Shopify can automate routine order actions, but a dependable workflow still needs clear rules for payment capture, fraud exceptions, fulfillment, and post-purchase changes. Start by configuring shipping and fulfillment locations, then use Shopify Flow and the Orders page to route routine orders while keeping exceptions visible for staff review.
Set up shipping and fulfillment before automating orders
Automation works only as well as the store’s fulfillment foundation. Configure shipping rates and shipping profiles, and confirm which locations can fulfill each product. These settings affect the shipping costs customers see at checkout and where orders can be routed. Shopify’s fulfillment guidance explains the available fulfillment paths.

Check shipping-label eligibility separately: purchasing labels through Shopify is available only in select countries and requires an eligible fulfillment location. Do not assume that a label workflow is available for every store or location; confirm the current requirements in Shopify’s shipping-label documentation.
Choose when payment is captured
Payment capture determines whether an order is charged as soon as it is placed or remains available for review first. Automatic capture is simpler for routine processing. Manual capture gives staff or an automation rule an opportunity to assess an order before capturing its payment. Shopify documents the available order and payment-management options on its Orders page guidance.

If a Shopify Flow workflow will capture payment, set payment capture to manual in the admin. A capture action in Flow does not replace that prerequisite. Review the store’s payment configuration and the relevant Capture payment action documentation before enabling the workflow.
Use Flow to apply rules to orders
Shopify Flow builds automations from three parts: a trigger starts the workflow, conditions evaluate order information, and actions carry out the chosen task. Shopify describes Flow as “a free app that can help you create and run automated workflows in your Shopify admin.” See Shopify Flow documentation for setup and available workflow capabilities.
Match the trigger to the event
Choose a trigger that represents the event you actually need to handle. Order creation and the creation of a payment transaction are not always the same event: an order edit or post-purchase upsell can create a later transaction. If the workflow must observe each new order transaction, Shopify documents the Order transaction created trigger. Check its behavior in the trigger reference.

Test payment-related workflows carefully
Before using automation to capture payment or coordinate with another app, test the workflow against representative orders and transaction events. Confirm what happens when an order is edited, a later transaction is created, or an app changes the order. A trigger that runs only when an order is first created may not handle those later events.
Review risk before fulfillment
Risk analysis may take time after an order is created. Shopify’s risk-workflow guidance recommends using the Order risk analyzed trigger instead of Order created when a workflow depends on the completed risk analysis. That timing matters: a workflow that checks too early can make a decision without the risk result it needs. See Order risk analyzed.
With manual capture enabled, one design is to capture orders that do not meet the store’s high-risk criteria and leave flagged orders uncaptured for review. Choose the response according to the store’s risk policy and payment setup. A risk flag is a reason to apply the store’s review rules, not a universal instruction to cancel every flagged order. Define who reviews exceptions and what action follows before routing orders automatically.
Route orders to the right fulfillment path
Shopify orders can be fulfilled in-house, by a fulfillment service or connected app, or through a combination of methods for different items in one order. Self-fulfillment leaves picking, packing, and shipping with the merchant; third-party fulfillment delegates some or all of that work. The right route depends on the products, locations, and services configured in the store. Shopify outlines these options in its fulfillment documentation.
Shopify supports individual, bulk, and batch fulfillment workflows. Choose the path that fits the store’s volume and operations, and verify the actual orders before confirming fulfillment. When an order contains items handled by different locations or fulfillment methods, make sure the workflow accounts for each part rather than treating the order as a single shipment.

Buy labels, print them, and share tracking
For self-fulfilled orders, Shopify supports buying shipping labels from supported carriers and printing them with a supported label printer. Shipping labels can provide tracking information to customers. Availability depends on country, fulfillment location, carrier, printer, and label format, so verify the store’s eligibility and setup in Shopify’s shipping-label guidance.
Keep label purchasing and fulfillment confirmation as distinct operational checks: confirm the shipment details and label before dispatch, then ensure the order’s fulfillment and tracking information reflect what was actually sent. For orders handled by a fulfillment service, follow the configured service’s process rather than assuming the in-house label workflow applies.

Order automation should specify what happens when the normal path no longer fits. Shopify’s order tools support reviewing and editing orders, preparing fulfillment, processing returns and refunds, canceling orders, and reviewing risk. Use the Orders page to find and filter orders and inspect their details before staff take an exception action.

Address problems and order edits
Validate shipping details before fulfillment and define whether an address issue pauses the order for staff review. Changes to an order can affect what should be fulfilled or charged, so make sure payment and fulfillment workflows account for edits and any transactions created afterward.
Holds, cancellations, returns, and refunds
Use a hold when an order needs review before fulfillment, and define how staff are notified and how the hold is cleared. Set explicit handling for cancellations, returns, exchanges, and full or partial refunds so these actions do not leave fulfillment or payment steps running as if the order were unchanged. Shopify Flow examples include fulfillment holds and notifications for large orders; use them as patterns and adapt conditions and recipients to the store’s process. Unusually large orders
A large-order notification can bring an order to a person’s attention without automatically rejecting it. Set the threshold and the follow-up action to match the store’s own review policy, then test what happens if an order is edited after the notification rule has run.

These are workflow choices, not a universal ranking. A store can automate routine orders while retaining manual review for specified payment, risk, shipping, or post-purchase exceptions. Revisit the rules when payment settings, fulfillment locations, apps, or shipping eligibility change.
