For a small business, the best ChatGPT alternative is usually the AI that fits the software it already uses: Google Workspace with Gemini for Google-centered teams, Microsoft 365 Copilot for Microsoft-centered teams, or Claude for businesses seeking connected workflows across several tools. These are integration-fit recommendations, not winners from head-to-head model testing. Choose by workflow, human approval controls, plan-level data terms, and total cost—not by assuming one assistant is universally more capable.
How to choose an AI assistant for a small business
Start with where your business keeps its email, documents, meetings, and customer or financial records. A tool that can work within those systems may be easier to adopt than one that requires employees to move information between apps. Then check whether you need help drafting and analyzing, or connected workflows that span multiple business tools.

- Map your work ecosystem: identify whether your team primarily uses Google Workspace, Microsoft 365, or a mix of services.
- List the tasks you want to improve: distinguish everyday writing and analysis from recurring processes such as follow-ups, reporting, or bookkeeping preparation.
- Set approval rules: decide which actions must always wait for a person, especially sending customer messages or paying bills.
- Review the exact plan: check app access, user and usage limits, regional availability, data terms, and the total cost for your team.

Claude for Small Business: connected tasks with approval gates
Claude is the clearest fit when you want AI workflows that reach beyond a single office suite. At launch, Anthropic named integrations including QuickBooks, PayPal, HubSpot, Canva, DocuSign, Google Workspace, and Microsoft 365. In a September 15, 2026 update, Anthropic said the offering had 43 workflows and 27 new integrations, and reported more than 900,000 installations. Those are company-reported rollout figures, not independent evidence of productivity or quality. See Anthropic’s September 2026 update and its Claude for Small Business page for current details.
Seats, usage, and data terms
Anthropic says Claude for Small Business is available on every paid Claude plan and recommends Team for businesses with more than one person. Its help page states that Team requires at least two members. The listed US standard-seat price is $25 per member per month, or $20 per member per month when billed annually, before applicable taxes. These are regional prices, not a universal quote; currency and tax treatment vary, and standard seats have per-member usage limits and weekly caps. Check the Team plan help page for current terms.
Anthropic says it does not train on business data by default on Team and Enterprise plans. It also says the small-business offering has controls audited to SOC 2 Type II and encrypts data in transit and at rest. These are vendor statements, not a substitute for reviewing the applicable plan, settings, data-processing terms, and legal obligations for your business and jurisdiction.
Google Workspace with Gemini: a natural fit for Google-centered teams
If employees already work in Gmail, Docs, Sheets, Meet, Chat, and Vids, Gemini’s Workspace integration may reduce the friction of adopting an AI assistant. Google also describes access through the Gemini app and Gemini Notebook. The practical question is whether your specific Workspace plan includes the features and controls your team expects—not simply whether Gemini is available somewhere in the product family.
Rank #3
Google says Workspace organizational data is not used to train or improve Gemini models or to target ads. It also describes user-access-bound retrieval and controls such as data loss prevention (DLP), information rights management, and client-side encryption. Feature availability and applicability depend on the plan; review Google’s Workspace AI information and the terms for the edition you use.
Microsoft 365 Copilot: a natural fit for Microsoft-centered teams
For businesses organized around Microsoft 365, Copilot works across familiar applications including Word, PowerPoint, Excel, Outlook, Teams, and Loop. Microsoft says Copilot Chat is available at no additional cost to eligible Microsoft Entra account users with an eligible Microsoft 365 subscription. Adding a Copilot license extends work-context integration and app availability, so distinguish the included chat access from the licensed experience when comparing options.

Microsoft describes enterprise data protection and says business data is not used for AI training. Its business page also documents a promotional offer running July 1 through December 31, 2026, subject to eligibility, first-year promotional pricing, and annual commitment. That offer is not a general price quote: check your eligibility and current terms on Microsoft’s Copilot for business page.

How ChatGPT fits into the comparison
ChatGPT remains the comparison baseline rather than an alternative in this shortlist. OpenAI’s business page identifies ChatGPT Business and Enterprise, as well as ChatGPT Work, Codex, and API, but the product information available here does not support a current, like-for-like comparison of their features, prices, or data terms against the alternatives. Check OpenAI’s business page and current plan documentation before making that comparison.
Check privacy and cost at the plan level
A vendor’s statement about model training is only one part of deciding whether a service is appropriate for business information. Compare the actual plan and agreement you would buy, the settings available to administrators, the information the service can access, and the rules that apply where your business operates. Google, Microsoft, and Anthropic describe different data protections and access controls; those claims are not interchangeable and do not, by themselves, establish that a particular deployment meets your legal or security requirements.
There is not enough comparable pricing information here to name a lowest-cost option. Claude’s cited US Team prices have a two-member minimum and usage limits, while Microsoft’s 2026 offer is conditional. For every candidate, calculate the current cost for your number of users and required licenses, then include any plan limits that could affect actual use.
Quick Recap
A practical shortlist by business setup
- Mostly Google Workspace: evaluate Gemini first, then confirm the exact plan entitlements and controls.
- Mostly Microsoft 365: compare eligible Copilot Chat access with the licensed Copilot experience your team would need.
- Several business tools and recurring cross-app tasks: evaluate Claude’s listed integrations and workflows, paying particular attention to approval steps for consequential actions.
- Mixed environment or uncertain fit: choose a small set of real workflows, check whether each candidate supports the required apps and safeguards, and verify plan terms before rolling it out.
