A bookkeeper keeps a small business’s financial records organized and up to date. The work commonly includes recording and classifying transactions, tracking bills and customer payments, reconciling accounts, checking entries, and preparing routine financial reports. Exactly what is included depends on the person or service you hire: bookkeeping alone does not automatically include payroll, tax advice, or filing tax returns.

What a small-business bookkeeper typically does

Bookkeeping is the ongoing work of recording a business’s financial activity so its books provide a usable account of what came in, what went out, and what remains owed. The U.S. Bureau of Labor Statistics (BLS) notes that clerks’ duties vary: some maintain a full set of books, while others handle specific tasks. Common responsibilities include:

  • Recording sales, receipts, purchases, bills, payroll transactions, and other business activity in accounting software or journals.
  • Classifying income and expenses into appropriate accounts and keeping a transaction summary.
  • Tracking accounts receivable—the amounts customers owe—and accounts payable—the bills the business owes.
  • Reconciling bank or other account records against the books and investigating mismatches.
  • Checking entries and reports for completeness and accuracy.
  • Preparing routine reports, such as an income statement, balance sheet, or totals by account.

Billing, purchasing, payroll processing, and following up on overdue customer accounts may also be included, but they are not guaranteed parts of every engagement. The BLS describes common occupational tasks, and the U.S. Small Business Administration (SBA) discusses basic day-to-day bookkeeping functions; neither description defines a universal service package. What the records and reports help you see

Good records help an owner monitor business activity, prepare financial statements and tax returns, identify income sources, track deductible expenses, and support items reported on a return. They make information easier to review; they do not guarantee a particular tax result or business outcome. IRS: Why should I keep records?

An income statement summarizes income and expenses over a period. A balance sheet shows assets, liabilities, and equity at a particular date. These reports can help you understand performance and financial position, but their usefulness depends on accurate, complete underlying records. IRS: Why should I keep records?

What records should a small business keep?

The IRS says a recordkeeping system should summarize transactions and show gross income, deductions, and credits. Supporting documents may include invoices, receipts, paid bills, deposit slips, sales slips, and canceled checks. The records a business needs depend on its activities, so a single checklist cannot cover every business. IRS: What kind of records should I keep?

The IRS describes both paper and electronic systems. Its Publication 583 states, “A good recordkeeping system includes a summary of your business transactions.” A business can use journals and ledgers, accounting software, or another suitable method; the system should preserve transaction summaries and supporting documentation. No particular product is required. IRS Publication 583: Starting a Business and Keeping Records.

Publication 583 advises recording expenses when they occur and says it is generally best to record transactions daily. It also recommends reconciling a checking account each month so the bank statement, checkbook, and books agree and errors can be identified. Treat this as the publication’s recordkeeping guidance, not a deadline that overrides your business’s accounting needs.

Does a bookkeeper do payroll or taxes?

Possibly, but confirm the scope instead of assuming. Payroll processing may be part of a bookkeeper’s role or handled by a separate provider. Tax obligations vary by business structure and location, and a bookkeeping engagement does not by itself establish who will prepare or file returns, give tax advice, submit payroll filings, or make tax payments. Agree explicitly on who handles each task. The SBA’s guidance distinguishes basic bookkeeping from more tailored accounting help; it does not establish that every bookkeeper provides tax services. SBA: Manage your business.

How bookkeeping differs from accounting or CPA services

For a small business, bookkeeping usually means maintaining the ongoing record of financial activity. Accounting or CPA services may add analysis, tailored advice, or tax work, depending on the provider’s qualifications and the agreement. The SBA notes that a bookkeeper can handle basic day-to-day functions and that a CPA generally has formal accounting education and can offer more tailored services. Titles alone do not define the work: ask what a provider is qualified and contracted to do. SBA: Manage your business.

How to define a bookkeeping engagement

Before hiring a bookkeeper, CPA, or online service, compare the actual tasks and working arrangements rather than assuming similarly named packages include the same work. Ask:

  • Will the provider enter transactions, reconcile accounts, track bills and customer payments, and prepare reports?
  • Are payroll processing, payroll filings and payments, sales-tax records, or tax-return preparation included or separate?
  • How often will the books be updated, and how often will you receive reports?
  • Which receipts, invoices, statements, and other source documents must you provide, and by when?
  • Which software or recordkeeping system will be used, and who can access the records?
  • How are mistakes, missing documents, and corrections handled?
  • Who coordinates the year-end handoff with your tax preparer, and who is responsible for filing and paying each tax?

Also consider whether the provider has experience with businesses like yours and whether their communication and reporting cadence fit your needs. The SBA discusses bookkeeping and accounting help for small businesses, while IRS guidance explains the records a system should maintain; neither sets a universal package or current market price.
