Choose a payment processor by matching its channels, total costs, payout timing, terms, and support to how your business actually takes payments. There is no universal best choice: compare providers against the same sales scenario and verify current pricing and eligibility for your location before signing.
Start with how customers will pay
List the ways customers pay today and the ways you expect them to pay over the next year. Your workflow might include in-person checkout, an online store, invoices or payment links, keyed payments through a virtual terminal, mobile payments, or a mix of channels.

Channel coverage can be decisive for retailers, hospitality businesses, and service providers that sell both in person and online. Stripe’s small-business payment processing guide discusses omnichannel needs, while Square describes options such as links, invoices, virtual terminal, and Tap to Pay. These are provider-specific examples; confirm which features are included in the plan you are considering.
Write down the systems that must work together, such as your ecommerce platform, invoicing tool, accounting software, or point-of-sale setup. When sales happen across channels, check whether transactions, refunds, and reports can be managed in a way that fits your workflow.

Estimate the full cost for your transaction mix
A single advertised processing rate is not enough to compare providers. Estimate costs using your average sale, monthly transaction count, expected busy and quiet months, and the share of payments made in person, online, or by keyed entry. Percentage fees have a larger effect on larger purchases; fixed per-transaction fees take a larger share of small purchases.
Include every charge that applies to your quote and plan: percentage and per-transaction fees, monthly subscriptions, gateway or account fees, minimums, hardware, disputes or chargebacks, compliance-related charges, and transfer fees. Stripe’s guide lists possible monthly, PCI-compliance, and chargeback fees. Square’s merchant-services page also outlines fee categories to consider.
For context, Square’s US merchant-services page, accessed October 7, 2026, lists examples of 2.9% plus $0.30 for online card transactions and 3.5% plus $0.15 for manually keyed transactions. It lists ACH bank transfers for invoices at 1% with a $1 minimum. These are Square-published examples, not market averages; confirm current rates, plan, eligibility, and geography directly with the provider. Square says custom pricing may be available to businesses processing more than $250,000 annually, based on factors including processing volume, average ticket, and seller history; verify eligibility rather than assuming the threshold guarantees a particular rate.

Square describes its Free plan as having no monthly subscription cost and lists invoices, payment links, virtual terminal, and Tap to Pay on supported phones among options that do not require hardware. Those statements apply to Square’s offering and may change. Compare the current plan details with your own setup rather than treating “free” as meaning there are no transaction or other fees.
Build a like-for-like cost estimate
- Record your average ticket and estimated number of payments in a quiet, typical, and busy month.
- Estimate the share of transactions by channel and method, including in-person, online, keyed, and invoice payments.
- Apply each provider’s current rates to those same assumptions, then add applicable subscriptions, hardware, disputes, compliance, gateway, account, and transfer charges.
- Ask for a written quote that identifies rates, waivers, minimums, and any conditions attached to them.
Read the contract and account terms
Before accepting an offer, check the contract duration and cancellation process, early-termination charges, minimum processing requirements, and whether the provider can adjust rates. Look for equipment purchase or lease commitments and ancillary charges such as statement, gateway, authorization, batch, return, PCI, or chargeback fees.
Square states that it does not require a long-term contract. That is a claim about Square, not a general feature of payment processing; review the terms of each provider you consider.

Check payment methods, devices, and integrations
Confirm that the processor accepts the cards, digital wallets, and other payment methods your customers use, and that the relevant methods are enabled for your channels and plan. For online sales, check checkout integration with your store or invoicing tools, how the payment experience works for customers, and how refunds and disputes are handled.

A reader is not automatically compatible across services. Online-only businesses, and businesses using a supported Tap to Pay workflow, may not need separate hardware.

- Pay one transparent rate per swipe for Visa, Mastercard, Discover and American Express.
- Works in conjunction with most downloadable Square point-of-sale apps on your device. Customers can pay, tip and sign directly on your device. Track payments in cash, gift cards and more. Also lets you send receipts via e-mail or text message, makes it easy to apply discounts, keeps a data and sales history log and more.
- Accepts magstripe credit card payments, including those from Visa, Mastercard, Discover and American Express (fees apply).
- App sends deposits to your bank account within 1 to 2 business days, or enjoy instant deposits (fees apply).
Match payouts to your cash-flow needs
Compare the normal settlement and payout schedule, available transfer methods, and the provider’s terms for holds or reserves. Consider how long your business can operate between a customer payment and access to the funds, particularly when payroll, inventory, or supplier bills are due.
Faster access may involve a fee or eligibility conditions. Square says instant and same-day transfers require a linked bank account or debit card and cost a fee per transfer. Check the current conditions and price on its merchant-services page. Settlement timing depends on the provider and circumstances; do not assume a universal payout time.
Review security, compliance, fraud, and disputes
Ask what security features and fraud controls are included, which controls you can configure, how you will be notified about a dispute, what evidence you can submit, and how the appeal process works. Understand potential chargeback costs and any responsibility that remains with your business.

Square’s payment terms say businesses handling card information must comply with card-brand rules and PCI DSS. Stripe also identifies PCI DSS as a consideration in its small-business guide. Using a processor may reduce your direct handling of card data, but it does not by itself establish that your business has no compliance responsibilities. Confirm what applies to your business and the services you use.
Compare providers using one consistent scenario
Build a shortlist and evaluate every provider against the same assumptions. Product structures and fees differ, and PayPal says rates can vary by checkout option and payment method; check the current terms for each specific setup.
