A virtual business phone number is managed by a cloud phone service, which routes calls to supported apps, desk phones, or other destinations. The number itself does not provide features such as voicemail or call queues; those come from the provider’s phone system and depend on its service and plan.
How a virtual business number works
A provider assigns a new number or moves an eligible existing one to its service. The provider’s cloud system manages call control and connects calls through Voice over Internet Protocol (VoIP), the public switched telephone network (PSTN), or a combination, depending on the service configuration.

Staff can make and receive calls using supported desktop or mobile apps. Some services also support compatible desk phones and other endpoints. For calls to or from ordinary external telephone numbers, the service needs an appropriate PSTN connection; the available connection methods vary by provider, plan, and location.

For example, Microsoft describes Teams Phone as cloud call-control functionality and requires a PSTN connectivity arrangement for external calls. Its options include Microsoft-provided service, an existing provider, mobile SIM integration, or existing telephony infrastructure; suitability and availability depend on configuration and market. Microsoft’s PSTN connectivity documentation explains the options.

Which phone-system features might be included?
Features belong to the phone service, not inherently to the number. Depending on the provider and plan, a business may be able to configure:
- Call routing: direct calls to users, teams, or destinations.
- Queues and ring groups: distribute incoming calls among staff.
- Auto attendants: offer callers a menu and route them to the right person or team.
- Voicemail: let callers leave messages when calls are unanswered.
- Number administration: assign numbers to users and manage porting or other settings.
These are examples, not guaranteed features. Confirm the exact capabilities and licensing requirements for the plan you intend to use. Microsoft documents automatic routing, queues, and cloud voicemail; Google Workspace documents ring groups, multi-level auto attendants, number assignment, and porting. Microsoft’s auto attendant and call queue documentation and Google Workspace’s Voice documentation describe their respective services.

Zoom Video Communications reported that Zoom Phone had native PSTN connectivity in more than 45 countries and territories as of January 31, 2025. How to choose a provider
Compare services against the way your business actually handles calls, not just the advertised number type. Request current details for your location before committing.
- Existing tools and administration: Consider how calling fits your collaboration software and who will manage users, numbers, and settings.
- Numbers and portability: Check local or toll-free number availability and whether your existing number is eligible to transfer.
- PSTN connection and calling geography: Confirm how external calls work and which countries or regions are supported for your needs.
- Call handling: Verify the specific routing, queues, voicemail, shared-line, and auto-attendant capabilities and plan requirements.
- Devices: Confirm support for desktop and mobile apps, and check certification and compatibility before buying a desk phone.
- Emergency calling: Ask how emergency calls are handled, how addresses or locations are registered, and what limitations apply where your employees work.
- Total cost: Get current per-user licensing, calling charges, taxes, and add-on costs for your location and intended configuration. The services above do not have a comparable price table here.
Can you keep an existing business number?
Often, a provider can transfer an eligible number from another telecommunications provider. This process is called number porting. Eligibility, paperwork, required account information, and timing depend on the number, losing provider, destination service, and geography; a transfer is not guaranteed for every number.

Before submitting a request, obtain the exact account details required by your current provider and follow the new provider’s current instructions. Zoom’s cited porting page is specifically for the United States, Canada, and Puerto Rico, and notes that requirements can depend on number type. Google also documents number porting for Workspace Voice. Zoom’s porting instructions and Google’s Workspace Voice help explain their processes.
What to verify about emergency calls
Emergency calling should be part of provider selection and deployment, not an assumption based on having a business number. VoIP emergency features can differ from traditional telephone service, and location handling may require configuration. Confirm the supported arrangement, address or location registration, and any limitations with the provider for every geography where staff may place calls.
Google directs customers to information about how emergency features work with Voice, and Microsoft includes emergency-related considerations among its PSTN connectivity options. The details are service- and location-dependent. Google Workspace Voice help and Microsoft’s PSTN connectivity documentation are starting points for checking those details.
Do you need a desk phone?
No. A desk handset is optional when the service supports apps on devices your staff already use. A dedicated phone may suit employees who prefer a physical handset, but verify the exact model’s certification and compatibility with the chosen service and calling plan before purchasing it.
