Trello vs. monday.com in 2026: Which Project Management Tool Fits Your Team?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Trello is the more natural starting point for teams that organize work on shared boards; monday.com is worth comparing when you need configurable work structures, more built-in views, dashboards, or larger automation and integration allowances. Neither is a universal winner. Compare the plan features and total price for the same team size and billing term, then choose based on the way your team actually tracks work.

How Trello and monday.com organize work

Trello: a board-first workflow

Trello is centered on boards and cards. Its vendor describes a board as a Kanban-like way to organize and track tasks. That makes it a straightforward candidate when the team’s work can be represented as cards moving through stages, such as “To do,” “In progress,” and “Done.” The key question is whether that board model fits the work—not whether a board can be made to hold every kind of information.

Trello also offers views beyond its core Board view, including Timeline, Table, Calendar, Dashboard, Map, and Workspace views. Access to additional views is plan-gated; check the current plan page to confirm which view entitlements your team needs.

monday.com: configurable work management

monday.com offers tiered work-management plans with configurable views and reporting. Its plan information lists Timeline and Gantt and Calendar views on Standard, advanced board views and time tracking on Pro, and enterprise reporting, governance, portfolio, and resource-management capabilities on Enterprise. The exact surface can vary by monday.com product, so confirm the product variant and plan before treating a feature as included.

#1 Best Overall
Ampad Gold Fibre Designer, Project Planner,Size 9-1/2 x 7-1/4, Asst Covers, 84 Sheets per Notebook (20-817),White
  • Confidently track and manage large jobs with ease
  • Project ruling provides instant organization for notes, plans & deadlines

  • Snag-resistant coil and extra-strong back are perfect for notes on the go
  • Gray, navy or maroon cover, 7-1/4" x 9-1/2", 84 sheets

This broader set of plan options is relevant when teams need structured views or oversight across work. It is not, by itself, proof that monday.com is easier to use or better for every project; those depend on the team’s workflow and requirements.

Side-by-side comparison

Decision area Trello monday.com What to check
Work structure Board-first, using cards and boards. Configurable work structures across its work-management plans. Whether the team can represent its work clearly in boards, or needs more structured views and reporting.
Views Board, Timeline, Table, Calendar, Dashboard, Map, and Workspace views are listed; additional views require Premium or Enterprise. Plan information lists Timeline/Gantt and Calendar on Standard, advanced board views on Pro, and enterprise capabilities on Enterprise. Confirm the view entitlements for the exact plan and monday.com product you are considering.
Automation and integrations Built-in automation is listed across plans, with plan-specific command limits. Automations and integrations start at Standard; Standard lists 250 monthly actions for each, with higher limits on higher plans. Estimate monthly actions and verify that needed integrations are included before selecting a tier.
Collaboration, guests, and governance Check current plan details for the guest, security, and governance limits your team needs. Enterprise plan information includes governance capabilities; confirm the specific controls and product variant. List the access and oversight requirements that are mandatory rather than assuming similarly named plans offer equivalent controls.
Reporting and portfolio visibility Dashboard is among the listed views; availability depends on the plan. Enterprise plan information includes enterprise reporting, portfolio, and resource-management capabilities. Decide whether you need a view of individual projects or reporting across a portfolio.
Price basis Displayed prices vary by plan and billing term; current listed figures are below. Pricing is dynamic and depends on seats, billing term, product, and plan. Compare actual checkout totals for the same number of users, billing term, and required features.

What the plans cost—and how to compare fairly

Trello’s official pricing page currently displays the following prices. They are current page displays, not guaranteed quotes for every geography or a promise that future prices will remain the same.

Trello plan Displayed price Billing qualification
Free $0 As displayed on the current pricing page.
Standard $5 per user/month Billed annually; $6 per user/month with monthly billing.
Premium $10 per user/month Billed annually; $12.50 per user/month with monthly billing.
Enterprise $17.50 per user/month As displayed for annual billing.

monday.com’s pricing page lists Basic, Standard, Pro, and Enterprise, but the displayed totals change with seat count and annual billing, and plan content is dynamic. Rather than relying on an old quoted total, use the current price calculator for the relevant monday.com product and team size.

Rank #2
Ampad Gold Fibre Project Planner, Assorted Color Covers, 9.5 x 7.25, 84-Sheets, 3-Pack
  • 9-1/2 x 7-1/4
  • Assorted Covers in Navy, Gray, Maroon
  • Planner Ruled
  • Designer Gold Fibre Series Planner Notebook. 84 Pages.
  • INCLUDES 3 NOTEBOOKS: Each pack includes 3 notebooks that can be any combination of the three colors we offer: Navy, Gray, or Maroon; Your order may include 3 of the same color

For an apples-to-apples comparison, select the same number of users and billing term for both services. Then include the cost of the plan that actually unlocks the needed views, automation, integrations, and governance—not simply the lowest advertised tier. A lower base price can cease to be comparable if it does not include the capabilities your team requires.

