GPS fleet tracking uses GPS-equipped devices in fleet vehicles to determine where they are and transmit location data to software. Managers use that platform to view vehicles, trips, and alerts. Many systems also collect vehicle or diagnostic information, making GPS tracking one part of the broader category called fleet telematics.
What does GPS fleet tracking mean?
GPS fleet tracking is a combination of in-vehicle hardware, data connectivity, and software used to monitor the location and movement of vehicles in a business fleet. The GPS receiver determines a vehicle’s position; a communication connection sends that information to a fleet platform, where authorized users can see it on a map or review it later.

GPS itself is a U.S.-owned positioning, navigation, and timing utility. It provides positioning signals; it does not, by itself, transmit a vehicle’s location to a manager. That requires a tracker and a separate communications link. GPS.gov explains how the GPS system works.
How does fleet tracking work?
- Positioning: A receiver in the vehicle uses satellite signals to calculate its position and time.
- Data collection: An onboard tracker or telematics unit records the location. Depending on the device, vehicle and configuration, it may also collect diagnostic or sensor data.
- Transmission: The unit sends information to a server or cloud platform, commonly over a cellular network. Some systems use other supported networks, such as satellite.
- Review: Fleet software presents information through maps, trip histories, dashboards, reports, and alerts.
The U.S. Department of Energy’s Federal Energy Management Program describes telematics as collecting and transmitting near-real-time vehicle data, including GPS location and diagnostics, through a cellular network to a cloud platform. “Near-real-time” does not mean every service updates at the same interval; reporting frequency depends on the system and its configuration. What can a fleet tracking system do?
Features vary by hardware, service, and setup. Depending on the system, a fleet may be able to:
- View vehicle locations and review trip history.
- Set geofences and receive alerts when a vehicle enters or leaves a defined area.
- Review vehicle use and support dispatch or utilization decisions.
- Access selected fault, engine, mileage, or trip data.
- Use driver-coaching tools or maintenance reminders where those features are available.
These are possible capabilities, not guaranteed results. A tracker or dashboard alone does not establish that a fleet will save money, improve safety, or reduce maintenance costs.

- [NO MONTHLY FEE — 4G SIM & DATA INCLUDED] Pay once and track without a recurring subscription or activation fee. The built-in 4G SIM and data are included, so you can view vehicle location and activity in the TrackEase app or web dashboard. Coverage depends on local cellular availability.
- [PLUG-AND-PLAY OBD POWER — NO CHARGING] Plug the tracker into a compatible vehicle’s OBD-II port—no wiring, tools, or battery charging required. It draws power from the vehicle and enters sleep mode after the engine is turned off for simple, set-it-and-forget-it tracking.
- [REAL-TIME LOCATION & 180-DAY TRIP HISTORY] See live vehicle location with updates every 5 seconds while moving, then review up to 180 days of routes, stops, mileage, and driving activity in the iOS, Android, or web app.
- [CUSTOM SAFETY & SECURITY ALERTS] Receive push notifications for speeding, vehicle movement, geofence entry or exit, and device disconnection. Use configurable alerts to monitor teen drivers, family vehicles, company cars, or potential theft.
- [MULTI-VEHICLE MANAGEMENT & GLOBAL COVERAGE] Manage multiple VITALGLOW trackers from one account and keep each vehicle’s map, alerts, and trip history organized in one dashboard. Supported 4G service is available in 170+ countries and regions, including the U.S., Canada, and Mexico.
For a public-sector example, GSA Fleet lists GPS location, trip history, geofencing, fault and engine data, miles and trips, driver coaching, and maintenance reminders among possible data elements. Its page also distinguishes its own access from agency data sharing: GSA Fleet says it does not receive GPS data, and the DOE guide says GPS data are not received by GSA unless an agency explicitly shares them. The GSA page was last updated September 22, 2025. See GSA Fleet’s telematics information.

| Device type | How it is installed or used | Typical fit |
|---|---|---|
| Factory-installed OEM telematics | Built into or integrated with the vehicle by its manufacturer. | Can integrate with vehicle systems; features and consistency may differ across makes, which can matter in a mixed fleet. |
| OBD-II plug-in tracker | Plugs into a vehicle’s OBD-II port. | Useful where the vehicle interface is compatible and a plug-in installation is appropriate. |
| Hardwired aftermarket unit | Installed directly into the vehicle’s electrical system. | An option when a fleet wants an installed unit rather than a port-connected device. |
| Temporary plug-in system | Installed for a limited period and removed when no longer needed. | Can suit short studies or pilots. |
| Asset or trailer tracker | Attached to powered or unpowered equipment; may draw vehicle power or use a battery. | Designed for assets that are not always driven. Battery-powered units may report less often to extend battery life. |
These categories are not interchangeable in every vehicle. Confirm compatibility, power needs, installation requirements, and the data the service actually provides before choosing hardware. DOE’s telematics guide and Geotab’s explanation of GPS tracking describe common device and system approaches.

Active versus passive tracking
Active trackers transmit information to a central system on an ongoing basis, supporting monitoring while vehicles are in use. Passive trackers store data on the device for later retrieval, so they are suited to reviewing recorded activity rather than relying on ongoing transmission. The label describes the data-transmission model, not the quality of the GPS position itself. Actual reporting frequency and availability depend on the product and configuration. Geotab outlines active and passive tracking.

- Driver-related features: If driver identification or coaching is required, verify how those functions work and what additional hardware or configuration they need.
GPS fleet tracking and privacy
Tracking capabilities do not dictate a universal rule for who can access location data or when it may be collected. Access and permitted use depend on the provider’s configuration, the employer’s policies, and applicable law in the relevant jurisdiction. For a specific deployment, clarify who can view live and historical data, how long records are retained, and how drivers are informed.
