Biological research data are reusable when another person or system can identify them, understand the biological subject and how the data were produced, interpret their fields, and determine how to access and reuse them. A practical starting point is the FAIR framework—Findable, Accessible, Interoperable, Reusable—combined with the standard used by the relevant biological community. FAIR is a set of principles, not a universal schema or a fixed list of required fields.
A practical metadata checklist
Use this cross-domain core, then add the terms required by the repository and community standard for your data. The right metadata depend on the research object and the reuse you expect.

- Identify and cite the dataset. Record a globally unique persistent identifier, title, creators or responsible organization, release or publication date, version, and a citation or link to the data record. Make clear which dataset the metadata describe.
- Describe the biological subject and context. Include the organism or taxon, material, sample or occurrence identity, relevant location and time, and the biological context needed to interpret the observation or experiment. Choose details suited to the record type.
- Document methods and acquisition. Describe the experimental or observational design, collection or sampling procedures, measurements, and relevant instruments or computational workflows. Include processing and transformation steps so users can understand how the data came to their current form.
- Define variables and formats. Explain fields and variables, units, allowed values or controlled vocabularies, file formats, and relationships needed to interpret the data. Use shared vocabularies and qualified references to related data where appropriate.
- Record provenance and versions. State who created or changed the data, how they were processed, what source records or samples they derive from, and which dataset version is being described.
- Specify access and reuse terms. Say where and how the data can be retrieved, whether authentication or authorization is needed, what restrictions apply, and which accessible data-use license governs reuse.
- Link related resources. Connect the dataset to publications, protocols, code, samples, instruments, and related datasets using explicit relationships rather than relying on users to infer them.
- Name the standards used. Identify the schema, vocabulary, or community standard and its version where applicable. Standards alignment affects whether another group can interpret and connect the metadata.
FAIR guidance calls for detailed provenance and accurate, relevant attributes, but it does not define this checklist as a universal minimum. ISO 20691 provides broad life-sciences requirements; domain standards provide more specific terms for particular types of research.
How FAIR guides the metadata decisions
The FAIR principles—Findable, Accessible, Interoperable, and Reusable—describe qualities that support discovery and reuse. They do not require that data be open to everyone: access may require authentication or authorization. Descriptive metadata should remain accessible even when the underlying files are restricted or later removed. For the principles, see the GO FAIR Foundation’s FAIR Guiding Principles and Wilkinson et al.’s 2016 paper on the FAIR principles.

- Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity
- Findable: provide a persistent identifier and searchable, accurate descriptive information that identifies the dataset.
- Accessible: state how to retrieve the data and what access conditions apply; access rules need not mean unrestricted access.
- Interoperable: use appropriate shared formats, vocabularies, and references so data can be interpreted alongside other resources.
- Reusable: provide enough context, methods, provenance, versioning, and licensing information for others to assess and carry out reuse.
Choose a standard that fits the data
Life sciences cover many kinds of research objects, so the standard choice is substantive, not cosmetic. Compare a candidate standard against the biological object and data type, the needs of the research community and repository, the context and methods it captures, interoperability with adjacent fields, its handling of identifiers and access conditions, and its maintenance status and version.
Broad life-sciences workflows: ISO 20691
ISO 20691:2022, Biotechnology—Requirements for data formatting and description in the life sciences, addresses consistent formatting and documentation of data and corresponding metadata across life-sciences research and development. Its scope includes manual and computational workflows; experimental or procedural and machine-derived data; large and small datasets; and storage, sharing, access, interoperability, and reuse. The standard names areas including genomics, metagenomics, transcriptomics, proteomics, metabolomics, synthetic biology, and systems biology. Its first edition was published in November 2022. It is an optional formal reference, not a claim that every researcher must implement or purchase it.

Biodiversity occurrences, specimens, and samples: Darwin Core
Darwin Core, maintained by Biodiversity Information Standards (TDWG), is a glossary of terms intended to facilitate sharing biological-diversity information. Its focus includes taxa and their occurrence in nature as documented by observations, specimens, samples, and related information. It is therefore relevant to many biodiversity and collection contexts, but it is not a universal standard for all biology: its stated scope excludes non-biodiversity data and purely taxonomic data.

1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSimple Darwin Core is a predefined subset of commonly used terms designed for straightforward sharing structures such as rows and columns. The cited version was issued on 2023-09-13, and it imposes no mandatory fields. That flexibility leaves field selection to the researcher; it does not make context-poor records useful for reuse.

Biodiversity data with sequence or omics information
When biodiversity records include sequence or omics information, one standard may not capture every relevant term. A 2023 paper describes a task group that brought together TDWG, the Genomic Standards Consortium, and other stakeholders to improve interoperability between Darwin Core and Minimum Information about any (x) Sequence (MIxS). The group produced mappings between Darwin Core and MIxS keys and a MIxS-DwC extension intended to incorporate MIxS core terms into Darwin Core-compliant metadata. This is a documented interoperability approach, not evidence of universal adoption or a complete solution to every integration problem. See the 2023 paper on Darwin Core–MIxS interoperability.
Make the metadata usable when access is limited
Keep the descriptive record distinct from the data files. A dataset may require authorization, carry other restrictions, or become unavailable, yet an accessible metadata record can still identify it, explain its status, and preserve its citation and relationships. Record the access route and conditions clearly rather than implying that FAIR requires unrestricted publication.

Check the record before sharing
- Can a person identify and cite the dataset without guessing which version is meant?
- Can they tell what organism, sample, occurrence, or other biological object the data concern?
- Are collection, experimental, measurement, and processing methods documented well enough to interpret the values?
- Are variables, units, formats, and controlled terms defined?
- Can users trace provenance and distinguish versions?
- Are retrieval instructions, restrictions, and reuse terms explicit?
- Are publications, protocols, code, samples, and related data linked through clear relationships?
- Does the chosen standard fit both the data and the intended community, and is its version identified?
