A landscaping time clock has to answer four questions for every shift: who worked, where and on which job, when the time started and stopped, and whether someone reviewed the record before it reaches payroll. A punch logged at the yard gate answers only part of that. The rest depends on how crews clock in at properties, how hours are labeled, what happens when the signal drops, and who checks the exceptions.
Track hours worked, not just visits to a job site
The U.S. Department of Labor’s Wage and Hour Division addressed this directly in Field Assistance Bulletin 2024-1. Its position is that work location does not decide whether time counts as hours worked. A worker may begin before reaching a designated job site, for example when asked to pick up tools or supplies, and may keep working after leaving it. The bulletin also warns that a system recording only job-site presence can leave out travel between sites and other off-site duties.

- Travel between properties, if the employer treats it as paid work under the rules that apply to the business.
- Loading, hauling, equipment pickup, and other off-site duties assigned by a supervisor.
- Time on each property or job, so hours can be reviewed and costed.
- Breaks, recorded in whatever way your state and local rules require.
The bulletin’s guidance applies regardless of which technology assigns or manages the work. A geofence event is useful evidence that a crew member was near a property. It is not, by itself, a complete record of time worked.

Clock-in methods for crews in the field
Ask every vendor how a crew member clocks in and out in each of the situations your crews actually face. The common options are:
- Smartphone app. The most common choice for field crews. Check whether punches can be made from the truck, at the curb, and on the property itself.
- Browser or computer. Useful for office staff, supervisors, and crew leads entering or adjusting time.
- Shared tablet kiosk. QuickBooks describes a tablet Time Kiosk as part of its landscaping offering. A kiosk makes sense as a common clock-in point at a yard or shop. It is optional: phone-based crews do not need one, and the sources reviewed do not name a tablet model or minimum specifications.
- Phone-call clock-in. Clockspot describes clocking in by phone where internet connections are spotty. This is useful as a fallback for rural properties or sites with weak coverage.
Test the method at the yard and at the worst-coverage property you service. A clock that works in the office but fails on a hillside lot will create the paper-and-text backlog you were trying to eliminate.
Assign each punch to a job, property, or route
Job costing depends on labels. Without them, the payroll total is correct but you cannot tell whether a maintenance contract, a one-time install, or a irrigation repair made money. The product notes point to several label types:

When you evaluate a system, confirm three things: a crew member can choose the right label at the punch, a crew lead can reassign time before approval, and the label carries through to the report or export you will actually use.
When the phone or internet is unavailable
Connectivity is the most common failure point for field time tracking, and the vendor pages do not describe offline behavior in the same detail. Use the following checklist to pin it down before you commit:
- Ask whether a punch made without signal is stored on the device and synced later, and whether the timestamp is taken from the device or from the server.
- Ask whether a crew member can fall back to a phone call or a shared kiosk, and who records that punch.
- Ask how a punch missed on site is entered afterward, and whether the entry is marked as a manual edit.
If the answers are unclear, treat that as a gap to test in a trial, not as a yes.

Use GPS as context and exception review, not the final record
Location capture varies a great deal by product and setting. Some systems capture location only at each punch. Others log location while a timer runs, or use geofences to send reminders or flag a clock-in made away from an assigned property. Hubstaff says its tracking depends on timer state, geofence settings, schedules, fleet-tracking settings, and device permissions. QuickBooks documents location logging and geofence behavior, and identifies geofencing as an Elite-tier feature.
Set policy before rollout. Decide which location events are collected, who can view them, how long they are kept, and how workers are told. Then use location to flag exceptions, such as a clock-in far from the assigned property or a shift that never appears at a site, and have a supervisor check the flag against the crew’s actual work. The Wage and Hour Division puts the principle plainly:
“Employers should exercise responsible human oversight when using such systems to ensure that they are properly accounting for and compensating employee work hours.” (U.S. Department of Labor, Wage and Hour Division, Field Assistance Bulletin 2024-1)

Review corrections and approvals before payroll
A time clock earns its place at the approval step. A reasonable review cycle looks like this:
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- The crew member flags a missed or wrong punch and gives a reason. In Clockspot, this is a correction request.
- The supervisor compares the requested change against job assignments, route notes, and any location exceptions.
- The supervisor approves or rejects the change. Hubstaff and QuickBooks both describe timesheet approvals; Clockspot describes approvals with reason history.
- The system keeps the original punch, the change, the reason, and the approver, so the record can be searched later.
- The pay period is closed, and the reviewed hours are exported.
Look for searchable records as a requirement, not a bonus. Payroll questions often come months later, and a record you cannot search is a record you cannot defend.

Check the payroll handoff
Confirm the exact export or integration for your payroll provider before you buy. QuickBooks describes payroll and accounting integrations, and Chronotek describes payroll-ready exports. Clockspot describes payroll reports and exports, but states that it does not replace payroll processing, HR, invoicing, or accounting. Integration costs and plan limits can apply, so ask for them in writing.
How four products compare on these points
The table below uses each vendor’s own product description. It is a feature comparison, not a tested ranking, and it does not show how the products perform in the field. “Not stated” means the vendor page reviewed did not describe that item.
| Product | Clock-in access | Job and property labels | Corrections and approvals | Payroll handoff | Location behavior |
|---|---|---|---|---|---|
| QuickBooks Time | Mobile app and a tablet Time Kiosk | Schedules and project tracking by job or shift; project tracking is an Elite feature | Manager timesheet approvals | Payroll and accounting integrations; confirm the exact one | Location logging and geofence behavior; geofencing is an Elite feature; devices and data plans sold separately |
| Clockspot | Mobile or computer punches; phone-call clock-in where internet is spotty | Labels for jobs, properties, yards, routes, and service categories | Correction requests, reason history, and approvals | Payroll reports and exports; does not process payroll | Clock-in GPS context |
| Hubstaff | Mobile time cards | Landscaping job sites, geofences, and job-costing reports | Timesheet approvals | Not stated | Depends on timer, geofence, schedule, fleet-tracking settings, and device permission |
| Chronotek Pro | GPS-linked punches | Job costing | Not stated; live timekeeping alerts are described | Payroll-ready exports | GPS-linked punches and geofences |
What the available evidence does not establish
No independent, landscaping-specific figures on time saved, payroll error reduction, or adoption were found in the sources reviewed. The numbers that vendors publish are promotional or self-reported. QuickBooks makes savings claims, and Chronotek’s feature page cites platform-use totals such as time cards created and wages processed. Those figures describe the vendors’ platforms, not what a landscaping business should expect, so do not use them as a forecast for your own company.

Federal guidance is the starting point, not the whole answer
The Department of Labor bulletin covers federal interpretation of hours worked. It does not settle state or local rules. Meal and rest break requirements, notice obligations for employee monitoring, privacy statutes, and the configuration of your own payroll system all vary by jurisdiction. Confirm the requirements that apply to your business with your state labor agency or qualified counsel before you finalize the policy.
A one-week trial before you commit
Run a real week, not a demo. Include these tests:
- Clock in from the yard and from a property, using the phone each crew member will carry.
- Move one crew through at least three property changes in a single day, and confirm each change is labeled correctly.
- Clock in and out at the weakest-coverage site, then check how the punch appears afterward.
- Leave one punch missing, then complete the supervisor correction and approval steps.
- Export the approved hours to your payroll system and compare the totals with the crew’s own count.
- Confirm the plan tier includes the features you need, such as geofencing or project tracking, and the cost of devices and data plans.
A system that passes these steps on paper but fails on your worst site is not ready for payroll.
