A virtual phone system is a provider-hosted business telephone service that uses Voice over Internet Protocol (VoIP) to carry calls and cloud-based phone-system software to manage numbers, extensions, and call routing. Employees can often use it through desktop or mobile apps; compatible VoIP desk phones may also be supported, but an office PBX or desk phone is not inherently required.
What does “virtual phone system” mean?
The term usually describes a business phone service hosted in the cloud rather than a telephone switching system installed at the company’s premises. The provider runs the core service, while the business and its employees use supported devices and apps to place, receive, and direct calls. Zoom describes its cloud PBX as a remotely hosted virtual PBX that uses VoIP to answer and route calls (Zoom’s cloud PBX overview); RingCentral likewise describes a virtual phone system as a cloud-based service available from internet-connected devices (RingCentral’s virtual phone system overview).

“Virtual phone system” is a broad product description, not a guarantee that every provider or plan includes the same features. A service may bundle calling with tools such as auto attendants, extensions, or administration features, but the exact package depends on the provider and plan.
How does a virtual phone system work?
VoIP carries the call
VoIP stands for Voice over Internet Protocol. It carries voice audio as data across IP networks; the receiving endpoint reconstructs that data as sound. This is the transport technology for the call, rather than the whole business phone system (RingCentral’s VoIP explanation).

Cloud PBX software handles business-phone functions
A private branch exchange (PBX) is a telephone switching system for an organization. A traditional PBX is installed on-site; a cloud PBX places those phone-system functions on provider-hosted infrastructure. Its software can direct incoming calls, connect users through extensions, and provide features such as auto attendants. Some services also offer browser-based administration (RingCentral’s cloud PBX overview).
In short, VoIP moves the audio, while the hosted PBX supplies the business calling functions that decide where calls go and how employees handle them. “Virtual phone system” commonly refers to the resulting hosted business service.

Do you need a desk phone?
No—not as a general requirement. Many services let employees make and receive calls in desktop or mobile apps. Some also support compatible VoIP desk phones, so a business can use physical handsets where they are useful. Zoom documents app calling as well as use of compatible VoIP phones (Zoom Phone supported devices). Google Workspace describes Google Voice for business across mobile, laptop, and supported desk-phone use (Google Voice for business).
If you prefer a handset, look for a SIP VoIP desk phone only after checking the phone service’s current compatibility list. A handset that works with one service is not necessarily supported by another.
