For one computer beside a printer, USB is often the more dependable connection: it avoids relying on the router, Wi-Fi signal, and network discovery. Wi-Fi is usually more convenient when several computers or mobile devices need to print, provided the printer and devices are on a stable, correctly configured network. Neither connection is failure-proof, and there is no established comparative failure-rate figure proving one is universally more reliable.
USB vs. Wi-Fi: what reliability depends on
This is a practical comparison, not a controlled reliability benchmark. HP’s comparison is manufacturer guidance rather than an independent test, and the reviewed sources do not give a general failure rate for either connection. The better choice depends on how you print and which potential problems you would rather avoid.

| Factor | USB | Wi-Fi |
|---|---|---|
| Connection path | Direct connection to one physically connected computer; that connection does not depend on Wi-Fi. | Depends on a working wireless network and the printer and sending device being reachable on it. |
| Practical reliability fit | Often a good fit for one nearby, stationary computer if the cable, ports, and driver setup are sound. | Can work well with stable coverage and correct setup; signal, router, sleep, or network conditions can contribute to offline symptoms. |
| Sharing | Naturally serves the connected computer; sharing with others requires additional setup or infrastructure. | Convenient for several supported devices on the network. |
| Placement and setup | Requires a compatible cable and physical proximity to the computer. | Requires wireless setup, usable signal, and correct network membership. |
| Typical checks | Connection, cable, port, hub, operating-system setup, and driver. | Wireless status, network membership, range, obstacles or interference, router, and printer network diagnostics. |
| Phones and tablets | Usually less convenient; direct USB printing depends on the printer and device supporting it. | Often more convenient for mobile and network printing, subject to model and device compatibility. |
When USB is the more reliable fit
Choose USB when a single computer is close to the printer and you want printing to avoid the wireless network. If the router is distant, Wi-Fi coverage is inconsistent, or network discovery has been troublesome, a direct cable removes those particular dependencies for the connected computer.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesUSB still depends on a compatible, undamaged cable, working ports, correct operating-system setup, and a suitable printer driver. A faulty cable or an indirect connection through a hub can cause trouble even when the wireless network is not involved.

When Wi-Fi is the better fit
Choose Wi-Fi when multiple supported devices need access or when printing from phones and tablets matters more than having a direct cable. The printer and the sending device need to be reachable on the intended network; compatibility and setup vary by printer model and device.
A printer that appears offline is not necessarily defective. Signal strength, distance, walls, interference, router conditions, the printer’s sleep state, or a changed network address can all be relevant possibilities. Check the printer’s wireless status or network report where available before replacing equipment. Microsoft’s current guidance covers basic checks for Windows 10 and Windows 11; Microsoft’s printer connection troubleshooting guidance can help with Windows-specific steps.

How to troubleshoot a Wi-Fi printer that keeps going offline
- Check the printer first. Confirm wireless is enabled. If the model offers a wireless connectivity test or network report, run it and review the result. HP’s Wi-Fi printer troubleshooting guidance describes checks for wireless connection problems.
- Verify network membership. Confirm the computer or mobile device and printer are connected to the intended same network or SSID. This is especially important if the home has more than one router or uses extenders.
- Check signal and placement. Move the printer closer to the router or reduce obstacles if practical. Canon lists distance, walls, and nearby appliances such as microwave ovens or cordless phones among conditions to inspect in its wireless LAN troubleshooting guide.
- Consider other network conditions. A router reset, weak signal, printer sleep, or changed IP address may explain an offline symptom, but none is a diagnosis by itself.
- Use diagnostics before buying hardware. Review the printer’s wireless report and check placement and settings before deciding a new router or range extender is needed.
How to troubleshoot an unreliable USB connection
- Check power and connections. Make sure the printer is on and the cable is firmly connected at both ends.
- Bypass a hub. Connect the printer directly to the computer while diagnosing. Canon’s printer-driver troubleshooting guide specifically recommends a direct connection instead of a USB hub.
- Test the cable and port. If the connection is not recognized, try another computer port and, where appropriate, a shorter or known-good compatible cable. Check the connector types on both printer and computer before buying a USB printer cable.
- Check software compatibility. Confirm the printer is set up in the operating system and has a suitable current driver. Follow the printer manual for model- and OS-specific requirements; older support documents may show menu names that do not match current Windows versions.
A model-specific USB and Wi-Fi interference caveat
Epson’s WF-M4619 Series guide notes that some USB 3.0 devices connected to a Mac may create radio-frequency interference that affects Wi-Fi stability. For that specific model guidance, Epson suggests moving the USB 3.0 device farther away or using a 5 GHz SSID: Epson WF-M4619 Series guide. This is a model-specific observation, not evidence that ordinary USB printer cables generally disrupt Wi-Fi.
