Choose a business phone number around the way customers will reach you: who answers, what devices they use, and what happens when they are busy or closed. A solo owner may need only a separate number linked to an existing phone; a team that shares calls may benefit from routing and schedules. You do not automatically need a full phone system—or a desk phone.
Choose a setup that fits your call workflow
Start with the job the number needs to do, not a particular product. The U.S. Small Business Administration lists phone automation that routes callers to the right department as one way to improve customer service (SBA guidance). That may be useful for a team, but a business with one person answering calls may need little more than a separate public number and a clear voicemail greeting.

| What your business needs | Setup to consider | What to verify |
|---|---|---|
| One person wants to separate business calls from personal calls | A separate number linked to an existing phone, or a business calling app | Whether it supports the calls and business texting you intend to use, and how it handles voicemail and customer information |
| Several people need to answer the same line | A hosted or cloud phone service with shared access | Which users, schedules, routing, and voicemail features are included in the specific plan |
| A fixed handset would make answering easier | A compatible VoIP desk phone connected to a cloud calling service | Device compatibility and whether calls can also be answered in desktop or mobile apps |
These are categories, not endorsements. Compare providers’ current terms and total costs—including users, numbers, equipment, and add-ons—before choosing; comparable current prices and plan inclusions are not established here.

Write down the basic call flow before you publish the number. Consider whether calls should ring one person, several people, or a team in sequence; whether business hours need to affect routing; and where voicemail should go after hours. Confirm that the plan you are considering actually supports each feature.

Before adding the number to your website or signage, call it from another phone and check the greeting, hours, routing, and voicemail. Then keep the published number consistent across your website, invoices, business listings, and voicemail greeting.
Keep personal and business contact details manageable
A separate public number can help keep your personal number from being the only way customers reach you. For example, Google Voice’s setup guidance describes using another number linked to a Google Voice number. Confirm that the service fits your business’s calling, messaging, and access needs before making it the customer contact (Google Voice setup guidance).

Think through account access as well as the number itself: who can sign in, who can view messages or voicemail, and what happens if the owner or an employee leaves. Google says Voice saves and processes call, text, and voicemail information; review the provider’s current privacy and account-security terms for the service you choose.
Use a desk phone only if it helps
A dedicated handset is optional. Cloud calling can route calls to desk phones, mobile apps, or desktop clients, according to RingCentral’s description of its cloud phone system (RingCentral cloud phone system overview). If you prefer to answer on a computer or mobile phone, a handset may add cost and equipment without improving your workflow. If you do want one, confirm it is supported by the selected service before buying.

Plan number changes before switching providers
If customers already know your business number, portability may help you keep it when you change providers. The FCC says customers generally can keep a number when switching wireline, IP, or wireless providers while staying in the same geographic area. Eligibility and the steps still depend on the providers and circumstances, so ask both the current and receiving provider about requirements and timing (FCC number-portability guidance).
- Ask the receiving provider whether your number can be ported and what account details or documents it requires.
- Follow that provider’s current instructions and wait for confirmation that the port is complete before canceling the old service. Google’s instructions specifically say to wait for its completion notice when porting to Google Voice (Google Voice porting instructions).
- After the change, test incoming and outgoing calls, voicemail, and any routing you rely on. Update customer-facing contact details deliberately rather than leaving old numbers in circulation.
Treat caller ID as a convenience, not proof
Caller ID can help customers recognize a callback, but it does not establish who is calling: the FTC warns that scammers can fake phone numbers (FTC phone-scam guidance). Do not ask customers or staff to trust a call solely because a familiar number appears on screen.

- 2-line operation: Conference between an outside line and up to 2 cordless handsets, expandable up to 12 handsets
- Digital answering system with voice guide records up to 13 minutes
- 50 name and number caller ID history
- Intercom between handsets and base unit
- Trilingual prompts: Choose between English, Spanish and French
For outbound calls, ask your provider about caller ID authentication and display support. The FCC’s small-entity guide explains caller ID authentication rules, but compliance does not guarantee that every recipient’s handset will show your business name or avoid a spam label (FCC small-entity compliance guide, June 21, 2021). If your number appears spoofed, blocked, or labeled as potential spam, contact your provider for account-specific troubleshooting; the FCC complaint center also lists these as phone issues (FCC Consumer Complaint Center).

A practical setup checklist
- Define what the number is for: inquiries, appointments, support, or a combination.
- Decide who needs to answer and on which devices.
- Choose a call flow for business hours, busy periods, and after-hours voicemail.
- Compare current provider terms for shared access, routing, texting, privacy, security, portability, and total cost.
- Set and test the greeting, routing, and voicemail from another phone.
- Keep the old service active until a port is confirmed complete, if you are moving an existing number.
- Publish the number consistently and update it deliberately whenever it changes.
This guidance is U.S.-oriented. Porting rules, local-number availability, emergency calling, business messaging requirements, and provider terms can differ by country and service. Check current local requirements before relying on business texting or other regulated features.
