“Mail to fax” usually means email-to-fax: you compose an email, attach a document and send it through an online fax service, which processes it and delivers it to a fax number. The service—not your email client—provides the connection to the fax network.
What is email-to-fax?
Email-to-fax is an outbound way to send a fax using an email account. A provider’s service receives the email and attachment, converts or processes the content as needed, and transmits it to the recipient’s fax number. Zoom describes its feature as allowing authorized users to send faxes from an email client, but authorization and setup depend on the provider. Zoom Support

How is email-to-fax different from fax-to-email?
Email-to-fax sends a document from your email toward a fax number. Fax-to-email is the reverse: an incoming fax is delivered to an email inbox. The terms describe opposite directions, so check which one a service or instruction means before following its steps.

- Check the provider’s instructions. Confirm that your account can send faxes, which email address is authorized, what recipient-address format to use, and which attachment types are accepted.
- Compose an email and attach the document. The supported formats and any service-specific requirements vary. USFax, for example, describes support for PDF, Word and image files; that list should not be assumed to apply to other providers. USFax
- Address the message as the provider directs. The provider supplies the gateway or addressing pattern that connects the email to the destination fax number. Do not assume one service’s format works with another.
- Send the email, then check the fax status. Look for the provider’s confirmation or delivery report. Seeing a message in your email Sent folder confirms that you sent an email, not that the fax was delivered. iTechGuides
Why do the instructions vary between services?
Email-to-fax is a service-mediated workflow, not a single universal email standard. Providers set their own account eligibility, authorization rules, recipient syntax and attachment requirements.

Dropbox Fax
Dropbox Help says its email-to-fax instructions apply to paid, active Dropbox Fax subscribers. The sender address must match the email address on the HelloFax account; aliases are not supported. Its documented number format is also provider-specific: for a US destination, it gives an example with country code 1, while for non-US destinations it specifies a 00 prefix followed by the destination country code. Follow the current instructions for your own account rather than applying this pattern elsewhere. Dropbox Help
Zoom
Zoom’s feature requires an eligible fax number assigned to a supported asset, such as a shared line group, call queue, auto receptionist or phone user, and an authorized sender for that asset. Zoom lists qualifying paid Zoom Workplace and Zoom Phone plan categories and notes availability exceptions for Japan and India. These are Zoom-specific requirements, not general conditions for all email-to-fax services. Zoom Support

What should you check before sending?
- Sender authorization: make sure you are sending from an address the service recognizes, and check whether aliases are allowed.
- Destination format: use that provider’s instructions for country codes and number formatting, particularly for international destinations.
- Attachments: confirm permitted file types and any limits in the service’s instructions.
- Account eligibility: check whether sending requires a paid subscription, assigned fax number or other account setup.
- Delivery confirmation: keep the provider’s confirmation or report if you need evidence of the fax’s status.
- Privacy and compliance: do not assume that using email-to-fax makes a transmission secure or compliant. Evaluate the specific provider, plan and configuration for your needs.
Do you need a fax machine?
No fax machine is required for the documented email-to-fax workflow: the online service handles delivery to the fax number. A scanner can help digitize paper documents before you attach them, but it is optional if you already have a digital file. A physical fax machine supports a different sending route.
