Keep the subscription when it provides dependable access, secure operations, recovery, or licensed content that you would struggle to reproduce and maintain yourself. A self-hosted app can reduce fees and give you more control, but it also makes you responsible for updates, monitoring, backups, incident response, and restoring service when something breaks. For most people, the five hardest subscriptions to replace safely are a password manager, primary email and productivity suite, cloud storage and backup, streaming access, and online accounting.
Which subscriptions are hardest to replace?

“Worth keeping” is not a claim that every provider is secure or that self-hosting is always a bad choice. The UK National Cyber Security Centre (NCSC) describes SaaS as centrally hosted software accessed over the internet and treats security as a shared responsibility: customers still need to check providers and manage access, authentication, monitoring, and recovery. Its SaaS security guidance dates to 11 June 2018, version 1.0; the NCSC online-services page is dated 11 January 2024. AWS likewise says cloud-first SaaS providers can benefit from cloud availability, scalability, and security capabilities, while advising buyers to check service levels, data ownership, exports, and backups. Its small-business cloud-security article is dated 5 August 2025.
1. Password manager
Why the managed service can be worth it
A password vault concentrates access to many of your accounts in one place. If the vault, its backups, TLS certificates, device sync, or recovery process fails, the consequences can reach every account whose credentials you store there. NCSC says password managers offer “an alternative, more secure, way of coping with password overload,” while warning that vault data needs protection both in transit and at rest and that an attacker who gains access to the account poses a material risk.
A subscription can pay for a maintained service, support, and a recovery path, as well as convenient access across devices. Bitwarden’s current comparison notes that self-hosting requires server administration, monitoring, backup management, and troubleshooting; its managed service is aimed at teams seeking high availability without building redundant infrastructure and 24/7 monitoring.

When self-hosting is a deliberate exception
Self-hosting can make sense if you have a specific air-gapped requirement, unusual compliance rules, or the operational skills to maintain the service and test recovery. It is not automatically safer just because the server is yours: you must also secure the server, vault backups, access, and the devices that sync with it.
If you keep a managed subscription, a FIDO2 security key can serve as a second factor where the provider supports it. Keep a spare in a separate safe location; a hardware key adds an authentication factor but does not replace the password manager or its recovery plan.

2. Primary email and productivity suite
Why mail is more than mailbox storage
Your primary email account often helps recover access to other services. A productivity suite may also hold calendars, documents, and shared work, and connect phones, browsers, colleagues, and other tools. Replacing it means preserving those workflows and access paths, not just moving messages to a server you control.
What operating your own mail involves
A self-hosted mail stack puts patching, spam controls, abuse handling, deliverability, certificate management, monitoring, and recovery on you. A server can be running while messages still fail to reach recipients reliably. The subscription is buying continuity and a connected service ecosystem as well as storage. AWS lists email and productivity software among common SaaS workloads; its guidance describes potential cloud benefits, not a guarantee that any individual provider is secure. NCSC’s SaaS recommendations include robust authentication, least-privilege access, monitoring, incident response, and resilient backups.

3. Cloud storage and backup
Keep recovery copies separate
Cloud storage can be useful for syncing files, but the stronger reason to keep a cloud backup is recovery: version history, restoration after deletion, and an off-site copy that may survive a local failure. NCSC says critical SaaS data should have at least one resilient backup and that backups should have separate “blast radiuses,” so one incident cannot destroy both the application and every copy. Its guidance discusses recovery from outages, permanent loss, and ransomware.
When a home server helps—and when it does not
A home server can be a useful secondary copy, but it should not automatically be treated as your only backup. If it shares a location, network, credentials, or administration path with the original files, the same event may affect both. Before relying on it, consider geographic separation, restore testing, retention, bandwidth, encryption, portability, and how long repairs would take. AWS advises checking data ownership, export, durability, and backup mechanisms when choosing SaaS.

4. Streaming and media access
Decide whether you are paying for access or ownership
A self-hosted media server can organize and play files you already own, but it does not reproduce a commercial service’s licensing agreements, rotating catalog, regional rights, or turnkey apps. Keeping a streaming subscription is mainly a convenience and rights trade-off, not a universal technical requirement.
Compare your household’s actual use
Consider how often your household watches titles tied to a particular catalog, whether you need simultaneous streams or offline viewing, and how much time you would spend acquiring, encoding, storing, and serving your own media. Catalogs and rights vary by provider and region, so there is no single catalog comparison that answers the question for every household.

5. Online accounting and invoicing
When shared business workflows matter
Online accounting and invoicing can connect records to staff, accountants, banks, payment systems, and tax workflows. A self-hosted ledger may suit a technically capable single user with simple books, but the cost of a mistake or prolonged outage can rise when other people and services depend on those records. NCSC specifically includes online accounting and invoice management among the services that need secure management; its SaaS guidance calls for least-privilege administration, audit monitoring, incident response, and resilient backups.
Check the records and controls before switching
Before moving, confirm that you can export usable records and preserve the history your work requires. Compare export formats, retention, audit history, integrations, permission controls, and recovery procedures. A data export that cannot be used by your accountant or imported into a replacement system is not much of a portability plan.
How to judge whether self-hosting is really cheaper
Compare the subscription with the full cost and responsibility of running the replacement—not just the price of a server. For each service, work through these questions:
- Availability and recovery: What happens after a server, disk, network, or credential failure, and how quickly can you restore access?
- Security responsibility: Who patches, monitors suspicious activity, investigates incidents, and responds to compromised accounts?
- Backup separation: Are the backups resilient and isolated from failures that could affect the main system?
- Portability: Can you export usable data if the provider closes or your own server fails?
- Integration and access: Will phones, browsers, collaborators, banks, calendars, and other connected services continue to work?
- Total cost: Include hardware, electricity, storage, domains, backup media or services, upgrades, incident response, and the value of your maintenance time.
There is no authoritative universal figure for how much self-hosting saves across these five categories or how many maintenance hours it takes. The result depends on your setup and how much reliability, recovery, and support you need. Keep the subscription if those responsibilities would cost more—in time, risk, or money—than the recurring fee.
