The final checklist depends on the lender, business structure, and whether the facility is for working capital or term finance—and whether security is offered—so request the chosen bank’s current indicative checklist before applying.
Start with a common application file
The Ministry of Micro, Small and Medium Enterprises’ 2025 Know Your Lender guide gives a general list, not a universal bank-by-bank checklist. SBI likewise describes its customer checklist as indicative and non-exhaustive. Use the following as a preparation file, then confirm the exact documents, formats, and periods with the bank handling your application.

- Identity and KYC: PAN and Aadhaar for the proprietor or other relevant applicants. SBI also lists identity evidence such as voter ID, passport, driving licence, PAN, or bankers’ signature identification for proprietors, partners, or directors. Examples of residence evidence include recent telephone or electricity bills, property-tax receipts, passport, or voter ID. Ask whose KYC is required and which documents the bank accepts.
- Business identity: Udyam Registration Certificate, proof of business address, and business registration or ownership evidence as applicable. Keep GST registration and relevant statutory licences or approvals ready where applicable.
- Legal constitution: Documents depend on the entity. Examples in SBI’s checklist include a partnership deed, memorandum and articles, trust deed, or society by-laws. A company may also be asked for its shareholding pattern.
- Financial and tax records: Income-tax returns, GST registration and returns where applicable, balance sheet, profit-and-loss statement, and cash-flow statement.
- Banking records: Bank statements for the period requested by the lender. The Ministry guide gives a general range of 6–12 months; it is not a fixed requirement for every product.
What can change the checklist?
Business structure
A sole proprietor, partnership, company, trust, or society will not have identical constitution documents. A lender may also request promoter, director, partner, guarantor, or associate information. For example, SBI lists promoter or guarantor assets-and-liabilities statements, associate details, and associates’ banking arrangements and financials for the last year. These are examples from SBI’s indicative list, not requirements established for every lender.
Working capital versus term finance
A working-capital request is not automatically a machinery-project application. For term finance, however, SBI’s checklist asks for a project report covering the machinery to be acquired, supplier and price, assumed capacity utilisation, production and sales, and projected profit-and-loss and balance-sheet figures. Confirm what the bank expects for your specific purpose and facility.

Secured versus unsecured lending and premises
If business premises are rented, SBI lists the lease agreement. If property is offered as primary or collateral security, it lists photocopies of the relevant lease deeds or title deeds. The reviewed guidance does not establish one universal collateral package: ask the lender whether it also needs originals or certified copies, a valuation, or other evidence for the security you propose.
Branch versus digital application
Online products can use product-specific eligibility and data requirements. For example, SBI’s SME Digi Sugam page, last updated 29 July 2025, names Udyam, PAN, GST data, account statements, at least two years of ITR data and GST data history, and a minimum two-year business vintage. Those conditions describe that product; they should not be treated as rules for other SBI loans or other banks.

Periods and additional records to verify
Do not assume one look-back period applies to every lender or product. The Ministry guide’s general list includes income-tax returns for the past 1–3 years and bank statements for 6–12 months. SBI’s indicative checklist specifies audited financials for the last three years and asks for a provisional balance sheet if the latest audited balance sheet is more than six months old. It also lists GSTN/VAT returns for the last two years, latest ITRs for promoters or guarantors, confirmation that statutory dues are paid, a declaration of existing banking arrangements, and sanction letters for facilities with existing banks or financial institutions. Confirm which of these apply to your application and the formats the bank will accept.

How to confirm and submit the documents
- Ask the chosen lender for its current indicative checklist. The Ministry guide advises borrowers to use the lender’s own requirements; it says banks have been advised to furnish MSME borrowers an indicative checklist when they apply.
- Match the checklist to your entity and facility. Confirm the documents for your legal structure, loan purpose, application channel, and any security offered. Verify the requested periods for tax returns, financial statements, and bank data.
- Apply through the route the lender offers. The Ministry guide says an MSME may apply offline at a branch using an application or common application form and the lender’s checklist, or apply online and upload supporting documents on the lender’s site.
- Submit supporting records in the requested form. Check whether the bank requires copies, certified copies, or originals, particularly for property documents, and follow its current instructions for uploading or delivering them.
The same guide cites a 14-working-day credit-decision norm for loans up to ₹25 lakh to MSE units. That is a decision timeline, not a promise of sanction and not a reason to omit documents.
