1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesGood video meeting etiquette starts with a working setup, clear turn-taking, and respect for other people’s time and privacy. Test your audio and connection before joining, mute when you are not speaking, follow the meeting’s camera expectations, and make sure remote attendees have a clear way to participate.
Before you join: check the link, setup, and plan
Confirm the invitation and prepare your materials
Use a meeting link you expected to receive. The Federal Trade Commission’s video-conferencing privacy guidance advises against opening unexpected invitations and recommends downloading conferencing apps only from the service’s website or a platform app store. If anything about an invitation seems unusual, verify it with the organizer through a separate, trusted channel.

Open the files or slides you expect to share before the meeting begins. In a hybrid meeting, check the room’s audio setup and confirm that people joining remotely can hear the room; the FDA’s meetings and conferences guidance recommends testing devices and joining early to check presenters, files, and shared content.
Test the connection and devices where you will sit
Check the microphone, camera, and speakers in the conferencing app from the location where you will actually take the call. Google’s video conference tips suggest using Ethernet if available; otherwise, test Wi-Fi from the meeting location and limit competing internet use during the call. Joining a little early gives you time to correct a device selection or connection problem without interrupting the meeting.

- Convenient Mute Button - Quickly mute/unmute your microphone. The built-in blue indicator light for checking whether the USB microphone is working.

It is small, convenient and does not require much space when in use. Connected with a 1.8m nylon shielded wire, it effectively eliminates signal interferences to achieve the best recording results.
Agree on expectations when you are hosting
Before the call, tell attendees whether video is expected, whether recording is planned, and how people should signal that they want to speak. Expectations can vary by organization and meeting purpose, so state the local norm rather than assuming everyone shares it. For a hybrid meeting, include remote participants in that plan: they need a reliable way to ask questions and be heard.
During the meeting: manage audio and take turns
Mute when you are not speaking
Muting when you are not talking reduces background noise and lowers the risk of broadcasting a private conversation nearby. The U.S. Office of Personnel Management’s telework etiquette guidance recommends asking remote attendees to mute when they are not speaking. Keep an eye on the mute control and check your status before contributing. If possible, move to a quieter place when noise makes it hard for others to follow.

In a shared room, avoid having multiple devices play meeting audio at once. More than one open speaker and microphone can create echo or feedback; use one active room audio setup, or headphones for individuals who need them. Google also suggests headphones or earbuds to reduce potential echo.

Make it clear who is speaking
Use the meeting’s agreed cue—such as raising a hand or using chat—instead of talking over someone. In a larger group, or when attendees do not know one another, say your name before making a point. Speak clearly and leave a brief pause after asking a question so people on a delayed connection have a chance to respond.

Give remote participants a genuine opening
In a hybrid meeting, people in the room may find it easier to jump into a conversation than people joining remotely. Hosts should explicitly invite remote attendees to contribute, monitor chat or hand-raise signals, and avoid relying on body language that remote participants cannot see. The OPM guidance emphasizes giving a meeting your full attention; close unrelated work and avoid multitasking while others are speaking.
Camera use: follow the purpose, not a universal rule
There is no universal camera-on requirement established by the cited guidance. Whether to use video depends on the meeting’s purpose, the organization’s policy, accessibility needs, privacy, and connection quality. If you are hosting, explain the expectation and make room for reasonable exceptions; if you are attending, follow the stated norm or ask the organizer if it is unclear.

If you do turn on video, put light in front of your face rather than behind you, and frame the camera so it shows only what you intend to reveal. Google recommends checking the selected camera and microphone in the conferencing app and sitting in a well-lit area. A simple background or an available blur setting can help limit what others see, but avoid treating either as a requirement.

Share only what the meeting needs
When practical, share the relevant application or window rather than your entire screen. The Australian Cyber Security Centre’s web-conferencing guidance recommends sharing an individual application when possible. Close or hide unrelated material, such as private messages or sensitive files, before presenting, and stop sharing when you are finished.

Be clear about recording and access
Hosts should use available meeting access controls and check recording settings. Tell attendees when a meeting is expected to be recorded, and explain whether its content may be made public. The FTC notes that cameras and microphones may be on by default, so participants should learn the controls and avoid sharing private information if they do not know how the meeting will be recorded or used. The Australian Cyber Security Centre also advises setting expectations about recording and limiting sensitive discussions to suitable conferencing services.
Equipment: upgrade only to solve a real problem
Etiquette does not require buying new equipment. First check the devices you already have and the settings in your conferencing app. If echo is the problem, headphones may help; if typing while speaking makes your voice hard to hear, a headset microphone may be useful. Google says wired headsets and microphones often produce better sound quality than wireless ones, but that is general guidance—not a guarantee for every setup. Its Meet troubleshooting guidance also notes that some Bluetooth headsets may perform poorly with Meet, which is platform-specific advice rather than a universal verdict on wireless audio.
Formal or interpreted meetings can have specialized requirements. For its own remote meeting context, the UN Office at Geneva’s remote-participation guidance specifies USB-connected unidirectional cardioid desktop microphones with separate headphones, and says microphones and cameras should be on only when taking the floor. Treat that as guidance for that formal setting, not a consumer standard.
