed, and what the available evidence shows it actually accessed. A grant answers the first question and helps frame the second; it does not by itself answer the third. That distinction helps avoid both understating a possible exposure and treating permission alone as proof of data theft.

Respond in this order

  1. Identify the grant. Record the app’s name and application or client ID, publisher, authorization time, consenting user or administrator, affected accounts, requested scopes, and whether the consent applies to one person or the organization. An app name alone may not uniquely identify the application.
  2. Preserve evidence and review audit activity. Capture the relevant app inventory and grant details, then review identity-provider audit events and logs for the services the app could reach. Follow your incident-response procedures before making changes that could affect available evidence.
  3. Contain access at the appropriate scope. Revoke a user-specific grant, or block or disable the app or restrict a service when the authorization is broader. Verify the change in the provider’s console, allowing for delays in app inventories and status updates.
  4. Assess possible exposure. Review affected accounts, the relevant time period, granted permissions, and available activity logs for the connected services. A grant establishes capability, not proof that the app used it.
  5. Check for related account compromise. Investigate the authorizing account and related security activity under your incident-response plan. A password change alone does not revoke an OAuth grant.
  6. Reduce repeat risk. Review other app grants, tighten user-consent rules where appropriate, approve only trusted apps and necessary scopes, and monitor app activity.

The order matters: capture the information that is available, then select containment based on the grant’s actual boundary. If the grant is organization-wide, removing only one user’s authorization may not address access for other users. If it is limited to one user, a tenant-wide restriction may be broader than necessary. Confirm the scope shown by the identity provider before deciding.

How to establish what was granted

Start with the provider’s app-access inventory or the affected user’s assigned applications. Note the app’s unique ID as well as its display name, since names can be ambiguous. Record the permissions requested or granted and the services those permissions cover. Distinguish requested scopes from the effective grant: what matters for response is what the provider shows as authorized.

Next establish the consent boundary. Individual consent typically applies to the authorizing user; administrator consent may authorize access across an organization or for users beyond the person who approved it. This distinction determines whether one user’s grant can be revoked or whether tenant-wide controls are needed. Microsoft’s app consent investigation playbook describes how to inspect the application and consent details. Google Workspace’s app-access inventory shows app identity, users, services, and scopes.

To answer “who gave this app access?”, look for the consent event and its details rather than inferring the answer from the app’s current presence in an inventory. Record the actor, time, app ID, and whether the event reflects administrator-level consent. If the provider’s inventory lists multiple users, note which accounts are associated with the app; that listing and the original consent event answer related but different questions.

Make a scope-by-scope record. Note which service each permission concerns and whether the permission is narrow or broad, then compare that authorization with the app’s stated purpose and what the organization expects it to do. A mismatch is a reason for review, not proof of malicious use. The key decision axes are the identity provider, individual versus organization-wide consent, sensitivity and breadth of scopes, available audit evidence and its retention, and the containment scope available to administrators.

Preserve logs before containment

Capture available grant details and relevant audit events before changing access, while following internal evidence-handling procedures. In Microsoft 365, Microsoft recommends searching audit activity for “Consent to application” and reviewing the event details, including whether consent was granted by an administrator. In Google Workspace, OAuth log events can help identify third-party app use and data-access requests.

Logging coverage and retention depend on the provider, tenant configuration, subscription or license, and whether auditing was enabled when the activity occurred. Microsoft’s playbook says a corresponding audit entry may take 30 minutes to 24 hours to appear, and searchable retention depends on the subscription or license. It also says the Azure portal view of admin-consent grants covers only the preceding 90 days. These are Microsoft-specific operational details, not universal retention guarantees; check your tenant’s current configuration. If auditing was not enabled before a possible incident, the evidence needed to reconstruct activity may not exist.

Preserve what is available at the time of review: the app-access listing, consent event details, relevant OAuth events, and the date ranges that the logs cover. Record when you checked and which administrative view you used. This helps investigators distinguish an event that has not appeared yet from one that falls outside the available retention window. Do not interpret an empty search as proof of no access unless you know the relevant data source was available and covered the period in question.

Contain the grant using the provider’s controls

Choose a response that matches both the authorization and the risk. The available options may include revoking an individual user’s grant, disabling or blocking an application, or restricting access to a service or particular categories of data. These controls are not interchangeable: the identity provider and the grant’s scope determine which one applies. If you are unsure whether consent was individual or organization-wide, resolve that question before treating a single-user revocation as complete containment.

Microsoft Entra and Microsoft 365

Use Microsoft’s app consent investigation playbook to follow the available portal, PowerShell, and other investigation paths. In the portal, administrators can inspect a user’s assigned applications and granted permissions. The Microsoft 365 audit log can be searched for “Consent to application” activity and its details.

Choose a control that matches the grant. A user-specific authorization calls for revoking that user’s grant. If the app has broader consent or presents an ongoing organization-wide risk, administrators may need to disable or block the application. Microsoft states: “Once an application is disabled in Microsoft Entra, it can’t obtain new tokens to access data, and other users can’t sign in or grant consent to the app.” See Microsoft’s revocation and remediation guidance for additional context.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s risky OAuth app guidance also covers investigating and governing apps. After making a change, confirm the app or grant shows the expected state in the appropriate administrative view; do not assume a control has applied solely because it was submitted.

