The job usually includes answering inquiries, marketing available homes, conducting tours, explaining rental criteria and lease terms, guiding applications, preparing lease documents under company procedures, and following up with residents after move-in.
Leasing consultant and leasing professional are common alternative titles. The position is generally sales- and service-focused; a property manager has broader responsibility for a community’s operations, finances, maintenance, records and compliance. Exact duties depend on the employer, property size and local rules.

The leasing agent’s job, from first inquiry to move-in
A leasing agent manages the prospect-to-resident journey. The agent represents the community, but does not normally create the community’s rental policy or make every final approval decision independently. Instead, the agent explains established criteria, follows the property’s workflow and records each step in the systems the employer provides.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems1. Attracting prospects and responding to inquiries
The process starts when someone finds a listing, calls, emails, submits a website form or walks into the office. The agent responds promptly, answers questions about availability, rents, amenities, deposits, pet rules and scheduling, and records the interaction in the community’s leasing or customer-relationship system.

Marketing work can include using the property’s listing channels, coordinating advertising details, updating availability information and monitoring how the community is presented online. The National Apartment Association Education Institute’s Certified Apartment Leasing Professional (CALP) curriculum specifically covers technology used to generate traffic, marketing plans, relationship sales and evaluating a prospect’s commitment. 2. Discovering a prospect’s needs
Before recommending a home, the agent asks practical questions: desired move-in date, preferred floor plan, budget, household size, accessibility needs, parking or storage requirements, and lifestyle priorities. This conversation helps match a prospect with available homes without promising features, pricing or approval outcomes that the property cannot provide.
3. Conducting tours
The agent prepares the route, confirms which homes are ready to show and presents the apartment, building, amenities and neighborhood context. A tour may include model units, vacant apartments, common areas, package facilities, fitness or recreation spaces, parking and resident services. The agent points out actual features and explains what is included in rent versus what carries a separate charge.

Applications, screening and lease preparation
Explaining rental criteria
Applicants need a clear explanation of the community’s published rental criteria: income or employment documentation, identity requirements, occupancy standards, credit or rental-history checks, deposits, fees, guarantor rules and timing. The agent communicates the policy consistently and routes unusual questions or exceptions to the person authorized by the employer.
The agent should distinguish between explaining a criterion and deciding whether an applicant satisfies it. Screening may be performed by a centralized team, a manager or an authorized service, depending on the property’s process. A leasing agent should never imply that a tour, verbal conversation or preliminary estimate is a final approval.
Guiding the application
- Confirm availability and terms. Verify the specific apartment, lease length, rent, concessions, deposits and recurring charges in the current system.
- Provide the application route. Explain where to apply, what information is required, applicable fees and the expected review sequence.
- Check for completeness. Follow the employer’s process for missing signatures, documents or identity information; do not alter criteria for an individual applicant.
- Route screening questions. Send the file through the designated screening and approval workflow and communicate only the status the policy permits.
- Document communication. Record material contacts, decisions and requested follow-up so another team member can continue the case accurately.
Preparing and reviewing the lease
Once the application is approved through the property’s process, the agent may prepare the lease package, explain key provisions and collect signatures. Typical explanations cover the lease term, rent due date, deposits, utilities, maintenance reporting, entry rules, notices, insurance requirements, community policies and move-out obligations. The agent works from the employer’s approved forms and procedures; legal interpretation or policy exceptions belong with the appropriate manager or legal resource.
Coordinating move-in
Move-in support can include confirming the start date, verifying that required funds and documents are complete, explaining key pickup or access procedures, providing community rules, documenting the apartment’s condition and directing the resident to maintenance or utility setup instructions. The agent may coordinate with maintenance and the manager when a home is not ready, while keeping the resident informed about the status.

What leasing agents do after a resident moves in
Resident service and issue follow-up
The relationship does not necessarily end at signature. Depending on the job description, the agent follows up on resident questions, routes maintenance requests, documents incidents and connects residents with the correct department. The agent may not perform repairs or authorize every remedy, but is often the person who ensures that a request enters the right workflow and receives a response.
Renewals and retention
Some leasing teams contact residents before lease expiration, explain renewal options, prepare renewal paperwork and process signatures. Others assign renewals to a manager or resident-services specialist. Read the posting carefully: “leasing” may mean only new leases at one community and include renewals, notices or resident events at another.
Community relationships and reputation
Agents can help build relationships with residents, answer questions about amenities and community procedures, document incidents and monitor the community’s reputation. The NAA career map identifies reputation monitoring, sales-performance evaluation and market surveys among leasing-career activities.
Leasing agent versus property manager
The titles overlap in small communities, but their usual scope is different. The U.S. Bureau of Labor Statistics describes property and real estate managers as overseeing operations such as maintenance, repairs, records, complaints, financial reporting and compliance. When vacancies occur, those managers may advertise a property or hire a leasing agent to find a tenant. U.S. Bureau of Labor Statistics overview

