A managed service provider’s ideal customer profile (ICP) describes the organizations whose IT and security needs the MSP can serve reliably, whose budget supports that service, and whose expectations fit the MSP’s delivery model and capacity. It is not a universal employee-count or revenue band. A useful ICP connects the work you can consistently deliver with the customers most likely to become sustainable, long-term relationships.
What an MSP’s ideal customer profile describes
An ICP is a description of an organization that is a strong fit for your managed services—not a description of an individual lead or buyer. It should be specific enough to guide marketing and sales, but grounded in the services your team can actually provide.

The UK government’s 2025 market study defines managed services as ongoing third-party management, administration, or monitoring of IT systems, infrastructure, applications, or networks, including cybersecurity activity, with network connection or access to the customer’s systems. That scope is a useful reminder to define what your MSP owns, rather than targeting the vague category of “businesses that need IT support.” UK government managed service provider market study
Which businesses should an MSP target?
Target organizations where your service scope, economics, and way of working align. A practical qualification lens has four parts: service fit, commercial fit, decision fit, and growth potential. MSP Agenda presents these as a prospect qualification framework, not as an industry-wide standard. MSP Agenda’s prospect qualification framework
#1 Best Overall
- Service fit: The customer’s systems, security needs, locations, operating hours, complexity, and expected response levels match what your team can support.
- Commercial fit: The available budget can sustain the proposed recurring service and the level of support required.
- Decision fit: You can reach the accountable decision-maker, understand the buying process, and agree who is responsible for key outcomes.
- Growth and retention potential: There is a credible basis for a stable relationship and appropriate service expansion—not simply a speculative promise of future work.
Also examine whether security and operational responsibilities can be made clear on both sides. The UK National Cyber Security Centre’s SME guidance for choosing an MSP highlights service fit and budget, certifications, references, service levels, transparency, security roles, patching, backups, monitoring, and incident handling. These are useful discovery dimensions for an MSP to assess whether it can serve a prospect convincingly. NCSC guidance on choosing a managed service provider
How to build a usable MSP ICP
1. Set the boundaries of your services
List the managed work you can deliver consistently, including what is included, what is excluded, and what depends on a customer’s cooperation. Relevant categories can include IT infrastructure and service management, cloud, and managed security; the UK government’s 2023 research uses these among its categories for the UK MSP market. They are examples, not a checklist every MSP must offer. UK government research on managed service providers

2. Describe customer conditions that fit your delivery model
Specify the environments in which your service works well: supported locations and hours, types of systems, security requirements, complexity, and how much internal IT capability the customer intends to retain. Treat these as discovery questions, not universal thresholds. For example, an MSP may be able to support organizations with a small internal IT team that wants outside monitoring and escalation, while another may be structured to take on broader day-to-day management.

3. Check budget and buying authority
Determine whether the prospect’s budget matches the actual scope and service level it needs. Identify who approves the work, how procurement proceeds, and whether the people responsible for security and operations can agree on roles. An interested contact alone is not enough to establish decision fit.

4. Decide whether an industry focus is justified
Industry specialization can sharpen an MSP’s positioning when it has relevant knowledge, references, and repeatable ways to serve that sector. The MSP Association of America’s SMB buyer guide presents industry-specific IT support as a buyer proposition, but the available guidance does not establish that one sector is best for every provider. Consider a vertical when your experience and delivery capabilities support it, not just because the sector sounds attractive. MSP Association of America SMB Buyer’s Guide GTIA MSP Guidebook
5. Put the profile into the sales process
Translate the ICP into plain-language target-market descriptions, prospect lists, and qualification questions. Track lead source, service fit, budget, decision process, next step, and outcome in a CRM or another consistent system. The MSP Association’s business self-assessment recommends planning target markets and prospect lists and using a CRM to track opportunities and follow-up; it does not endorse a particular software vendor. Compare candidate customer segments
If you are choosing between potential segments, compare them against the same criteria rather than relying on an assumed ideal company size.
| Dimension | Question to answer |
|---|---|
| Service fit | Can the current team, tools, and expertise deliver the required work reliably? |
| Commercial fit | Can the segment sustain the recurring service and support costs? |
| Decision fit | Can you reach an accountable buyer and navigate a workable buying process? |
| Growth and retention potential | Is there a credible path to a durable relationship and appropriate expansion? |
| Risk and responsibility | Can both parties define security, backup, incident, and operational responsibilities? |
The first four dimensions follow MSP Agenda’s commercial qualification framework. The last reflects NCSC guidance on security responsibilities, contracts, and risk. Use the dimensions to make a consistent comparison; they are not a formally validated scoring instrument.
Is there a standard customer size for an MSP?
No universal customer headcount, revenue floor, or minimum contract value is established by the cited sources. The UK government’s 2023 research reports characteristics of MSP providers, not a recommended size for their customers. It estimated 11,492 active UK providers based on analysis as of August 2023, and estimated £52.6 billion in managed-services revenue in 2022. Among providers whose size was known, it classified 4% as large, 9% medium, 28% small, and 59% micro. Those figures describe the UK provider market under that study’s methodology; they do not set an ICP for an individual MSP or represent current global counts. The report also notes that defining the market is difficult because there is no dedicated SIC code for MSPs. UK government research on UK managed service providers
A practical prospect-fit checklist
Use these questions during qualification. A strong prospect is one for which you can answer yes with evidence—not merely optimism.
- Do the organization’s IT and security needs match services we already deliver well?
- Can we support its locations, operating hours, complexity, and expected response levels?
- Does its available budget support the scope and service level it needs?
- Are the decision-maker, buying process, and responsibilities clear?
- Can both parties agree on security, backups, incident reporting, and service boundaries?
- Is there a plausible basis for a stable, long-term relationship?
This checklist combines the NCSC’s buyer-relevant considerations with the four-fit qualification dimensions; it is a practical screen, not a formally validated scoring method.
