Do not enter personal or sensitive data, confidential company material, trade secrets, financial or regulated records, credentials, classified information, or nonpublic plans into an AI tool unless your organization has approved that specific information, tool, and workflow. Treat a prompt or upload to a public or unapproved service as sharing information outside your organization. When in doubt, leave it out and ask your security or privacy contact.
What information should stay out of an unapproved AI tool?
Use your employer’s classification scheme and approved-tool rules as the authority: labels such as “internal” do not mean the same thing everywhere. These categories are a practical warning checklist, not a universal legal taxonomy.

Personal and identifying information
Do not paste names linked to records, contact details, account identifiers, employee or customer files, Social Security numbers, payment-card details, health information, or other data that identifies a person unless the use is authorized. The Federal Trade Commission’s business guidance discusses protecting Social Security numbers, credit-card information, and other sensitive personal information. Canadian privacy commissioners recommend anonymized or de-identified prompt information where possible and reasonable.
Financial, regulated, or legally protected records
Keep payment or account data, financial records, health information, and other protected records out of tools that have not been approved for them. The exact legal categories and obligations vary by jurisdiction and industry; follow your organization’s privacy, security, and records rules.

Company secrets and confidential business material
Do not submit trade secrets, unapproved source code, unpublished product plans, customer or vendor confidential material, internal investigations, contract bids, or nonpublic business strategy without explicit authorization. The U.S. Department of Energy’s June 2024 Generative AI Reference Guide, Version 2 identifies contract solicitation responses as proprietary or confidential and advises validating rights before using protected or nonpublic information with public tools.
Credentials and access material
Keep passwords, API keys, recovery codes, private keys, and access tokens out of prompts and uploads. This is a prudent application of security guidance to sensitive information and disclosure risk; the cited official materials do not enumerate every credential type individually.

Classified, controlled, export-controlled, or otherwise restricted information
Never place restricted information in a general-purpose AI service unless the exact system and workflow are authorized to handle its classification. Government guidance describes these risks in specific contexts; employees should apply their own organization’s classification rules.

A prompt may reveal what a team or organization is considering even if it contains no customer names. UK civil-service guidance specifically cautions against disclosing nonpublic government intent.

Why prompts and uploads deserve caution
You may not control what an outside service does with submitted information. UK government guidance warns that users may have no oversight over how data entered into web-based AI tools is subsequently used. The Department of Energy’s June 2024 guide says inputs may be stored, included in training data, or exposed in outputs. Those are risks described by the guide, not a claim that every service uses every prompt for training.
Privacy and security risks extend beyond training reuse. The Office of the Privacy Commissioner of Canada’s generative AI principles identify threats including prompt injection, model inversion or data extraction, and jailbreaks. NIST’s July 2024 Generative AI Profile also describes prompt-injection risks, particularly for systems connected to data or other tools.

When can workplace information go into an AI tool?
Authorization depends on the information’s sensitivity, data rights, employer policy, the service and its configuration, and applicable privacy, security, contractual, or legal obligations. An “enterprise” or paid account label alone does not establish that every data type or workflow is approved. Confirm that your organization and the data owner permit the exact use, and check how the service handles retention, secondary use, access, and deletion.
Official guidance cited here applies to particular settings: UK civil servants, North Carolina state agencies, U.S. Department of Energy operations, and Canadian privacy principles. These are useful safeguards, not one universal rule for every employer, country, service, or data category. Follow your employer’s policy and applicable law.

How to get useful AI help with less risk
- Choose an approved tool and workflow. Check your employer’s current approved-tool list and allowed use cases before submitting work material. North Carolina’s state guidance calls for a security assessment before use and reassessment at least annually or after major changes.
- Minimize what you share. Describe the task and include only the context it needs, rather than pasting a whole document or database. FTC business guidance recommends limiting collection and access to what employees need for their jobs.
- Remove identifiers or use synthetic examples. Replace names, account numbers, exact dates, and unique identifiers with placeholders or fictional details when they are not essential. Canadian privacy principles support anonymized or de-identified information where possible and reasonable.
- Confirm rights and authorization. For confidential or protected material, check with the data owner and your organization that this information may be used in this particular service and workflow. The Department of Energy recommends validating rights with the originator and consulting legal staff where appropriate.
- Prefer already-public material when it fits. Asking for a summary of a published article is generally lower risk than submitting an unpublished customer file, but still check the service terms and employer policy. UK guidance gives summarizing publicly available information as an appropriate general example.
What if you already submitted restricted information?
Use your organization’s established security incident and privacy reporting process. Notify the designated supervisor, security, or privacy contact promptly and follow their directions. Do not assume deleting a chat or upload removes provider-side copies; that depends on the service, so responders should consult its terms and the organization’s incident procedure. North Carolina’s guidance directs users to existing incident-reporting protocols.