Google Workspace

Administrators can review app access at Security > Access and data control > API controls > Manage App Access. The Accessed apps view includes users and requested Google services or scopes. Google Workspace provides app-control classifications—Trusted, Limited, Specific Google data, and Blocked—and administrators can restrict services or high-risk scopes. Choose a restriction that matches the app’s authorization and organizational needs.

Use OAuth log events to examine third-party app usage and data-access requests. Google says app details typically appear 24–48 hours after authorization, and the accessed-app list updates 48 hours after a token is granted or revoked. Changes can also take time to apply, so account for these delays when checking whether the inventory reflects your action. Google’s app-access controls documentation explains the inventory, scopes, controls, and timing; its security investigation tool data-source documentation covers OAuth log-event data.

Other identity providers

Control names, grant behavior, logging, retention, and token invalidation vary by provider. Find the provider’s equivalent app-consent inventory, grant-revocation control, audit events, and documentation on how access tokens and sessions behave. Do not assume a Microsoft or Google procedure applies to another identity platform. The sources here document Microsoft Entra and Google Workspace; they do not establish a universal click path or log-retention rule for every OAuth provider.

Determine what the app could access—and what it did

Use the scopes and connected services to define the possible exposure. Identify the users covered, the data or actions those permissions permit, and the period during which the grant was active. Then review the available logs for relevant access requests or app activity in each service. Escalate according to your incident-response plan if the permissions cover sensitive data or the logs show suspicious activity.

Keep capability and evidence separate in your findings: a broad scope may mean the app could reach certain data, but it does not establish that the app actually retrieved it. Likewise, an absence of matching log events is not conclusive if logging was unavailable, incomplete, or outside its retention window. Record what the logs establish and what they cannot establish.

When asking “what data did the app access?”, use the grant to identify which services and types of access to investigate, then use those services’ available activity records to look for evidence. Consider the full period the authorization was active and the accounts covered by the grant. If records show data-access requests or other app activity, preserve those details and assess them under your incident-response procedures. If the logs cannot show whether data was retrieved, state that limitation rather than presenting the granted scopes as proof of actual access.

Check the authorizing account and prevent another grant

Review the authorizing user’s security activity for signs of compromise, including activity that could explain an unexpected consent. OAuth access can operate through app tokens without the user’s password, so changing a password is not a substitute for revoking the app’s grant. Handle account remediation and app containment as related but distinct incident-response tasks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For prevention, audit existing grants regularly, restrict user consent when that fits your organization’s risk model, and require trusted apps to request only necessary scopes. Microsoft recommends regular audits and consent policies. Google Workspace administrators can classify apps as Trusted, Limited, Specific Google data, or Blocked, and restrict services or high-risk scopes. Monitor app activity so new or changed access can be assessed promptly.

Review not only the app that triggered the investigation but also other grants that may be unexpected or broader than needed. Use the provider’s controls to approve trusted apps, limit the data available to apps where possible, or block apps that should not access company services. The goal is not simply to remove one suspicious entry; it is to make app consent visible and manageable so that future grants can be evaluated against the organization’s policy.

What to record in the incident timeline

  • App name, client or application ID, publisher, and the provider console where it was found.
  • Scopes and services granted, affected users, and whether consent was individual or administrator-level.
  • Available consent events, relevant app or service activity, and the time ranges those logs cover.
  • Containment action, its scope, when it was applied, and what the console showed when verified.
  • Evidence of access, if present, and any limitations that prevent a confident conclusion about exposure.

Include the time you first found the grant and the time you took containment action. Note any provider-specific delays that affect the audit event or app inventory, and whether you checked again after allowing for those delays. This creates a clearer record of what was known at each stage, without treating a delayed inventory update as evidence that containment failed—or as evidence that it succeeded.

Frequently Asked Questions

How do I find out who authorized a third-party OAuth app?

Check the identity provider’s app-access inventory and audit records. In Microsoft 365, search audit activity for “Consent to application” and review the event details, including whether consent was administrator-level. Google Workspace’s app-access inventory shows app identity, users, services, and scopes; OAuth log events can provide related usage and data-access activity.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does an OAuth grant prove the app accessed company data?

No. A grant shows what the app was authorized to access, not whether it actually retrieved, copied, or shared data. Review available activity logs for the connected services and record any gaps in logging or retention that limit what you can conclude.

Is changing a user’s password enough to remove an OAuth app?

No. OAuth tokens can allow app access without the user’s password. Revoke the grant or use the provider’s app or service controls, and investigate the account separately under your incident-response plan.

How long should I wait for OAuth app details or audit events to appear?

Timing is provider-specific. Microsoft says a related audit entry may take 30 minutes to 24 hours to appear. Google says app details typically appear 24–48 hours after authorization, and its accessed-app list updates 48 hours after a token is granted or revoked. Check your tenant’s current settings and allow for these delays when verifying.

What if my company uses an identity provider other than Microsoft Entra or Google Workspace?

Use that provider’s current documentation to find its equivalent app-consent inventory, grant-revocation controls, audit events, and token or session behavior. The Microsoft and Google procedures and retention details do not establish a universal process for other providers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Treat an unexpected OAuth grant as a potential incident: identify the app and its scopes, determine who authorized it and whether access is individual or organization-wide, preserve the available evidence, and contain it with the provider’s controls. Then investigate the connected services and affected accounts to distinguish what the app could access from what the evidence shows it did access. Verify containment while accounting for provider-specific logging and inventory delays.
