Managed IT services are technology services an outside provider delivers or operates under an ongoing contract. The contract—not the label “managed services”—determines which systems, support, security tasks, and service commitments are included. An MSP can add specialist capacity, but its access to your systems must be governed, and your business remains responsible for protecting its systems and data.
What are managed IT services?
Managed IT services are an ongoing arrangement in which an external provider delivers, operates, or manages some of a customer’s technology. A UK government definition quoted in a joint cyber advisory describes a managed service provider as a supplier delivering IT services through ongoing support and active administration, typically under a service-level agreement. The precise definition is not universal: a 2025 UK market study used its own criteria, including ongoing management, active administration or monitoring, and network access.

What does a managed service provider do?
A managed service provider (MSP) delivers or manages agreed technology work. Depending on the contract, examples may include:

These are examples, not promises of standard inclusion. An MSP may also coordinate with other providers, and security work may be handled by a separate specialist. Confirm the named systems, users, locations, tasks, hours, and exclusions in the agreement.
How do I choose a managed IT service provider?
Start with the outcomes your business needs, then compare providers against the same written scope. NIST’s small-business guidance recommends assessing experience and customer feedback, requesting quotes from multiple providers, checking fit for your industry and legal, regulatory, or contractual needs, and documenting service expectations in a formal agreement.

Define coverage and service commitments
- List the users, devices, locations, applications, and infrastructure covered.
- Specify support hours and channels, response targets, escalation, onsite coverage, reporting, and how resolution is handled.
- Identify included routine work: monitoring, patching, account administration, backup management, restoration tests, and endpoint support.
- Record assumptions, exclusions, service-level remedies, and any separate or variable charges.
Clarify security responsibilities and access
An MSP’s privileged access is a material security consideration. If an attacker compromises a provider, that access can become a route into customer networks and may affect more than one customer. A joint government advisory recommends enforcing multi-factor authentication (MFA) for MSP accounts that access customer environments, disabling unused accounts, clearly assigning security duties in contracts, and retaining important logs.
- Ask which privileged accounts and remote-management tools the provider will use, and how access is approved and removed.
- Specify who handles security monitoring, vulnerabilities, patches, incident decisions, customer notifications, recovery priorities, and contact with regulators or insurers.
- Establish what logs the customer can review and how long important records are retained.
- Determine whether security operations are included or require a managed security service provider (MSSP) or another specialist.
Check business fit and contract terms
Ask for relevant experience and customer references, including experience with your industry and the obligations your business must meet. The agreement should define service levels, each party’s responsibilities, and expectations. Also review subcontracting, term and renewal, exit rights, documentation, data return, and transition arrangements so the operating relationship is clear if the provider changes.

What should be in a managed services agreement?
A useful agreement makes both the service and the responsibility boundaries concrete. It should identify covered systems and users, included and excluded work, service hours and support channels, response and escalation commitments, security duties, access controls, incident coordination, reporting, commercial assumptions, and exit and transition provisions. Name who makes decisions during an incident and who is responsible for customer notifications and recovery priorities.
Outsourcing tasks does not transfer the business’s accountability. NIST states: “You are ultimately responsible for protecting your systems and data.” The customer should retain oversight of its systems, data, and the provider’s access and performance.

How much do managed IT services cost?
There is no substantiated representative 2026 price range in the available official material. A monthly quote is not comparable unless it covers the same geography and service scope. Costs depend on factors such as user and device counts, support hours, security and backup coverage, response commitments, onboarding, and exclusions. Request multiple quotes against one specification, then compare recurring fees and one-time or variable charges separately.

What is the difference between an MSP and an MSSP?
An MSP manages agreed IT services, which may include infrastructure, support, applications, cloud work, or security. An MSSP specializes in managed security services. The labels do not establish a fixed division of labor: some MSPs include security tasks, while others use a specialist. Specify which provider monitors, responds to, and coordinates security incidents, and who retains decision-making responsibility.
What the UK market figures do—and do not—show
A UK Department for Science, Innovation and Technology-commissioned study estimated 12,867 MSPs actively operating in the UK as of March 2025. In that study, 57% of identified UK MSP companies were classified as diversified and 43% as dedicated; the study defined dedicated providers as attributing at least 75% of employment or revenue to managed services, and diversified providers as attributing less than 75%. These are estimates and classifications for the study’s defined UK market, not a global count, a 2026 count, or a universal industry split.
