Microsoft 365 Apps is a subscription offering for Microsoft productivity applications, including desktop versions of familiar tools such as Word, Excel, PowerPoint, and Outlook. The desktop apps are downloaded and installed on a computer; they do not run in the cloud just because Microsoft delivers the subscription as a cloud-based service. The term can also refer to an apps component included in a broader Microsoft 365 or Office 365 plan.

What does Microsoft 365 Apps mean?

Microsoft describes Microsoft 365 Apps as a subscription service that provides current versions of Office productivity apps. Microsoft’s licensing guidance also uses the name for a suite of desktop applications that can be licensed on its own or through certain Microsoft 365 and Office 365 subscriptions.

That makes “Microsoft 365 Apps” narrower than “Microsoft 365.” The apps are the productivity-software component; a broader Microsoft 365 plan may also include services for email, file storage, collaboration, meetings, security, and administration. Microsoft’s Microsoft 365 for enterprise overview describes these apps and services as parts of a wider offering.

Which apps are included?

Word, Excel, PowerPoint, and Outlook are common core desktop apps. Microsoft’s U.S. enterprise product page lists these applications for Microsoft 365 Apps for enterprise. Its licensing guidance also describes a broader desktop suite that includes OneNote, Publisher, and Access.

Do not assume every app is available on every device or under every subscription. Availability can differ by plan and platform, and web or mobile access is not the same entitlement as a desktop application license. Check Microsoft’s current Microsoft 365 Apps for enterprise page and Office applications service description for the selected plan and platform.

Project and Visio are separate products, not included in Microsoft 365 Apps under the cited enterprise licensing documentation. Other subscription plans may offer them, so confirm the entitlement for the plan in question rather than treating them as part of the Apps suite.

Do Microsoft 365 Apps run in the cloud?

No. Microsoft says the desktop apps are downloaded and installed on a supported local computer. Its service description puts the distinction plainly: “Even though it’s a cloud-based service, Microsoft 365 apps don’t run in the cloud.” The apps use Microsoft’s Click-to-Run installation technology. This is different from using browser-based versions of apps or cloud services that may be bundled with a subscription.

How does Microsoft 365 Apps differ from a full Microsoft 365 plan?

A standalone Apps subscription centers on productivity applications. A broader Microsoft 365 or Office 365 subscription can combine apps with online services and organization-level capabilities. Exactly what is included depends on the plan, platform, and market; the name alone is not enough to identify every entitlement.

  • Apps: productivity software, commonly including desktop Word, Excel, PowerPoint, and Outlook, subject to plan and platform.
  • Broader services: may include email, cloud file storage, collaboration, meetings, security, or administrative tools, depending on the subscription.
  • Standalone versus bundled: Microsoft licensing guidance says Microsoft 365 Apps may be licensed on its own or through certain broader subscriptions.

Microsoft’s service description comparison outlines how applications and services vary among subscriptions. For current plan entitlements, consult Microsoft’s enterprise plans and pricing page; plan names, features, and terms can change.

How are the apps installed and managed?

For an individual user, the desktop apps are downloaded through the Microsoft 365 portal and installed on a supported device. In an organization, administrators choose a deployment approach, manage app updates, and handle licensing and activation. Microsoft’s deployment guide covers those tasks.

Before deployment, administrators should assess device platforms and requirements, licenses and accounts, network capability, and application compatibility. Microsoft provides an assessment guide for that planning.

What should you verify before choosing a plan?

  • Whether you need desktop apps, web or mobile access, or both.
  • Which specific apps are licensed for your platform.
  • Whether you need services beyond the apps, such as email, storage, meetings, or collaboration tools.
  • For an organization, whether the plan supports the required user, licensing, deployment, and administration needs.
  • The plan’s current terms for your region; names, included features, prices, and availability may change.
