Should You Void or Refund a Payment? The Batch-Cutoff Rule

Void an authorization or eligible unsettled payment; refund once your processor no longer permits cancellation. The right choice depends on the transaction state and provider-specific cutoff rules.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Void the payment if it is still an authorization or your processor still permits cancellation before settlement; refund it once cancellation is no longer available. The deciding factor is the transaction’s actual processing state and your provider’s cutoff rules—not a status label or a universal time of day.

What is the difference between a void and a refund?

An authorization reserves funds on the customer’s account. Capture initiates transfer of the authorized amount. Depending on the payment method and setup, capture may happen automatically or be a separate merchant action. Adyen describes both the payment lifecycle and the distinction between authorization and capture in its Payments lifecycle documentation.

A void cancels an authorization, or in some provider workflows cancels a captured transaction that has not yet settled. A refund is a separate process that returns funds after payment has advanced beyond the cancellation boundary. PayPal summarizes its own workflow as: “Void cancels an authorization before capture.” “Refund returns money after a payment has been captured.” See PayPal’s void-authorized-payment guide.

Should you void or refund? Check the transaction state

Transaction state Usual action What to verify
Authorized, not captured Void the authorization if you are cancelling the sale. Confirm the authorization is still active and the provider permits voiding it. If you intend to complete the sale, capture it instead.
Captured, but not yet settled Try a void only if your provider still allows cancellation in this state; otherwise refund. Check the provider’s transaction detail and the account’s batch and settlement rules. “Captured” alone does not establish that a void remains possible.
Settled Issue a refund or credit. A settled payment has crossed the cancellation boundary in providers such as Authorize.net, where settled transactions cannot be voided. See Authorize.net’s transaction-type guidance.

These are decision principles, not a universal promise about every processor or payment method. A provider’s rules determine which states remain cancellable. For example, Adyen says that once a payment is in SentForSettle, the transfer request has been sent to the financial institution and the payment cannot be cancelled. A refund is then a separate request; SentForRefund means that request is awaiting financial-institution confirmation. Details are in Adyen’s lifecycle status descriptions.

Why is the cutoff a race?

For an eligible captured transaction, the window for cancellation can close when the provider’s settlement process advances. That boundary depends on the provider’s workflow and account settings; there is no industry-wide batch-closing time. Check the transaction detail, the configured batch schedule, payment method, and capture configuration rather than relying on a dashboard label or assuming a fixed clock time.

Authorize.net’s documented example

Authorize.net says authorize-and-capture transactions are queued for settlement at the next batch. Its documentation describes settlement every 24 hours, within 24 hours of the account’s configured Transaction Cut-off Time. It permits voids for transactions in Authorized/Pending Capture and Captured/Pending Settlement states; once settled, the transaction requires a credit or refund. These are Authorize.net-specific rules, not a schedule that applies to other processors.

Capture setup can change the workflow

Adyen says capture is automatic by default, although some payment methods support separate authorization and capture. If manual capture is enabled, do not treat the API request acknowledgment as proof that the payment is complete: Adyen processes capture asynchronously. Its capture documentation says the merchant should use the webhook result; a later CAPTURE_FAILED event can still follow an initially successful webhook.

PayPal’s authorization windows are another provider-specific example: its developer guide gives a standard authorization period of 3 days and an honor period of 29 days. These periods apply to the PayPal workflow described there, not to other providers, card schemes, or payment types. An authorization’s expiry is not the same thing as a batch cutoff.

Why can a pending charge remain after a void?

A successful void on the merchant or processor side does not guarantee that a pending authorization hold disappears from the customer’s banking app immediately. The issuing bank controls when its hold expires. Authorize.net warns that the bank may retain the hold until it expires naturally; PayPal says production fund release can take up to 24 hours depending on the customer’s bank. Those statements describe the respective providers and do not establish a universal release time.

A pending hold is not necessarily a completed charge or proof that the merchant failed to void the transaction. If a customer asks about it, confirm the void’s final state and explain that their bank may continue to display the authorization temporarily. Do not promise a precise release time unless the provider and bank can confirm one.

How to verify the result and reconcile the payment

  1. Open the provider’s transaction detail. Check the actual payment or authorization state, amount, payment method, and any capture or settlement events.
  2. Check the account’s cutoff and capture configuration. Use the provider’s account-specific schedule and rules to determine whether cancellation is still available; do not infer it from a generic status name.
  3. Submit the eligible action. Void if the provider still permits cancellation; if the payment has crossed that boundary, submit a refund instead.
  4. Wait for final processing evidence. For asynchronous capture or reversal workflows, check the relevant webhook or final transaction state rather than treating a click or request acknowledgment as confirmation of settlement or completion.
  5. Keep the transaction details together. Preserve the payment or authorization reference, amount, and event timestamps. Use them when reconciling records or contacting processor support about a disputed status or pending hold.

Provider-specific limits to check before relying on a figure

Processing windows and eligibility limits are not interchangeable across providers. The following figures are documented for the named provider and workflow; confirm current terms and account settings before using them operationally.

Provider and documented figure What it applies to
Authorize.net: settlement every 24 hours, within 24 hours of the configured Transaction Cut-off Time Its authorize-and-capture settlement workflow; not a universal gateway schedule.
Authorize.net: 30 days Its documentation says an Authorization Only transaction can remain in Unsettled Transactions for up to 30 days before expiring if it is not captured.
Authorize.net: 180 days Its documented default window for linked credit/refund requests for transactions originally processed through Authorize.net. After that, card data may be archived and another refund method or Expanded Credit Capabilities may be needed.
PayPal: 3 days standard; 29 days honor period Authorization periods in PayPal’s documented workflow, not general card authorization limits.
PayPal: up to 24 hours Production fund-release timing after a void may depend on the customer’s bank.

For a processor-specific investigation, compare the states it permits merchants to void, whether capture can be manual or delayed, how it defines cutoff and settlement for your account and region, what its dashboard and webhooks report, and its refund eligibility rules. A provider’s documentation and your account configuration are more useful than assuming that one processor’s timeline applies to another.
