An AI receptionist can answer routine calls around the clock, but what it can do—and what it costs—depends on the service and its setup. Some tools handle FAQs and messages; others also qualify leads, share booking links, schedule appointments, send call summaries to a CRM, or transfer callers to a person. Compare those workflows, usage charges, phone and calendar connections, human fallback, language support, and data policies before routing your business number to one.
What an AI receptionist does—and what it may not do
An AI receptionist is a hosted voice service configured with information about your business and rules for handling calls. Depending on the provider and plan, it may answer common questions, capture a caller’s details, offer an appointment workflow, send a booking link, route a call, or pass a summary to your team.

Those capabilities are not universal. A claim that a service answers calls 24/7 does not by itself establish that it can book, handle multiple calls as you need, or reliably resolve unusual requests. Treat feature pages as provider descriptions, not proof of performance: the vendor pages cited here were not independently tested.

Start with the calls you want covered: all incoming calls, overflow when staff are busy, or after-hours calls only. Then check whether the service’s specific features, integrations, and fallback match that workflow.
#1 Best Overall
- Quick and easy installation: Connect the main console to analog lines via RJ11; cordless handsets/desksets pair wirelessly with one-touch DECT 6.0 technology—no professional wiring or assistance needed for fast small office setup.
- Expandable to 10 stations: Grow your 4-line small business phone system seamlessly by adding up to 9 cordless handsets or desksets—ideal for scaling operations without replacing equipment.
- Professional auto attendant per line: Automatically answers calls on each of the 4 lines, offers company directory access, routes to extensions, and records voicemail for efficient, polished call management.
- Reliable digital answering system: Captures up to 180 shared minutes of incoming messages, announcements, and memos—ensuring no important calls are missed during busy hours.
- Enhanced productivity features: Full-duplex speakerphone for natural conversations, extra-large display, caller ID/call waiting, 100-name phonebook, 32 speed dials, cordless headset support, intercom, and customizable music-on-hold via 2.5mm jack.
- Call handling: Does it answer FAQs, capture leads, take messages, book or reschedule appointments, send a text or booking link, or transfer callers? Confirm each needed action is included in the plan.
- Phone setup: Can you use your current business number? Ask whether setup uses forwarding or a configured call flow, whether an existing phone plan is required, and what happens if the service or connection is unavailable.
- Human escalation: Identify the exact transfer destination and the conditions that trigger a transfer. Decide what the system should do when a caller asks for a person, raises an urgent issue, or asks something outside its configured knowledge.
- Business tools: Verify the named calendar, CRM, booking system, and phone service you use—not just a general claim of integrations. Check whether summaries and caller details reach the workflow your staff actually monitor.
- Language: Confirm language support for the particular features you need, such as appointment handling or transfers, rather than assuming that a language listed on a product page works in every workflow.
- Call records and privacy: Find out whether calls are recorded or transcribed, where those records are stored, who can access them, how long they are retained, how deletion works, and whether supplied data is used to train models.
Examples of services to evaluate
These are examples from vendor product pages checked on October 7, 2026. The capabilities and prices below are provider-published claims, can change, and are not results of comparative testing. A listed price or allowance is not a complete quote.
| Service | Vendor-described capabilities | Published price or dependency | What to examine |
|---|---|---|---|
| Phone.com AI Receptionist | 24/7 answering, call routing, appointment scheduling, custom knowledge, and Google or Outlook calendar integration | $29.99 per month for 100 AI Receptionist minutes; requires an active Phone.com business phone plan. The page says no extra hardware is needed. | Whether your current phone setup fits, how the minute allowance applies, and whether the calendar workflow suits your appointments. |
| Quo Sona | FAQ answering, messages, appointment workflows, caller transfers, call summaries and transcripts, CRM syncing, and English, Spanish, and French support | The page describes per-call billing and ten included calls per month in its free plan. Check current pricing details. | How calls are billed, whether the shared business phone inbox and CRM handoff fit your team, and which languages are supported in the workflows you will use. |
| Abby | A hybrid AI and human answering service; human receptionists are part of the described service. | The page states plans start at $165 per month and describes AI minutes at half rate. Verify current plan and billing terms. | What human coverage means in practice, when a call reaches a person, and how AI usage is billed. |
| RingOperator | Call answering, booking, human transfer, Google Calendar integration, recordings and transcripts, and notifications | The page promotes a trial and paid offering; detailed offer terms should be checked on the current page. | Whether its transfer and booking flow matches your service business, and how recordings and transcripts are handled. |
For example, the Phone.com figure is an add-on allowance, not a standalone monthly total: its page says an active business phone plan is required. Quo’s ten free calls are an included monthly allowance, not an estimate of paid usage. Abby’s starting price and half-rate description do not establish a final bill for a particular call volume. Compare current plan terms and likely overages before treating any of these figures as your expected cost.

Estimate the monthly cost for your call volume
First estimate the number of calls you expect the service to handle in a month and their typical duration. Then apply the provider’s billing unit—per call, per minute, a bundle, or a hybrid model—to its included usage and overage rules. Include required phone plans and paid features in the estimate.
Recommended Free Tools
- Count the calls likely to reach the AI, separating after-hours or overflow calls from calls you expect it to handle all day.
- Estimate typical call duration if the provider bills by the minute; estimate call count if it bills per call.
- Check included usage, what counts as billable, overage rates, and any limits or fees for transfers, texts, integrations, or human coverage.
- Add required phone service and any necessary plan tier or add-on, then ask the provider to confirm the total under your expected usage.
The published examples above are not directly comparable: they use different billing units and include different dependencies. There is no market-wide average or independently verified savings figure established by these sources.

Test the service before relying on it
Use realistic calls and check the full path from greeting to outcome, including what your staff receive. Configure and test human escalation rather than assuming a listed transfer feature will work as your business needs.
- A routine question answered from your approved business information.
- A new lead who needs to leave contact details or be routed to the right person.
- An appointment request and a change to an existing appointment.
- An urgent or emergency request, with a clear rule for when to reach a human or direct the caller elsewhere.
- An unsupported question, noisy audio, and a caller who explicitly asks to speak to a person.
- A call outside staffed hours, including what happens if the designated person does not answer a transfer.
Review whether the system captures details accurately, follows the rules you set, and sends useful summaries to the right place. Confirm the fallback for a failed transfer or a question the AI cannot answer. Product feature lists do not establish that a particular configuration will handle these cases reliably.

Review privacy and operational requirements
Before activating call recording or transcription, read the current service agreement and privacy terms. Establish who can access call records, how long they are retained, how to delete them, and whether your account data may be used for model training. Vendor privacy statements alone do not resolve every legal obligation. If your business operates under sector-specific or location-specific rules, review the arrangement with an appropriate advisor.
