Field service communication software connects the office, mobile technicians, and customers around the same service request or work order. Usually it is a set of communication features within field service management software—not a standalone messaging app—so updates can follow assignments, schedules, and job-status changes while the service record stays current.
What the software does
Field service teams coordinate work that happens away from the office: repairs, installations, inspections, and maintenance at customer sites. Communication software helps dispatchers, technicians, customer service staff, and customers share the information needed to arrange and complete those visits.

Depending on the product, that can mean internal assignment alerts and dispatcher messages, customer appointment reminders and status updates, or a portal for tracking a technician. The defining idea is that communication is connected to the service workflow. A message can be tied to a booking or work order rather than living in an unrelated inbox or text thread.
There is no single standardized feature list for this category. Microsoft describes communication as one capability within Dynamics 365 Field Service, alongside work orders, scheduling, mobile work, assets, inventory, billing, and analytics. Other vendors package and name similar capabilities differently. Microsoft’s Field Service overview describes the broader workflow as a service-to-cash process, from the initial request through final billing.

How it works, from request to closeout
A typical communication lifecycle follows the job record. Exact steps, message channels, and automation depend on the software and its configuration.
- A request becomes a work order. A service request may come from a call, email, case, agreement, portal, sales order, or connected-device alert. The resulting work order can hold the job description, location, customer and equipment details, required skills, checklist, parts, and billable labor.
- Dispatch assigns the job. A dispatcher reviews the work and chooses a technician or other resource based on factors such as location, availability, skills, and priority. Depending on the system, scheduling may be manual, assisted, or optimized automatically.
- The technician receives the assignment. A mobile app can show the schedule, directions, instructions, customer and equipment history, and tools for reporting work. The technician may be able to add notes or photos, record time and parts, complete an inspection, or capture a customer signature.
- Updates follow job events. The system may send a customer a booking confirmation or reminder, or notify them about a reschedule, a technician en route, arrival, or completion. Internally, it may alert dispatch to a delay or reassignment. Which events trigger messages—and whether they go by SMS, email, voice, or in-app messaging—varies by product.
- The record is updated after the visit. The technician records whether the work is complete or needs follow-up. Depending on the workflow, closing the work order can update service history and inventory and support billing.
The practical benefit is not simply sending more messages. It is helping the right person receive a relevant update when the job changes, while keeping the underlying work record accurate.

Who communicates, and through which channels?
Office and dispatcher to technician
Internal communication can include assignment notifications, changes to job details, dispatch messages, and follow-up instructions. Microsoft documents push notifications for events such as new assignments in its Field Service mobile app. ServiceNow documents a different implementation: dispatchers can message agents through a Microsoft Teams-connected sidebar in Dispatcher Workspace, with communication documented and tracked. These are vendor-specific examples, not features guaranteed across the category.

Business to customer
Customer-facing messages can cover appointment confirmation, reminders, delays, rescheduling or cancellation, arrival, and completion. ServiceWorks describes email, SMS, and automated robocalls, with templates associated with business events. The available channels and the ability to customize recipients, timing, and wording depend on the product.

Customer self-service and technician tracking
Some systems offer a customer portal or temporary technician tracking. Microsoft’s documented Field Service portal tracking requires the mobile app, location sharing enabled in Field Service and permitted on the technician’s device, and supported SMS and email providers or connectors. Microsoft also says tracking is unavailable after the booking reaches “In Progress,” when the system assumes the work is at the designated job location. That is an example of one vendor’s setup and limitation, not a universal rule.
Why the technician’s mobile app matters
The mobile app is usually the technician’s operational workspace, not just a place to receive messages. It may provide assigned jobs and directions, instructions, customer and equipment history, and forms for recording service. Depending on the app, technicians can also add notes or media, track time, record parts, complete inspections, capture signatures, and create follow-up work.

Offline support is a product and configuration question. Microsoft documents offline use when administrators configure the relevant capabilities and data profile; its documentation says the refreshed mobile experience does not currently support offline work. Salesforce’s Field Service mobile documentation describes offline capability. Do not assume that an app works offline simply because it is mobile: test the exact app, workflow, and data technicians need at low-connectivity sites, including what happens when changes sync again.
What to check when comparing options
Start with the communication problems your team needs to solve, then test whether the product connects messages to the work itself. These questions help distinguish a useful workflow from a collection of disconnected channels.

- Key lock; use this function to save the current settings; reducing work insecurity caused by frequent operations and mistakes caused by accidentally touching other buttons when busy
- Channels and triggers: Which channels are available—email, SMS, voice, in-app, or team messaging? What job events trigger messages? Can you control templates, recipients, and timing?
- Workflow connection: Are messages tied to work orders, bookings, schedules, customer history, and status changes, or must staff update separate tools manually?
- Technician workflow: Can technicians access the assignment, instructions, customer and equipment details, and the notes, photos, forms, or signatures they need to report the visit?
- Offline behavior: Which app version and workflows work without a connection? What data is available offline, and how are edits synchronized? Test the actual configuration rather than relying on a general offline claim.
- Tracking and privacy: What location information is shared, when is it shared, and which device permissions, administrator settings, or messaging connections are required? Check what controls technicians and administrators have.
- Integration and operating fit: Verify connections to the systems your process actually uses, such as customer records, contact-center tools, messaging providers, maps, identity, or back-office applications. Confirm that roles and permissions match how your team works.
Product documentation can establish that a feature exists, but it does not establish that a vendor is the best choice for every team. A useful evaluation is a walkthrough of one realistic job—from intake through dispatch, customer updates, offline or low-signal work if relevant, and closeout—using the roles and connections your operation needs.
When this type of software is useful
It is most relevant when a service organization needs office staff, technicians, and customers to coordinate around many field visits and wants those conversations linked to assignments and job status. Teams with simpler processes may need only a subset of the capabilities. In either case, the key distinction is whether the communication tools fit the service workflow, not how many channels appear in a feature list.
