A virtual receptionist is a remote service that handles incoming business calls. Depending on the setup, it may use human receptionists, AI, or both to greet callers, answer routine questions, transfer calls, take messages, capture lead details, or schedule appointments. To choose one, compare who handles calls, what usage is included, how it connects to your phone system, and what happens when a call needs a person.
What does a virtual receptionist do?
Rather than having someone answer calls at your premises, a business routes incoming calls to a remote call-handling service. The service may follow a script or use configured workflows to respond to callers and pass information back to your team. The exact tasks depend on the provider and plan.

Human, AI, or hybrid: which kind of service fits?
These models differ in who speaks with callers and how a call is escalated. Ask providers to explain how their specific service behaves, rather than relying on the category name alone.

Human receptionists
A staffed service routes calls to people working remotely. This can be a fit when callers may need a conversation that goes beyond a short, predictable exchange. Abby Connect describes its human receptionists as U.S.-based and bilingual in English and Spanish; treat staffing location and language coverage as that provider’s claims, and confirm what is included in the plan you are considering.
AI call answering
An AI receptionist handles calls through an automated voice workflow. Abby Connect describes its AI receptionist as able to answer calls, transfer them, take messages, and schedule appointments. Ask for a demonstration using your likely caller questions, and find out what the system does when it cannot answer, misunderstands a caller, or encounters an urgent issue.
Hybrid handling
A hybrid setup combines automation and human support. Abby Connect positions its hybrid option as AI-first handling with human takeover, and describes human receptionists as suited to complex or sensitive calls. That is the provider’s positioning, not independent evidence that a particular model performs better. Confirm when a person takes over, whether the caller is told, and whether the handoff is available at the hours you need.

- ⚠️ DESK PHONE ONLY — Check Your Port Before Buying: This is an RJ9 headset designed exclusively for desk phones. It uses a 4-pin RJ9 connector — NOT compatible with computers, laptops, tablets, or smartphones. RJ9 wiring varies by phone brand. If your microphone doesn't work, try all 3 included adapters — different brands use different pin configurations
- Tuned Exclusively for Calls & Conference Audio — Not Designed for Music Playback The headset’s speaker drivers are calibrated to deliver crisp, intelligible speech during phone calls. Its sound signature prioritizes spoken dialogue: voices come across clear and natural, yet the rich, immersive sound needed for music, movies and gaming cannot be achieved.
- Pro Noise-Canceling Microphone: Flexible uni-directional boom mic filters out office chatter, keyboard clicks, and AC hum. Your callers hear your voice with studio-like clarity — not your environment. Adjustable boom arm for perfect positioning
- Single-Ear Awareness Design: Mono design keeps one ear free — stay aware of teammates, ambient office sounds, and doorbells while on calls. Ideal for call center agents, receptionists, and collaborative open offices
- All-Day Lightweight Comfort: Ultra-soft PU leather ear cushion with ventilated design + adjustable headband. Designed for 8+ hour shifts without ear fatigue. Cloud-like fit that stays comfortable through back-to-back meetings
How much does a virtual receptionist cost?
Published prices are not directly comparable when one service charges by included minutes and another has different options, usage definitions, or phone-system requirements. The following are examples listed on official provider pages, observed on October 7, 2026; verify current prices and terms directly before deciding.
| Provider and option | Published price | What the price includes or requires |
|---|---|---|
| Abby Connect Starter | $165 per month | 50 Abby Minutes. Abby says AI usage consumes Abby Minutes at a different rate from human usage; confirm the plan’s current usage rules and overages. |
| Zoom Receptionist with Any Phone, monthly billing | $29.99 per month | 100 minutes, according to Zoom’s pricing page. |
| Zoom Receptionist with Any Phone, annual billing | $25 per month | 100 minutes, according to Zoom’s pricing page; the listed monthly amount is for annual billing. |
| Zoom Receptionist with Zoom Phone | $0.30 per minute | Plus the cost of Zoom Phone, according to Zoom’s pricing page. |
| RingCentral AI Receptionist | Not stated on the cited page | RingCentral’s page describes standalone and RingEX add-on plans; check the current page for pricing and terms. |
The amounts above come from separate providers and do not represent equivalent packages. Before comparing quotes, ask whether billing is by call or minute, what counts toward usage, how AI and human handling are counted, what overages cost, and whether a separate phone subscription is required. Included features and contract terms may also differ.

Will it work with your phone system?
Zoom lists a “Receptionist with Any Phone” option, and RingCentral says its receptionist plans work with any phone system. These are provider claims; confirm compatibility with your particular phone service, number, routing, and forwarding setup. Also ask whether you need a separate subscription and who configures call routing.
What records and controls are available?
Ask whether the service provides recordings, transcripts, summaries, or call reviews, and how your team can access them. Confirm what information is captured, how it is stored and handled, who can access it, and whether the settings fit your business’s requirements. The cited provider pages do not establish a universal approach to call-recording rules or data handling.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Is an AI receptionist right for a small business?
It may suit a business whose calls follow predictable patterns and whose routine questions, transfers, messages, or appointment requests can be handled through a defined workflow. It is less straightforward when calls often involve sensitive situations, complex judgment, or exceptions that require an employee. In either case, test realistic scenarios and make sure callers have a clear route to a person when needed.
Do not choose on the assumption that automation or remote staffing guarantees missed-call prevention, lower costs, or better outcomes. The available provider descriptions and prices do not establish industry-wide performance or quantified return on investment. Estimate likely usage and compare the service’s full cost and workflows with your own call volume and staffing needs.
