Online OCR (optical character recognition) turns text trapped in scans and images into text a computer can read. In a workday, that means a scanned PDF can become searchable, and you can select and copy its words instead of retyping them. What no official source establishes is how much time it saves or how much it cuts errors. Those depend on your documents, your tools and how carefully you check the output.
What changes in a typical workday
Finding a detail in a scan
Without OCR, a scanned contract or receipt is a picture, so you page through it by eye. With text recognition, you can search for a phrase. Microsoft documents this for scanned PDFs in the OneDrive mobile app (Microsoft Support, “How to use optical character recognition to read PDFs in OneDrive”). Whether it works for you depends on the file and the service supporting that workflow.

Reusing text instead of retyping it
Microsoft describes the OneDrive flow as: open the scan, long-press, choose “Recognize text,” then select and copy the recognized text. At the time Microsoft’s page was accessed (October 2026), it described the feature as rolling out to the Android and iOS apps, so it may not yet appear for everyone. Microsoft says OCR is built in to help users “reuse information, speed up document workflows, and make content easier to find.” That is a product description, not independent evidence of measured results.
Digitizing and processing records
Cloud services go beyond copy and paste. Google Cloud’s Enterprise Document OCR processes PDFs and images, recognizes structure (blocks, paragraphs, lines, words and symbols) and can deskew documents. Google lists archiving and accessibility among its use cases. For a team with paper backlogs, this is the step that turns images into text that can be indexed or processed further.

Running quietly in the background
In some organizations OCR is not something you invoke at all. Microsoft Purview OCR is an optional, organization-level capability. Its setup involves tenant configuration and Syntex pay-as-you-go billing. Microsoft’s documentation lists the supported locations and file types and says it supports more than 150 languages (page last updated April 30, 2026). That language figure describes Purview only, not OCR accuracy or other providers. Here OCR serves compliance and information protection, and an administrator decides whether it is on.

This is not a ranking. The sources give no comparable accuracy or speed numbers. Choose by the job: quick search and copy, or bulk document processing. Then check supported file types and locations, setup and cost, languages and privacy controls.

What the evidence does not show
The official pages describe features. They do not report minutes saved, error reductions or average productivity gains, and no independent study of OCR in daily work turned up. Treat any specific time-saving claim you see with caution.

Recognized text can also be wrong, especially on poor scans. A practical habit, which is our recommendation and not a finding from the sources, is to check names, amounts, dates and anything that drives a decision against the original image before relying on the extracted text.

Privacy: searchable also means discoverable
OCR can surface text a human reader would miss. Google Search Central warns that text hidden by tiny type, matching text and background colors, or an image placed over it can still be recognized and indexed when a document is published. Visually covering information is not redaction (Google Search Central, “Keep Redacted Information out of Google Search”). Remove sensitive content properly before sharing a file.
For cloud documents, also check who can open them. Google says new Google Docs, Sheets, Slides and Vids files are restricted by default, and it recommends reviewing general access when auditing privacy (Google Docs Editors Help). That applies to Google Workspace and should not be read as a guarantee from any other OCR provider.

The Bottom Line
Online OCR’s clearest effect is making scanned documents searchable and copyable, which cuts hunting and retyping. Pick the tool that fits the job, verify anything that matters against the original, and never rely on hidden text to protect sensitive content.
