Crashes, No Sound, or Screen Glitches?

Their default design is built around features such as live editing, syncing, permissions, and recovery. End-to-end encryption (E2EE) is possible, but it changes how those features work—and is often offered only for specific accounts, folders, or file types.
What encryption in transit and at rest does—and doesn’t—mean
Encryption in transit protects data moving between your device and a service. Encryption at rest protects data stored on servers or other storage systems. Both are important security controls, but neither term alone says that only you and your collaborators hold the decryption keys. Under a service’s ordinary architecture, the provider may retain the ability to process document contents to deliver its features. That technical ability is different from routine human access to your files.

With end-to-end or client-side encryption, encryption and decryption happen on authorized endpoints, and the service provider is not supposed to have the keys needed to read the protected content. The precise meaning depends on the product: check which files the feature covers and who controls the keys, rather than relying on the label alone.

Google says standard Drive, Docs, Sheets, and Slides files are encrypted in transit and at rest with AES-256. That is a meaningful protection, but it is not the same as client-side encryption. Google’s client-side encryption guidance describes a separate mode and says of files protected by that feature: “Your files are encrypted from end-to-end and between clients. Google cannot decrypt your files.” That statement applies to covered files, not every Google document.

Why shared documents make E2EE more complicated
A shared document is not just a file stored for later download. A cloud service may coordinate accounts and permissions, synchronize changes across devices, resolve simultaneous edits, and support comments, search, previews, integrations, or recovery. If the service needs to process the document’s contents to provide a feature, it generally needs plaintext access somewhere in that process—or a more specialized cryptographic design.
E2EE shifts key control to users’ devices. A service must still help authorized collaborators obtain access without handing the provider the ability to decrypt the document. It also needs ways to handle new devices, lost credentials, changing permissions, and revoked access. The OECD notes that “E2EE introduces more complexity, in particular in contexts where several users are involved,” including shared files in network drives. That describes a design challenge, not proof that E2EE collaboration is impossible.
The practical tradeoff is often between the breadth and convenience of the default collaboration experience and the tighter limits of a specialized encrypted mode. The exact compromises depend on the product.

Can Google read my Google Docs?
For standard Workspace files, Google documents encryption in transit and at rest. Those protections do not establish that the files are client-side encrypted or that Google lacks access to the keys. For eligible Workspace accounts, an administrator can enable Google Workspace client-side encryption. Users must verify their identity, and Google says it cannot decrypt files covered by the feature. Shared collaborators receive access through a per-file key.
The encrypted editing experience has documented limits:
- Only one person can edit at a time.
- Autosave begins on a 30-second cadence.
- Some features are unsupported or altered; comments and permissions work differently.
- An administrator must enable the feature, and users must complete identity verification.
See Google’s setup guidance and its collaboration guidance for encrypted files for current eligibility and feature behavior. The important distinction is scope: client-side encryption is an optional, controlled mode, not the default for every shared Google document.

What about Dropbox and Microsoft 365?
Dropbox: E2EE for selected team folders
Dropbox separately documents E2EE for selected team folders. Its help documentation says that “Private client keys aren’t stored at Dropbox and never leave the user’s device.” This claim is scoped to encrypted team folders; it does not describe all Dropbox content.

Dropbox’s documented exclusions include Dropbox Paper and other cloud content, shared folders, and the Dropbox mobile app. Moving a file out of an encrypted folder removes that folder’s encryption. Before relying on the feature, confirm the current plan eligibility and precisely which folder and access methods are covered. See Dropbox’s encrypted team-folder overview and its security documentation.
Microsoft 365 and SharePoint: cloud security controls are not proof of client-held E2EE
Microsoft documents TLS encryption in motion and multiple encryption layers. Its Service Assurance material says SharePoint stores encrypted file content in Azure blobs and that an authorization layer protects the key rather than exposing it to the end user. These are cloud security and access-control measures; they do not, on their own, establish client-held E2EE for ordinary shared Microsoft 365 documents. See Microsoft’s Microsoft 365 security documentation and Service Assurance information on isolation and access control.

How to decide whether an encrypted mode fits your workflow
Check the feature’s actual scope and test the work you need to do before moving sensitive documents into it. A mode that protects one folder may not cover files elsewhere in the account, and a mode that protects content may restrict the tools your team relies on.
- Coverage: Is E2EE available for the whole account, selected folders, or only particular file types?
- Editing: Can collaborators edit simultaneously, or does the mode limit editing to one person at a time?
- Collaboration tools: Do comments, suggestions, search, previews, APIs, and integrations still work as needed?
- Devices: Is the encrypted content available in the web, desktop, and mobile apps your team uses?
- Identity and recovery: Is administrator setup or identity verification required? What happens if a user loses access or changes devices?
- Sharing changes: Can you share with external collaborators, and how does the product handle removing access?
- File movement: Does moving a file, changing folders, or exporting a copy change its encryption protection?
These questions help distinguish a genuine client-side encryption feature from ordinary cloud encryption, and reveal whether its limits are acceptable for the documents and people involved.
