A licensed practitioner—not the front desk or a completed form—assesses medical history, determines treatment suitability, explains treatment-specific risks and options, and leads informed consent. The exact workflow and staff responsibilities vary by practice and state.
1. The first call, message, or booking
When someone contacts a med spa, front-desk staff identify the service or appointment the person is asking about, answer administrative questions using the practice’s approved information, and book an appropriate appointment type and amount of time. They may explain logistics, preparation, estimated costs, and what to expect, but should route questions about an individual’s candidacy, likely results, or personal safety to a practitioner.
AmSpa interviewee Kennelly put the goal this way: “From the moment a patient books an appointment, the process should be seamless and reassuring.” The reassurance should come from clear coordination, not a promise that a particular treatment is appropriate.
2. Before the appointment
Depending on the practice, staff may send intake paperwork or a portal link, share preparation instructions, confirm appointment details, and check that the booking allows enough time for the planned visit. Forms can gather contact details, initial medical history, and privacy-related acknowledgments. They should be suited to the services offered and the practice’s actual payment arrangements.

Some practices ask patients to complete forms in advance; others provide them at arrival. Either way, a signed consent form is not a replacement for a discussion with the provider. As Patrick O’Brien, JD, Legal Coordinator for the American Med Spa Association, wrote: “Giving informed consent is the result of a two-way conversation between the patient and the medical provider.” AmSpa’s explanation of intake and consent forms discusses why the paperwork should support, rather than stand in for, that conversation.
3. Arrival and check-in
At arrival, the front desk confirms the visit, welcomes the patient, and explains what happens next. Staff may provide forms that were not completed beforehand or check whether required administrative paperwork is in place, then coordinate the transition to the provider. As AmSpa interviewee Olson said: “The patient should be told by guest services what to expect during their visit.”

Check-in is an administrative step, not a clinical clearance. Completing paperwork does not establish that someone is suitable for a procedure; that assessment belongs to the practitioner.
4. The handoff and clinical consultation
The practitioner reviews relevant medical history, medications, allergies, concerns, and goals; assesses whether a treatment is appropriate; and discusses options, risks, and consent. Treatment planning and decisions are made with the patient. The front desk’s role is to make the handoff and keep the visit moving, not to diagnose, recommend a treatment, or conduct the provider’s informed-consent discussion.

For owners and staff, AmSpa’s patient-charting guidance describes common record elements such as identifying information, history, diagnosis, supporting documentation, signed consent, prescriptions, and referrals or consultations. The details depend on applicable state requirements, so industry guidance is not a substitute for checking local rules.
5. During the visit
While clinical staff provide care, the front desk may coordinate timing, alert colleagues to arrivals or schedule changes, and handle logistical requests and communications under office policy. Examination, procedure preparation, treatment, clinical documentation, and response to a change in a patient’s condition belong to the appropriate clinical staff.

There is no single nationwide rule that assigns every treatment to one credential or defines one universal supervision arrangement. AmSpa notes that state medical-supervision requirements vary; practices should check current state-board requirements or consult qualified local counsel. Its FAQ offers general industry definitions and practice guidance, not a state-specific legal determination.

7. After the patient leaves
Depending on the treatment and office protocol, staff may send a reminder, follow-up message, or route a patient’s concern to the practitioner. Follow-up timing is not universal: AmSpa interviewees describe examples such as next-day contact and short-interval follow-up appointments, but the appropriate plan depends on the service and practice. Treatment-specific instructions and clinical follow-up should come from or be overseen by the provider, and instructions should tell patients how to reach the clinical team with questions or warning signs.
Privacy and records are part of the workflow
Because clinical and nonclinical staff may both work in a med spa, practices need procedures that limit chart access according to staff roles and applicable law. For HIPAA-covered entities, HHS says the Privacy Rule does not require an individual’s consent before protected health information is used or disclosed for treatment, payment, or health care operations. That narrow statement does not remove other privacy duties or replace practice policy; the HHS FAQ was last reviewed January 9, 2023: HHS’s appointment and PHI FAQ.
What to look for as a patient
- Staff can explain the administrative steps and direct clinical questions to the practitioner.
- The provider—not a form alone—reviews relevant history and discusses suitability, options, and risks.
- You know what happens next at check-in, checkout, and any follow-up, including how to contact the clinical team with a concern.
Practices may use paper forms or digital portals, collect paperwork in advance or at arrival, and organize the handoff differently. Those variations alone do not establish which workflow is safer. State requirements also differ, so a workflow should not be treated as a universal legal checklist.
