Digital signage software is the system used to manage and publish content on digital screens. It lets people organize material, decide what plays on which screens and when, and send updates to the devices that show it. Depending on the product, it may also handle layouts, users, integrations, or remote device status.
How a digital signage system works
A useful way to understand digital signage is as three connected parts: management software, a player, and a display. The software controls the content and publishing; the player renders it; the display is the screen viewers see. These parts may be separate or combined, depending on the product and hardware.

- CMS or management software: The place where content, playlists, schedules, users, and screen assignments are managed. “Digital signage CMS” emphasizes this content-management role.
- Player: Hardware or software that receives or retrieves content and renders it for playback. A separate hardware player is one option, not a universal requirement.
- Display: The screen that presents the content, such as a menu board, wayfinding screen, or interactive display.
Digital signage software is not the screen itself. A compatible smart display may run a supported player, while another setup may require a separate playback device. The right arrangement depends on the software and hardware combination. viewneo’s documentation describes the player as a distinct part of a signage setup, and Samsung VXT CMS documentation describes its CMS functions.

- Publishing and delivery: Send content to supported playback devices or displays.
- Device and user management: Some products support remote administration, status monitoring, or access controls.
- Integrations and live information: Some can connect to other workplace or business systems or incorporate data. These capabilities are product-specific.
Vendors do not use the terms “digital signage software” and “digital signage CMS” in exactly the same way. The most reliable approach is to check which functions a particular product actually provides rather than assume every platform includes the same tools. Where it is used
Digital signage can support menu boards, product recommendations, interactive experiences, wayfinding, branding, store notices, and advertising visuals. These are examples of possible deployments, not a guarantee that every platform supports every interactive or data-connected feature. For example, Adobe Experience Manager Screens documentation discusses signage use cases including menu boards and wayfinding; its documentation scope refers to AEM on-premise and AMS versions.

What to check when choosing a platform
Start with the screens’ job and the people who will manage them. Then check these practical fit questions:
- Use case: Is the deployment for menus, internal communications, wayfinding, promotions, or another defined purpose?
- Content workflow: Do the tools for organizing and preparing media suit the people who will publish it?
- Scheduling and targeting: Can you assign content to the right screens or locations and schedule it for the times you need?
- Hardware compatibility: Which displays and players are supported, and does the setup require a separate playback device?
- Operations: Do you need remote monitoring, user permissions, or integrations—and does the product document those features?
These are comparison criteria, not a universal ranking. Confirm current hardware compatibility and feature availability in the product’s own documentation before committing to a setup.