How to choose the right fit

Start with Trello if a shared board covers the workflow

Assess Trello first if your team primarily needs a shared task board and does not require paid views or governance features. For a basic team board, examine Free or Standard before paying for views that are unnecessary. If the team needs additional views, check whether Premium or Enterprise includes the particular ones you plan to use.

Compare monday.com when views, reporting, or structure matter

Put monday.com on the shortlist if the work calls for configurable structures, multiple views, dashboards, or reporting beyond a basic board. Match the need to the tier: the plan information assigns some timeline and calendar options to Standard, advanced board views and time tracking to Pro, and enterprise reporting and governance capabilities to Enterprise. Verify the exact product and plan entitlements rather than assuming features carry across every monday.com product.

Choose by the workload, not just the feature list

Before selecting either tool, write down the views the team will really use, who needs access, which integrations are required, and what the automation workload looks like in an ordinary month. Separate must-haves from features that are merely attractive in a plan table. This avoids paying for capacity the team does not need—or choosing a plan whose limits obstruct the actual workflow.

Automation and integration limits can change the price decision

Both tools offer automation, but their plan structures make the limits important. Trello lists built-in automation across plans and assigns plan-specific command limits. monday.com support says automations and integrations are available from Standard upward; Standard has 250 monthly actions for automations and 250 monthly actions for integrations. These are separate allowances, and higher plans provide higher limits.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Estimate how many automation and integration actions your workflows trigger in a normal month. Count the workflows that run repeatedly, not only the ones administrators create. Then confirm the current allowance and how the service counts an action. If either the volume or counting rules are unclear, verify them with the vendor before committing to a plan; exceeding a cap or needing a higher tier can change the total cost.

Collaboration, governance, and portfolio needs

For collaboration, compare the specific access model the team needs: who creates work, who updates it, who needs guest access, and which people should be able to see reports. The available plan information identifies governance capabilities at monday.com Enterprise, but it does not establish that every control a particular organization needs is included. Check the live plan details for both products against your actual access and security requirements.

Reporting needs also differ by scale. If you only need to follow tasks on a team board, a board view may be enough. If managers need a cross-project portfolio or resource picture, monday.com’s listed Enterprise capabilities are a reason to evaluate that tier. Trello lists a Dashboard view, but plan access matters; confirm whether it answers the specific reporting question before comparing it with monday.com’s higher-tier reporting.

Can Trello and monday.com work together?

monday.com documents an integration that can create monday.com items when Trello cards are added. That can support a gradual transition or coordination between teams using different tools. It should not be treated as proof of a complete, one-step migration: verify field mapping and workflow behavior with representative cards before depending on it for live work.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical transition check is to select a small set of cards with different labels, owners, dates, and attachments; confirm what appears in monday.com; and test what happens when a card changes after creation. Decide which service is the source of truth during the overlap, so teams do not update conflicting copies.

ScreenshotNeo for project documentation—not project management

ScreenshotNeo is a website screenshot API and MCP server for developers, not a Trello or monday.com replacement. It may be useful alongside either tool when a project needs captured website states—for example, as supporting material for a review or a record of a page at a particular point in a workflow. The product is at ScreenshotNeo.

A single GET request can return a PNG, JPEG, WebP, or PDF capture. The API also supports options such as full-page captures, CSS-selector element captures, viewport and device settings, custom CSS or JavaScript, wait conditions, and PDF settings. For an AI-agent workflow, ScreenshotNeo offers an MCP server with take_screenshot, get_page_info, and capture_pdf tools. These capabilities address website capture, not task assignment, project planning, or team reporting.

Or skip the browser setup

Instead of running a browser yourself, make one GET request. The following cURL example saves a WebP screenshot of the target page; replace YOUR_API_KEY with your key. See the ScreenshotNeo API documentation for request options and response details.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

The API accepts consent banners like a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing, and response headers report the page verdict and whether the request was billed. Those details can help when a capture is supporting project documentation rather than serving as the project-management system itself.

Pricing includes 1,000 shots per month free with no card; paid plans start at $5 for 3,000 shots. Every feature is on every plan. Yearly billing gives two months free. To try it, sign up for 1,000 free screenshots a month with no card.

Common comparison mistakes to avoid

  • Comparing different billing terms: Trello’s monthly and annual figures differ, while monday.com’s displayed total depends on seats and billing. Match both before judging cost.
  • Assuming every view is included: Trello gates additional views by plan, and monday.com’s views vary by tier and product. Verify the specific entitlement you need.
  • Ignoring action caps: A workflow that looks affordable at the base plan may require a higher tier if it exceeds automation or integration limits.
  • Equating feature breadth with usability: Vendor-published capabilities describe what plans offer, not how well a particular team will work with them. Test the intended workflow before rolling it out widely.
  • Treating an integration as full migration: monday.com’s documented Trello integration creates items from new Trello cards; field mapping and ongoing behavior still need validation.
