Time and Attendance Software: How It Works and What to Compare

Time and attendance software handles more than clock-ins: compare capture methods, exception workflows, payroll connections, and workforce requirements before choosing a system.

Time and attendance software records when employees work, routes timecards through review and approval, and can send approved hours to payroll. The right system depends on where and how your staff work, which rules you need to apply, and whether it connects to your actual payroll setup.

What time and attendance software does

It is a workforce timekeeping workflow, not just a digital clock. Employees record time; the system organizes those entries into timecards; workers or managers correct and review exceptions; and approved hours can be passed to payroll. Depending on the product and plan, the workflow may also include schedules, time-off requests, notifications, and reports. Those capabilities are not universal, so confirm what is included in the specific product you are evaluating.

For example, ADP describes time capture, time-off access, and payroll integration; Paylocity describes timecards, policy configuration, exception alerts, approvals, and payroll handoff. These are vendor descriptions of their products, not guarantees that every feature is available in every plan.

How the workflow fits together

  1. Capture time: Employees clock in and out, enter time, or record work through an available device or interface.
  2. Organize entries: The system assembles punches or timesheet entries into employee timecards, often alongside schedules or configured policies.
  3. Review exceptions: Employees and managers address missing punches, overtime alerts, or other flagged entries. The exact alerts and rules depend on configuration and product.
  4. Approve time: Managers review and approve timecards according to the organization’s workflow.
  5. Hand off to payroll: Approved hours may flow to payroll. Confirm how the connection handles corrections, data fields, and the payroll product you use.

For a description of timecard rules and exceptions, see UKG’s workforce management information. A system can help surface policy issues before payroll, but configured software rules should not be treated as a guarantee of legal compliance.

Choose time capture around the work

Employees at desks, in stores, at shared sites, and on the move may need different ways to record time. Compare the capture methods the product supports with the locations and devices your staff actually use.

  • Web timesheets: Useful when employees regularly work at a computer and enter or review their time online.
  • Mobile apps: May suit employees working away from a fixed desk or clock. Check whether location features such as geofencing are involved and whether they fit your policies.
  • Shared clocks and kiosks: Can serve teams punching in at a common workplace. Confirm that the clock is compatible with the software and that the workflow supports your sites.
  • Point-of-sale or other workplace devices: Some products support time capture through equipment already used at work; verify the exact devices and configuration.
  • Phone, text, IVR, proximity, or biometric interfaces: Availability varies by provider. Review device support and any privacy or workplace-policy implications before choosing these methods.

Vendor examples illustrate the range rather than a standard feature set: ADP lists web timesheets, clocks, point-of-sale devices, tablets, mobile devices, and kiosks; UKG describes biometric clocks, mobile apps, and web systems; and Tyler Technologies lists browser, clock, phone, text, IVR, proximity, and biometric interfaces. SAP describes mobile time capture and geofencing. These pages do not establish that every method is available in every edition or location.

Compare the rules and exception workflows

List the rules the system must apply or help managers review, then check whether each is supported in your jurisdiction and the plan you are considering. Depending on the workplace, that list may include overtime, breaks, premiums, rounding, missed punches, and approval steps.

Ask how a rule is configured, who can change it, what an employee or manager sees when an entry is flagged, and how a correction is recorded. A system’s ability to apply configured rules or send alerts is a product capability; it does not by itself establish that the settings meet every applicable legal or contractual requirement. Paylocity describes configurable policies and exception alerts, while UKG describes rule enforcement and timesheet exception handling.

Verify payroll and HR integrations

A vendor’s general statement that its product integrates with payroll does not prove that it connects to your exact payroll product, configuration, or data requirements. Before choosing a system, ask the vendor to confirm the specific connection and explain how it handles approved hours, corrections, pay codes, and other fields your payroll process requires.

  • Identify the exact payroll product and environment you use.
  • Confirm whether approved hours transfer directly or require an export or manual step.
  • Check how corrected or reopened timecards are reflected in payroll.
  • Establish whether schedules, leave, and employee records are connected or managed separately.
  • Ask who configures and supports the integration, and how errors are identified and resolved.

ADP, Paylocity, UKG, Tyler, and SAP each describe payroll-related connections or handoffs on their product pages, but the relevant question is whether the specific setup works for your organization.

Account for workforce complexity

Compare your operational requirements before comparing feature lists. A simple schedule and a single worksite may need a different workflow from rotating shifts, multiple locations, mobile work, job costing, or teams with different policies and approval chains.

  • Map shift patterns, worksites, and employee groups.
  • Identify who approves time at each location and what happens when an approver is unavailable.
  • Determine whether hours need to be assigned to jobs or other cost categories.
  • List policy variations, including any bargaining or workplace-specific rules that must be represented.
  • Check what employees can view or change themselves, and what managers can access.

Tyler describes scheduling, overtime, job-costing, self-service, and payroll workflows on its time and attendance product page. Treat these as product claims to validate against your own requirements, not proof of a fit for every organization.

Review privacy, access, and device requirements

Self-service access and notifications can affect how employees correct time and request leave; permissions determine who can review or change records. Check these controls alongside the capture method. If considering biometric clocks or location features, review applicable privacy obligations and workplace policies before deployment. The availability of a feature does not establish that its use is lawful or appropriate for a particular employer.

If you plan to buy a separate physical time clock, confirm its compatibility with the timekeeping platform, required connection, and intended sites before purchase. A device’s ability to capture punches does not guarantee that it will exchange data with a particular software system.

A practical evaluation checklist

  • Does every employee group have a workable way to record time at its actual work location?
  • Can the product handle your schedules, sites, approval chain, and job or cost assignments?
  • Are the required overtime, break, premium, rounding, and missed-punch workflows supported in the relevant plan and jurisdiction?
  • Can employees and managers see and correct exceptions with an appropriate record of the change?
  • Has the vendor confirmed compatibility with your exact payroll product and described correction handling?
  • Do the available self-service, permissions, alerts, and privacy controls suit your policies?
  • Have shared devices, mobile requirements, and any biometric or location-based features been reviewed for compatibility and policy fit?
