Before uploading a spreadsheet, confirm that the chatbot and the specific account you are using are approved for the file’s contents. Then inspect a copy of the workbook for hidden or identifying information, remove anything the task does not need, and check the service’s model-improvement, storage and retention terms. Turning off model training does not necessarily prevent a file from being stored. If the data is restricted or the terms are unclear, stop and ask your data owner or privacy or security team.
Start with permission, not the upload button
Whether it is appropriate to share a spreadsheet depends on what it contains, why the chatbot needs it, which service and account you are using, applicable jurisdiction, and your organization’s rules. A file that seems routine may include personal information, customer or employee records, financial details, health information, credentials, confidential business data, or information governed by a contract or policy.

Check the classification and sharing rules that apply to the data. A chatbot provider’s general privacy statement does not override a workplace policy, contract, or legal restriction. If you cannot establish that the specific service and account are approved for the intended use, do not upload the file until the responsible person or team confirms it is allowed.

Ask whether the chatbot needs the original workbook at all, and whether the purpose justifies sharing each category of information in it. A request to explain a formula, for example, may be answerable with the formula and a few non-sensitive sample values rather than a full file containing customer or employee records. If you are uncertain whether a particular kind of information is restricted, treat that uncertainty as a reason to pause rather than as permission to proceed.

Verify the exact account and workspace
Consumer, business and enterprise offerings can have different data-use terms, contractual protections, access controls and retention policies. Confirm which account and workspace you are signed into; do not assume that a product name, a colleague’s use, or a workplace email address means the account is covered by your organization’s approval.
Check the terms for the actual product surface and plan you will use. A provider may offer more than one chatbot or account type, and a statement about an organizational service does not automatically apply to a consumer version or another product from the same company. If your organization has an approved-tool list or account-specific instructions, follow those rather than relying on a colleague’s experience.
Inspect the workbook for information that is easy to miss
A spreadsheet is more than the cells visible on the current screen. It may contain other sheets, hidden rows or columns, comments, metadata or content outside the visible range. Review the workbook itself before sending it to an external service.

Use Document Inspector on a copy
Microsoft’s Document Inspector can help find hidden data and personal information in Office files, including Excel workbooks. Microsoft recommends using it on a copy because some items removed by the tool may not be restorable. Its guidance applies across multiple Excel and Office versions; the exact interface can vary.

- Make a copy of the workbook. Keep the original unchanged in case inspection or removal changes the file.
- Open the copy in Excel and locate Document Inspector. Follow Microsoft’s instructions for the Excel or Office version you use.
- Select the inspection categories relevant to the workbook. Inspect the available categories rather than assuming a single check covers every kind of hidden content.
- Run the inspection and review the findings. Decide whether each item is necessary for the chatbot task and appropriate to share.
- Remove only what should not be shared, then review the result. Some removals cannot be undone from the inspected file.
Microsoft’s warning is direct: “We highly recommend that you use the Document Inspector on a copy of your original document, because it is not always possible to restore the data that the Document Inspector removes.” See Microsoft’s instructions for inspecting documents and workbooks.
Passing an inspection does not mean the remaining data is appropriate for an external chatbot. The tool helps identify particular categories of hidden content; it cannot decide whether you have permission to disclose the visible data or whether the remaining details could identify someone.
Minimize and de-identify the data the task needs
Give the chatbot only what it needs to answer the question. Depending on the task, that might mean a small excerpt, an aggregate, a formula, or a synthetic example rather than the full workbook. Remove unnecessary columns, rows and sheets before sharing.
Before uploading, compare the question you want answered with the information the workbook contains. Keep only the fields and portions needed for that question; if the task can be done with an excerpt or aggregate, there may be no reason to send every tab and record. A formula or synthetic example may be enough to get help without using the original data. This is a practical way to reduce what is disclosed, though it does not replace checking whether the remaining material is permitted.
Replacing names with IDs is not automatically anonymisation. A person may still be identifiable from a combination of details such as dates, location, job role or other fields. The UK Information Commissioner’s Office says effective anonymisation depends on the techniques used and on reducing the identification risk to a sufficiently remote level. Its guidance, published on 28 March 2025, is under review following legislative changes, so treat it as UK-context guidance and check the current version for applicable obligations: ICO guidance on anonymisation.

