Each provider describes capabilities that vary by plan; confirm the exact tier, configuration, and current terms before committing.
How to choose a SharePoint alternative
First map the work the service must support. A team that mainly syncs folders and sends files to clients may prioritize simple external sharing, while a business with governance or hybrid-storage requirements may need different controls. Check these items against the exact plan under consideration:

- External access: Can you require named-user access, set link passwords and expiration dates, restrict downloads, and revoke access? Do recipients need accounts?
- Identity and administration: Check multifactor authentication, administrator roles, offboarding controls, and how shared links are exposed or managed.
- Audit and recovery: Verify which events administrators can review and whether version history and recovery meet your retention needs. File sync and recovery should not automatically be treated as a separate backup strategy.
- Fit and cost: Compare integrations with your productivity suite, storage and upload limits, minimum seats, regional availability, data-processing terms, and total annual cost.
For regulated data, confirm contractual, geographic, and configuration requirements with the provider and your business adviser. A statement that files are encrypted does not, by itself, establish that a service’s access model, retention, or compliance setup meets your needs.

| Provider | What its reviewed pages describe | Worth examining if… |
|---|---|---|
| Box | Business team plans with secure sharing, two-factor authentication, Microsoft 365 and Google Workspace integrations, and plan-specific administration and security features. Plans have minimum-user requirements. | You want a dedicated content platform and broad business integrations. Compare the controls and seat minimums on the tier you would actually buy. |
| Dropbox | Its security page describes AES encryption at rest, SSL/TLS in transit, two-factor authentication, granular permissions, password-protected and expiring links, access revocation, and recovery. Its plan comparison indicates that end-to-end encryption and advanced key management depend on tier. | Your team prioritizes syncing and external sharing. Confirm that the chosen business tier includes the administration and encryption features you require. |
| Egnyte | Egnyte describes data classification, governance automation, configurable sharing links, hybrid and on-premises deployment, client portals, audit logging, and integrations. These are vendor-described capabilities. | Governance or hybrid/on-premises deployment is central. Validate the product and plan fit directly; the cited comparison page is marketing material, not an independent assessment. |
What the provider pages establish—and what they do not
Box’s business pricing page lays out plan-specific features and minimums. At the time it was accessed on October 4, 2026, it displayed Business Starter for up to 10 users, with 100 GB storage and a 2 GB upload limit, at $5 per user per month with a three-user minimum. Treat those as Box’s displayed plan figures, not a market statistic or a guaranteed current offer; pricing and plan terms can change.

Dropbox’s security page says: “Advanced sharing controls like password protection, expiration dates, and easy revocation of files and folders help ensure that only the right people have access.” This is Dropbox’s own description of its controls, not an independent security finding. Its business plan comparison is the place to check which tier includes the features your team needs.
Egnyte’s ShareFile comparison page describes its product capabilities and discloses that its opinions are as of November 2024. Use it to identify questions for the vendor, not as proof of a universal security ranking.
Rank #2
- Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
- Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
- Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
- Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
- Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
Plan a safer migration
- Inventory the current environment. Record libraries, permissions, shared links, integrations, and retention rules before moving anything.
- Match controls to real workflows. Identify what data is shared, who receives it, whether recipients need accounts, and what audit evidence the business must retain.
- Check the exact offer. Confirm the required controls, seat minimums, storage and upload limits, regional availability, data-processing terms, and current annual cost with the provider.
- Pilot representative folders. Include internal collaboration and external-sharing workflows, not just a sample of files.
- Validate before cutover. Test permissions, link behavior, administrator visibility, and recovery in the destination service before retiring the old libraries.
The three providers above are options to investigate, not an exhaustive list or a security ranking. The right fit depends on your users, data, sharing model, and required controls.
