A useful virtual assistant (VA) discovery call ends with a clear record of the client’s goal, the work discussed, decisions made, unanswered questions, and each next action’s owner and due date. Use a pre-call form to gather repeatable background information, then use the conversation to clarify what is ambiguous and agree on a manageable first step.
Prepare by identifying what you still need to learn
Review the client’s inquiry and any pre-call answers before meeting. That lets you spend the call on priorities and unclear details rather than asking the client to repeat basic information. Forms and calls have different jobs. A form is useful for collecting factual, repeatable background asynchronously. A conversation is better for answers that need context, clarification, or judgment. Neither format is universally better: use the form to surface topics and the call to confirm what the answers mean, what is feasible, and what both sides understand. Avoid asking for secrets such as passwords in a form or during a call; discuss a secure access method instead.
Ask questions that uncover the work and fit
There is no established ideal call length or required number of questions. Choose prompts that help you understand the task, the working relationship, and whether the proposed support fits. A discovery-call guide frames the conversation as diagnosis and fit before proposing a solution; treat that as a recommendation, not a measured guarantee of results.

Start with the client’s goal
- What prompted you to look for support now?
- What would you like to be different once support is underway?
- Can you describe a recent task that was delayed, repetitive, or difficult to hand off?
Ask for a concrete recent example. It can reveal the actual steps and friction points more clearly than a broad request such as “help with admin.”
Map the task or workflow
- What needs to be done, and how does the work arrive?
- Which tools or systems are involved?
- Who provides the inputs, and who reviews or approves the work?
- What situations should be escalated to the client rather than handled independently?
- How often does the work occur, and are there timing constraints that affect the scope?
Ask about volume and timing only as far as needed to define the service. A vague estimate is not an agreed workload, and it should not be treated as proof that you can meet a particular capacity or turnaround time.

Agree on how you will work together
- Which communication channel should you use, and how often should you send updates?
- What response expectations and scheduling or time-zone constraints should you account for?
- How will access be granted securely, and what confidentiality or privacy preferences apply?
- What is outside the proposed scope?
Onboarding guidance from HoneyBook emphasizes gathering relevant details and permissions, clarifying expectations, and using a kickoff meeting to answer questions. Confirm what access is needed and how it will be provided, but do not record credentials in your notes.
Define a first useful outcome
- What would a useful first deliverable or first week of support look like?
- Who will review it, and how will they give feedback?
- What information or access is still missing before work can begin?
Separate the client’s hoped-for business outcome from the tasks you can actually promise to perform. Keep the initial deliverable small enough to review, and document its owner and review point.

Close the call by confirming decisions and next steps
Before ending, read back the decisions in plain language. Ask the client to correct anything you have misunderstood. Distinguish confirmed agreements from assumptions and unresolved questions; do not turn a rough estimate or an unconfirmed idea into a commitment.
After the call, send a concise written recap. VA Starter Hub’s client onboarding checklist recommends turning kickoff decisions into a one-page brief rather than leaving them only in call notes, and keeping the first deliverable small and reviewable. Include who owns each next action and when it is due, so the recap can guide follow-up instead of functioning as an unstructured transcript.

Use a note structure that makes follow-up actionable
Use these headings in a notebook or digital document. Record facts separately from interpretation, and label anything uncertain “to confirm.” Under access, record the secure access method—not passwords, tokens, or other secrets.

- Client goal and context: What prompted the inquiry and what the client wants to change.
- Tasks or workflow discussed: The work under consideration and how it currently happens.
- Current process and tools: Systems, inputs, handoffs, and approvals.
- Priorities and timing: What matters first and any confirmed scheduling constraints.
- Decisions confirmed: Scope, communication expectations, and other agreements.
- Assumptions to verify: Estimates or interpretations that have not been confirmed.
- Access or information needed: What is missing and the agreed secure way to provide it.
- Open questions: Issues that still need an answer.
- Action / owner / due date: Each follow-up task, the person responsible, and its deadline.
- Proposed first deliverable and review point: The initial piece of work and who will review it.