In other words, removing direct identifiers is only one part of reducing identification risk. Look at the combination of fields that remain, not just whether a name or email address is still present. If you cannot judge whether the transformed data could still identify someone, ask the data owner or privacy team for guidance before sharing it.
Check model-improvement settings separately from retention
There are two distinct questions: whether submitted content may be used to improve models, and how long the service may keep chats or files. A setting that answers the first question does not, by itself, answer the second.
Model improvement
OpenAI’s consumer-service guidance says eligible content, including uploaded files, may be used to improve models when “Improve the model for everyone” is enabled. Turning that setting off affects new conversations; it does not delete saved chats. OpenAI also describes different terms and controls for business and managed workspaces. These details apply to the specified ChatGPT services, not to every chatbot. Check the current controls for the account you plan to use: OpenAI’s data controls guidance and how OpenAI uses data to improve model performance.
Do not treat a training or model-improvement opt-out as a guarantee that an uploaded file is never stored. It addresses model-improvement use, not every data-handling question. Review the account’s current controls and terms for the specific service rather than assuming the same behavior applies across consumer, business and managed accounts.
Retention and file storage
OpenAI says Temporary Chat is not used for model improvement while it is temporary, but a copy may be retained for up to 30 days for safety purposes. Temporary Chat therefore is not a promise of zero retention. Files can also have a separate storage lifecycle: files saved in Library or managed workspaces may be governed by rules distinct from chat history. Deleting a chat and deleting a separately saved file can be separate actions. Review the current Temporary Chat guidance and file storage and Library guidance before relying on a particular deletion or retention behavior.

If deletion matters to your decision, find out which object needs to be deleted and what rules govern it: a conversation, a file saved separately, or a file in a managed workspace may not all share one lifecycle. The Temporary Chat description is specific to OpenAI and should not be assumed to describe another chatbot’s temporary mode. Check the current service guidance and your workspace’s retention policy before uploading.
Understand which terms apply to a workplace chatbot
Do not generalize one product’s protections to another product or account. Microsoft says organizational prompts and responses in the described Copilot offering are covered by enterprise data-protection terms and are not used to train foundation models. That statement applies to the organizational offer described in Microsoft’s documentation; it does not establish the terms for every consumer AI feature or third-party chatbot. Verify the exact product and account with your organization’s guidance: Microsoft’s enterprise data-protection documentation.
When comparing options, focus on the account and contractual protections, model-improvement use, chat and file retention, workspace access controls, and whether the task needs the original data. Terms, settings, plans and availability differ and can change, so there is no universal ranking that can substitute for checking the service and account you will actually use.
This is why the useful comparison is not simply “which chatbot is safest?” Ask which account is approved for the data, what contractual and workspace protections apply, how model-improvement settings work, how long conversations and files may be retained, and whether the work can be done with less information. The answers vary by product, plan, region and setting. Do not transfer a protection documented for one organizational offer to a different chatbot or account without verifying that it applies.

A practical pre-upload decision
- Proceed only if approved: You know the data classification, the service and account are permitted for it, and the task justifies sharing the information.
- Reduce exposure first: You have inspected a copy, removed unnecessary content and considered whether a smaller excerpt, aggregate or synthetic example will work.
- Check both data-use and storage rules: You understand the relevant model-improvement setting, chat retention and separate file-storage behavior for the account.
- Pause if anything is uncertain: For restricted or regulated records, unclear permissions, or an unapproved consumer account, ask the data owner or privacy or security team before uploading.
No general privacy statement or training opt-out makes a restricted disclosure permissible. The decision must fit the file, the purpose, the specific account and the rules that govern the data.

There is no published statistic in the reviewed sources that establishes how often spreadsheet disclosures to chatbots occur or the probability that a particular spreadsheet will be exposed. Do not use an unsupported prevalence figure to make the decision. Base it on the actual file, the applicable rules, and the service’s current terms and controls. Because settings, retention periods and plan availability can change, recheck the relevant source guidance and account terms at the time you upload.

It depends on the service, account type and settings. OpenAI says eligible content, including uploaded files, may be used to improve models in its consumer services when “Improve the model for everyone” is enabled; turning it off affects new conversations but does not delete saved chats. Business and managed-workspace terms differ, and these OpenAI details should not be generalized to every chatbot.
Does Temporary Chat delete uploaded files?
Do not assume so. OpenAI says Temporary Chat is not used for model improvement while temporary, but a copy may be retained for up to 30 days for safety. Files may also be saved separately in Library or governed by workspace retention rules, so deleting a chat and deleting a separately saved file can be different actions. Check the current rules for the account you use.
