For workplace data and IT teams, AI trust is not a badge or a vendor promise. It is the ongoing work of determining whether an AI system is dependable, safe, secure, privacy-conscious, fair, and accountable for the specific task and data involved—and managing the risks that remain.
What does “trustworthy AI” mean?
NIST’s voluntary AI Risk Management Framework (AI RMF) describes trustworthiness through several related characteristics: validity and reliability; safety; security and resilience; accountability and transparency; explainability and interpretability; privacy enhancement; and fairness, with harmful bias managed. These are qualities to consider across an AI system’s lifecycle, not a single pass/fail test.

They can pull in different directions, and the right balance depends on the system’s purpose and context. A tool that drafts routine internal text does not necessarily call for the same safeguards as one that influences employment decisions or handles sensitive records. Trust therefore means identifying which qualities matter for a particular use, evaluating them, and responding when the system or its environment changes. NIST’s AI RMF is voluntary and use-case agnostic; it is neither a universal checklist nor a certification.
Start with the workplace use, the data, and the consequences
Before evaluating a model or approving a vendor, describe what the organization wants the system to do. Identify the people affected, the data it receives, the outputs it produces, and how those outputs will be used. Also ask what could happen if the system gives a wrong answer, exposes information, behaves differently after an update, or becomes unavailable.

- Data: What information enters the system, where does it go, and could prompts, files, or outputs contain confidential business information, personal data, or intellectual property?
- Access: Which employees, administrators, vendors, and connected applications can access inputs, outputs, logs, or supporting systems?
- Use of outputs: Are results suggestions for a person to review, or can they trigger decisions or actions? Who is responsible for checking them?
- Failure and downtime: What is the impact of inaccurate output or an interruption, and what process can people use instead?
- People and impact: Who may benefit or be harmed, and could errors or outcomes differ across affected groups?
- Change over time: How will the organization notice changes in performance, data, system behavior, or the use case?
This framing helps IT and data owners assess the whole arrangement rather than treating “the model” as the only source of risk.
Apply NIST’s four functions across the lifecycle
NIST organizes the AI RMF around four functions: Govern, Map, Measure, and Manage. They provide a way to structure ongoing work from planning through use and evaluation. The companion AI RMF Playbook suggests actions and references for achieving outcomes, but teams still need to set priorities for their own context.
Govern: assign responsibility and set expectations
Decide who owns the use case and who has authority to approve, limit, or stop it. Set policies for permitted data and uses, review responsibilities, escalation, documentation, and changes to the system. Governance should make clear who answers when the system is wrong, a risk is detected, or a business process changes.

- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID, and NFC is NOT supported.
Map: understand the system and its setting
Document the purpose, users, affected people, data flows, dependencies, and likely consequences of errors or outages. Include the service’s supporting software and hardware, integrations, and the ways people may rely on outputs. This map gives evaluators a concrete scope instead of an abstract question about whether AI is “safe.”
Measure: evaluate the risks that matter
Test whether the system is valid and reliable for its intended task, and examine likely failure modes. Assess security, privacy, fairness, safety, and how understandable its role is to users and reviewers. NIST’s AI Resource Center provides materials to support operationalization, including resources for testing, evaluation, verification, and validation.
Manage: choose responses and keep watching
Select controls and response plans that fit the risks and the organization’s tolerance for them. Depending on the use case, that may mean restricting data or access, adding human review, limiting use, preparing a fallback process, or deciding not to deploy. Reassess during use and evaluation rather than treating procurement or launch approval as the end of risk management.

What workplace data and IT teams should examine
Confidentiality and privacy
Trace sensitive information through inputs, outputs, endpoints, logs, and connected services. NIST identifies exfiltration of training data or intellectual property through AI endpoints as a security concern. Teams should determine what exposure is plausible for their system and data, then choose protections appropriate to that risk.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesIntegrity and reliability
Check whether inputs are suitable, outputs are dependable for the task, and the system’s performance can change under realistic conditions. A fluent answer is not proof of correctness. Define how people should verify outputs and what kinds of error require escalation or a pause in use.
Availability and resilience
Consider service interruptions alongside confidentiality and integrity. Identify which work depends on the system, what users should do during an outage, and how the organization will recover. A system that is accurate when available may still be unsuitable if an interruption would leave a critical process without a safe alternative.

- SAFETY SLOT: A security slot for most laptops, securely fastened to the inner wall of the device for a high level of safety. Please check for suitability before purchase.
- SELF-ADHESIVE ANCHOR PLATES: These cables are also suitable for devices without security slots, such as LCD monitors, projectors, LED TVs, etc. The anchor plates are fixed to the device with an adhesive.
- PROVIDES MUCH-NEEDED SECURITY: Find an immovable object in your environment and wrap the cable around the fixed object to prevent theft of electronics in public places.
- CARBON STEEL CABLE: The 5mm thick carbon steel cable is cut resistant and made from multiple wires twisted together for strength and reliability.
- WITH 2 KEYS: The unique lock engagement creates the strongest connection between the lock and the lock slot. The interface between the lock and the cable can be freely rotated.
Security beyond the model
Assess the full system, including its supporting software and hardware, access paths, and integrations. NIST notes concerns such as adversarial examples and data poisoning; those risks are not resolved simply by selecting a capable model. Security review should match the system’s architecture and exposure.
Accountability, transparency, and explainability
Make the system’s role and limits understandable to the people who use, oversee, or are affected by it. Document ownership and review paths, and decide what information a user or reviewer needs to understand how an output was produced or used. The appropriate degree of explanation depends on context; a vendor’s general assurance does not replace an organization’s own accountability.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Fairness and safety
Consider who could be harmed and whether errors or outcomes may differ among affected groups. Assess foreseeable harms for the actual use, not just the system in isolation. Where risks cannot be acceptably controlled, narrowing the use or declining deployment may be the responsible response.

What changes for generative AI?
Generative AI can make it easy to submit workplace material to a service and to reuse outputs in documents, code, or decisions. That makes data flows, access, output review, and the surrounding cloud service important parts of the assessment. NIST’s Generative AI Profile (NIST AI 600-1), published July 26, 2024, is a cross-sectoral companion to AI RMF 1.0. It identifies risks novel to or heightened by generative AI and suggests risk-management actions.
Framework status and legal scope
NIST released AI RMF 1.0 on January 26, 2023, and reports that the framework is being revised. Check NIST’s AI Risk Management Framework page for the latest status and materials. The framework is voluntary; it should not be presented as a legal requirement or certification. Applicable legal, sector, and contractual obligations depend on jurisdiction, industry, data, and use case, which are not specified here.
NIST’s AI Risk Management Framework FAQs say: “The Framework users and AI actors should consider and encompass trustworthiness characteristics during pre-design, design and development, deployment, use, and test and evaluation of AI technologies and systems.” The lifecycle emphasis matters: trust needs attention before deployment and during ongoing use, not only at vendor selection.

There is no single best deployment approach for every workplace use. Compare candidate systems for the same defined task, using the organization’s own priorities and evidence. A practical comparison can cover:
- Confidentiality and privacy of the data handled
- Validity and reliability for the intended task
- Availability and resilience, including fallback arrangements
- Security of the model and supporting system
- Accountability, transparency, explainability, and interpretability
- Safety and fairness for affected people
- The organization’s ability to evaluate, monitor, and manage remaining risk
The right choice is the option whose risks the organization can understand and manage for that use—not whichever option makes the broadest claim about being trustworthy.
