A global search box can look like one input and one query. In a multi-application product, it is closer to a subsystem: it must decide what is searchable, how a match is recognized, what the user is allowed to see, which results matter most, and how the index stays current. In a 2026 account of a logistics platform, the author says a request to search across 34 list views in 11 applications led to a project that took about eight months to ship and became the most expensive feature built that year. Those figures describe one team’s experience, not a general cost benchmark.
Why customers ask for one search box
The request sounds simple: type a phone number once and find everything associated with a customer, regardless of which application contains it. The unnamed operations manager in the author’s account put the frustration this way: “why do I have to know which table a thing lives in before I am allowed to look for it?”

That is a real product problem. When a platform has many list views, asking people to know the right application, table, or filter first makes them navigate the software’s data model instead of looking for the thing they need. But removing that navigation from the interface does not remove the underlying complexity. It moves decisions about data, access, matching, ranking, and maintenance into the search system.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhy search is not just another filter
Filters start with a known field and condition
A filter applies a structured condition to a known field: show records with a particular status, date range, or owner. The system already knows which field to inspect and what kind of comparison to perform.

Search starts with a fragment and unresolved questions
A search query may be a name fragment, phone number, order number, or phrase. Before it can return useful results, the system has to determine which fields and data sources to inspect, how to compare the input with stored values, and what should count as a close enough match. A text box followed by a database query can conceal these choices, but it cannot eliminate them.
The product question is not merely “can this text be matched?” It is also “what did the person mean, and what is safe and useful to show them?”
What a global search needs to search
The author groups the potential search space into three different corpora. This is a framework from the author’s account, not a universal taxonomy; its value is in making clear that “everything” can mean very different kinds of data.

| Corpus | Examples | Why it changes the design |
|---|---|---|
| Records | Rows in business tables across applications | Fields may have different meanings and types, and the same query may need different matching rules for each. |
| Metadata | Field labels, forms, workflow definitions, scripts, and permission rules | Users may want to find how a process or form is configured, not just a business record. Metadata also affects how records are interpreted and protected. |
| Unstructured content | Attachments, scanned documents, comments, and imported chat threads | Content extraction, tokenization, access, retention, and indexing costs can differ from those for structured rows. |
These categories should not be treated as one interchangeable pile of text. The author’s point is that each can require different decisions about tokenization, access control, retention, and cost. A team that promises to search “everything” should first specify which of these categories it will include—and what “search” means for each.
Matching names, languages, and identifiers
Even within one corpus, a single matching rule may be inadequate. The author highlights mixed-language content, including Chinese and English, because tokenization strategies that work for one language may not work for another. The account also distinguishes identifiers such as phone and order numbers from ordinary prose: normalization may help treat formatting variations as the same identifier rather than as unrelated text.
These are design concerns raised by the author, not independently validated prescriptions. The practical implication is to define expected queries and matching behavior before choosing an implementation. For example, decide whether punctuation or spacing in a phone number should matter, whether a partial order number should match, and how users should search content written in multiple languages. Without explicit expectations, users cannot tell whether a disappointing result reflects missing data, unsupported matching, or a permission boundary.

Permissions apply to results, not just record pages
A search index can become a second route to sensitive information. The author warns that it must preserve the source system’s access rules: a user who cannot access a record should not learn about it indirectly through a result, a result count, or a highlighted snippet. Hiding the link to a record is not enough if its title or matching text is still exposed.
There are different ways to enforce access, including filtering at query time or scoping the index. The author notes that these approaches have different costs; the account does not establish one as universally preferable. Whichever approach a team chooses, the relevant question is whether every visible signal—including counts and snippets—respects the user’s permissions.
Freshness, backfills, and deletion are part of search
Search results depend on an index that can lag behind the application database. A saved record may be available in the main product before it becomes searchable. The author argues that teams need a stated expectation for how quickly changes should appear in search; “current” is not a useful promise unless it has a defined meaning for the product.

The index also has a lifecycle beyond day-to-day updates. The author’s account calls out backfills for existing customers, tenant provisioning, and deletion. Those are operational requirements: a new tenant may need its existing data indexed, a newly created tenant must be represented correctly, and deleted data must not remain discoverable through the search layer.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Ranking is a product decision
A query can match several plausible records. Ranking determines which appears first, and the author frames that ordering as a product decision—not a neutral technical detail. A result that is technically relevant but consistently less useful than another can make search feel unreliable.

Teams therefore need to decide what “best result” means in their context and how much control they need over ranking. The author raises ranking as an important design question but does not provide a benchmark or a universal scoring method.

Search errors matter more when automation acts on results
The author also raises the possibility that software agents may retrieve and act on search results. In that setting, an incorrect or unauthorized result can affect more than a person’s next click. This is a concern expressed in the account, not a measured estimate of the risk; it is a reason to treat retrieval quality and access enforcement as product requirements rather than cosmetic refinements.
What to define before promising global search
The logistics example is useful as a case study, not a prediction of what another team will spend. The author reports 34 list views across 11 applications and about eight months to ship the resulting global search; those numbers belong to that platform and project. The account does not provide independent cost data or establish what another team should build or buy.
For a product team scoping a similar feature, the author’s concerns can be turned into concrete questions:
- Coverage: Which records, metadata, and unstructured content are in scope?
- Matching: How should names, mixed-language text, phone numbers, and business identifiers behave?
- Permissions: How will access rules apply to results, counts, and snippets?
- Freshness: How soon after a write should a result be searchable?
- Lifecycle: How will backfills, tenant creation, and deletion be reflected in the index?
- Ranking: What makes one plausible result more useful than another?
- Automation: Could another system act on retrieved results, and what retrieval errors would matter?
Answering these questions does not guarantee a small project. It does make the scope visible before a deceptively modest interface creates expectations the underlying system cannot meet.