O*NET’s profile for property, real estate and community association managers includes showing properties, explaining occupancy terms, marketing vacancies, keeping rental-activity records and compliance-related duties. Those tasks provide context for the management field, not a universal list that should be assigned to every leasing agent. O*NET occupational profile A small property may combine the jobs, so the employer’s written description matters more than the title alone.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Skills and tools the role requires
- Customer service: listening carefully, explaining unfamiliar terms and responding professionally when a prospect or resident is disappointed.
- Relationship sales: identifying needs, presenting an appropriate home, handling objections and following up without misrepresenting availability or pricing.
- Clear communication: translating policies and lease language into plain instructions while knowing when to escalate a question.
- Organization and accuracy: tracking leads, appointments, documents, signatures, deadlines and follow-up commitments.
- Technology comfort: using leasing, customer-relationship, application, e-signature, marketing and maintenance systems; the exact products vary by employer.
- Market awareness: reviewing competing communities, availability and pricing information when conducting assigned market surveys.
- Conflict judgment: documenting incidents, protecting confidential information and involving a manager when a request exceeds the agent’s authority.
Because every conversation can affect access to housing, fair-housing compliance is part of the regulated context. The CALP curriculum addresses fair-housing laws, rental criteria, prospect qualification, lease preparation, resident issues, renewals, documentation and market surveys. BLS also lists compliance with anti-discrimination laws among property-management responsibilities. These references do not replace the law in a particular country, state, province or city; an employer’s training and local rules determine the required procedures.
What a typical day can include
Schedules vary with tours, move-ins, resident needs and staffing. A day might include opening the office, checking new inquiries, confirming apartment readiness, responding to messages, updating availability, conducting several tours, entering notes, processing an application, preparing a lease package, coordinating a move-in and returning calls from current residents.
Busy periods require rapid switching between sales and service. A prospect may need an immediate answer while a resident is waiting for an update and a move-in file is missing a document. Good recordkeeping and a clear escalation path prevent a promise made in one conversation from conflicting with the community’s actual policy.

Training and the CALP credential
The National Apartment Association Education Institute offers the Certified Apartment Leasing Professional credential. The published program requirements are:
- At least six months of onsite property-management experience in a leasing role. The experience may be earned while taking the course; a provisional certificate applies until the experience requirement is met.
- Completion of seven CALP courses.
- Passing the exam within six months of declaring candidacy.
These are requirements for that credential, not workforce statistics and not a universal legal or employer requirement. The credential page describes CALP as a way to signal commitment to a residential property-management career, but hiring managers may set different expectations. NAAEI Certified Apartment Leasing Professional requirements
Someone evaluating the career should also learn the local fair-housing framework, practice explaining rental criteria consistently, become comfortable with leasing software and seek supervised experience with tours, applications and lease documents. The exact onboarding path depends on the community.
How to read a leasing-agent job description
Two postings with the same title can describe materially different jobs. Compare these points before applying or accepting an offer:
- Prospecting expectations: Determine whether the role handles inbound leads only or also outbound calls, events, advertising and lead-generation targets.
- Tour responsibility: Check whether tours are scheduled, walk-in, virtual, self-guided or shared with another team.
- Application authority: Ask who performs screening, who approves exceptions and what the agent is allowed to communicate.
- Document workload: Identify responsibility for leases, renewals, notices, deposits, inspections and electronic signatures.
- Resident duties: Find out whether the role handles maintenance follow-up, resident events, complaints, incident reports or only new leases.
- Systems and marketing: Look for required leasing platforms, customer-relationship tools, listing channels, reporting and market surveys.
- Property context: Note unit count, staffing, schedule, weekend or evening coverage and whether the community combines leasing and management positions.
Common boundaries and mistakes
- Promising approval: A prequalification conversation is not a final screening decision.
- Inventing exceptions: Applying a different standard to one prospect creates operational and fair-housing risk.
- Quoting stale availability: Rent, concessions and apartment status can change; verify them in the current system before quoting.
- Giving legal advice: Explain approved lease language and escalate legal questions rather than interpreting jurisdiction-specific law.
- Ignoring post-tour follow-up: Without accurate notes and a next action, a qualified prospect can be lost.
- Taking ownership of work outside the role: A leasing agent can route a repair or complaint without being the person authorized to fix, waive or resolve it.
In short, a residential leasing agent is the operational link between a vacant apartment and a resident relationship. The role combines marketing, consultative sales, process accuracy and customer service, while working within the property’s policies and the legal requirements that govern housing.
