The key difference is who operates the file-sharing system—not whether it is automatically secure. With a self-hosted Nextcloud server, you or your organization take responsibility for server security, updates, backups, and recovery. With a managed service such as OneDrive, SharePoint, Dropbox, or Azure Files, the provider operates the underlying service, while you remain responsible for choices such as account protection, permissions, sharing, and retention. Choose based on who can reliably do that work and what access and recovery controls you need.
What changes when you choose self-hosted or managed?
“Self-hosted” and “managed” describe how operational work is divided. They are not security ratings. A carefully maintained server can suit an organization that needs control and has the skills to operate it; a managed service can reduce server administration, but it does not remove the need to configure access or understand the provider’s terms.

These examples are not an apples-to-apples comparison of identical products. OneDrive and SharePoint are managed file-sharing services; Azure Files is a managed SMB and NFS file-share service, so the way people connect to and authorize access differs. Dropbox publishes its own overview of security practices; that description is a vendor account, not an independent comparison.
What maintenance does a self-hosted Nextcloud server require?
Nextcloud says it aims to ship with secure defaults, but its hardening guidance leaves ongoing security review and maintenance to the server administrator. In practical terms, the operator must take responsibility for the server environment as well as the application. Nextcloud’s documentation states: “However, it is still up to the server administrator to review and maintain system security.”

The built-in updater automates part of an upgrade; it is not a complete backup system. Nextcloud’s updater documentation says, “The built-in updater does not backup your database or data directory,” and advises maintaining regular backups and backing up before each update. An upgrade can involve application code and database changes, so having a backup matters if the process fails or the updated instance needs to be rolled back.
Operational tasks to assign to an owner
- Review security guidance and maintain the server and Nextcloud installation.
- Schedule updates and create a usable backup before upgrading.
- Monitor the environment and decide who responds to failures or security incidents.
- Test that backups can be restored, rather than assuming that a successful backup job proves recovery will work.
- Plan for the host and supporting environment to fail, and decide how users regain access.
A server can make more control possible, but that control comes with work. If no one has the time and skills to own these tasks consistently, operating the software yourself may create more risk than the extra control is worth.

What should a Nextcloud backup include?
Nextcloud’s operations guidance says it does not come with a built-in backup solution and identifies configuration files, user data, and the database as backup elements. The database matters because files alone may not preserve the information needed to restore the instance and its metadata in a usable state.

- Configuration: the files and settings needed to recreate the instance’s configuration.
- User data: the stored files users expect to recover.
- Database: the information needed alongside those files for a complete restoration.
- Restore procedure: a documented way to put the components back together and verify access.
An external drive can be one backup destination, but owning a drive does not establish that all three components are covered, that a copy is protected from the same incident as the server, or that a restore has been tested. Nextcloud’s updater guidance also recommends backing up before every update; that is an additional reason to make the backup process part of routine maintenance.

Is managed cloud storage more secure?
There is no universal yes-or-no answer. A provider may operate security controls and infrastructure that a small team could not reasonably run itself, while a customer can still expose files through weak account security, overly broad permissions, or unsafe sharing settings. Conversely, self-hosting gives the operator responsibility and potential control, not automatic protection. The useful comparison is whether each side’s controls and recovery arrangements fit the threat and workload.
Microsoft describes OneDrive communications as using TLS and stored files as receiving per-file AES-256 encryption at rest, along with monitoring and recovery-related protections. Microsoft also documents encryption and key handling for OneDrive and SharePoint. These are Microsoft’s descriptions of its services, not an independent audit or a guarantee that every customer configuration meets a particular requirement.

For Azure Files, Microsoft documents managed SMB and NFS shares and recommends identity-based authentication, protocol-level protection, and share-scoped authorization. A managed file share still requires deliberate identity and access configuration, especially when users or systems mount it directly.
What do the different encryption terms mean?
Encryption in transit
This protects data moving over a network connection. Microsoft says OneDrive communications use TLS. It does not, by itself, say who can access content after it reaches the service.

Encryption at rest or server-side encryption
This protects stored data, but does not necessarily keep the service operator from decrypting it to provide the service. Microsoft describes encryption and service-side key handling for OneDrive and SharePoint. Nextcloud says its server-side encryption keys are stored on the server, so that feature does not protect against a compromised server or a malicious administrator.
End-to-end encryption
Nextcloud describes its end-to-end encryption as client-side encryption: clients encrypt before upload, and decryption capability stays with the clients rather than the server administrator or storage provider. This is a different access model from server-side encryption. Check the specific implementation and its limitations; the label alone is not a blanket guarantee about every file, feature, or workflow.
What responsibilities remain with a managed service?
Moving server operations to a provider does not move every security and recovery decision. For OneDrive or SharePoint, assess account security, identity and permissions, link-sharing settings, retention, and which recovery features apply to your plan. Microsoft’s documentation describes resilience and recovery capabilities, but it should not be read as a promise that every deleted file or ransomware incident can be reversed under every configuration or plan.

How to decide which model fits
- Name the operational owner. For self-hosting, identify who maintains the host and application, handles updates, and responds to incidents. For a managed service, identify who owns account configuration, permissions, sharing rules, and service reviews.
- Map access and key needs. Decide who must be able to read files, including service or server administrators, and whether server-side protection is sufficient or a client-side encryption model is necessary.
- Define recovery before choosing. For Nextcloud, require coverage for configuration, data, and database and a tested restoration process. For a managed service, confirm the applicable recovery scope, retention, and plan terms rather than relying on a general resilience description.
- Check availability and failure paths. Consider what happens if local hardware or the provider is unavailable, how users regain access, and whether you can export or move the data when needed.
- Compare the workload honestly. Managed services reduce the need to operate the underlying server, but identity, policy, trust, and sharing still need owners. Self-hosting is a fit only if someone can reliably do its additional operational work.
The available product documentation does not establish a neutral, like-for-like figure for security outcomes, maintenance hours, total cost, or recovery performance across these options. Make the decision against your requirements and the documented controls and terms for the actual deployment or plan.
