Video conferencing is usually one type of web conferencing: it puts live video and audio at the center of an online meeting. Web conferencing is the broader term for real-time meetings over the internet, which may use video, audio only, chat, screen sharing, polls, or breakout activities. Because providers often use the labels interchangeably, compare the features of the specific service rather than relying on its name.
What is the difference between video conferencing and web conferencing?
Google Workspace describes video conferencing as one form of web conferencing. In its broader sense, web conferencing means a real-time online conversation between two or more people; participants might use live video, or they might join audio-only. Depending on the service, a meeting can also include chat, screen or content sharing, polls, recording when authorized, breakout rooms, or translated captions. Those are possible features, not requirements of every web conference. Google Workspace explains the distinction.

Cisco Webex uses web conferencing for real-time online meetings and describes capabilities such as audio and video, instant messaging, digital whiteboards, screen sharing, and presentations or training. That range illustrates why the category is broad; it does not mean every provider includes every feature. Webex’s overview of web conferencing is another vendor example.

Quick comparison
| Term | What it emphasizes | What a meeting may include |
|---|---|---|
| Video conferencing | Live video communication, typically with audio | Video and audio; the product may also add chat, sharing, recording, or other tools |
| Web conferencing | Real-time meetings conducted online | Video or audio-only participation, with collaboration features depending on the service |
Is video conferencing the same as web conferencing?
Not quite as a definition: video conferencing is commonly treated as a subset of web conferencing. In everyday product marketing, however, the terms overlap. A service called a “video meeting” may offer screen sharing, chat, polls, or breakout rooms, while a “web conference” may be built around live video. The label alone does not tell you which tools are available.

- Purpose and participation: Is the meeting a two-way conversation, a training session, a webinar-style presentation, customer support, or team collaboration? Does everyone need to speak, or will some people mainly watch or ask questions?
- Ways to join and communicate: Is live video available? Can someone join audio-only, use chat, or dial in by phone where offered?
- Collaboration tools: Does the service support the sharing, whiteboard, polls, Q&A, or breakout rooms your meeting requires? Confirm the relevant plan and client support rather than assuming the feature is included.
- Access and compatibility: Can participants use a browser, desktop app, or mobile app? Check supported operating systems and browser versions, as well as camera and microphone permissions.
- Browser-versus-app features: Verify that the specific browser client supports the features you need. Microsoft documents features that are unavailable or limited in Teams for Web, including some background effects and gallery-size options. Check Microsoft’s current Teams for Web documentation before relying on browser access for an important meeting.
- Privacy and security: Review the provider’s encryption information, recording and transcript behavior, meeting admission controls, and how much of a participant’s surroundings the camera will show.
What do you need to join a web video meeting?
Requirements depend on the service. For Google Meet specifically, Google lists an internet connection, compatible device, supported operating system and browser or app, and a built-in or external USB camera among its requirements. Participants using a camera or microphone must allow the service to access those devices. Google’s supported browser list and minimum operating systems apply to Meet, not to every conferencing platform. See Google Meet’s current requirements.
A built-in camera may be sufficient. An external USB webcam is an optional solution if a device lacks a suitable camera; Google’s requirements do not mean everyone needs to buy one. The listed microphone requirement also does not make a headset mandatory. Check the chosen service’s current requirements and test the browser or app and device permissions before the meeting.

What should you check about privacy and security?
Security properties are specific to the provider and its settings. The Australian Cyber Security Centre recommends consulting the service provider’s security documentation and checking for strong encryption in transit. It also advises limiting visual exposure: when video is needed, frame the camera to show participants’ faces without unnecessarily revealing sensitive surroundings. Read the Australian Cyber Security Centre’s web-conferencing guidance.
Google states that Meet data is encrypted in transit by default and that recordings stored in Google Drive are encrypted at rest by default. Google also says it does not store meeting audio or video unless recording, transcription, or note-taking is activated. These statements describe Google Meet; they should not be assumed to apply to other services. Google describes Meet’s security and privacy protections. For any provider, check who can record, whether transcripts or notes are created, who can enter the meeting, and what participants may see in the camera frame.
