The choice matters: an in-process schedule stops when its Java process stops, while an external scheduler can be configured to launch a fresh run. First check the access rules for each university site, then decide whether you need a viewport, element, or full-page image.
Before automating university pages
Check the terms and access rules for each specific university website, any applicable robots guidance, and a reasonable request frequency. Policies and technical behavior can differ from site to site; no single rule applies to all Indian universities. Selenium cautions: “Selenium will let you do this, but please make sure you are familiar with the website’s terms of service as some websites do not permit it and others will even block Selenium.” Selenium Project, Organizing and Executing Selenium Code.

Plan the capture around what you need to preserve. A normal WebDriver screenshot captures the current viewport; an element screenshot captures a particular element. Do not assume that a standard screenshot call captures an arbitrarily long page in full. Validate the result on representative pages and page lengths before relying on it.

Set up Java, Selenium, and Chrome
Add Selenium’s Java binding to your project using the current dependency instructions in the Selenium installation documentation. Selenium Manager is the default driver and browser management tool used by Selenium bindings. If you manage ChromeDriver yourself, keep its major version matched to Chrome’s major version. Selenium WebDriver documentation and Selenium Chrome guidance.
The example below uses headless Chrome, saves the visible viewport as a PNG, and runs weekly after an initial delay. Replace the sample URLs with pages you are permitted to access. The output directory must be writable by the account running the job.

Runnable Java example: capture a viewport every week
This example uses a fixed delay of seven days after each run completes. It is suitable only when the Java process remains running. It records failures to standard error and continues scheduling later runs.

}Use your real university URLs in URLS. The code waits for the document’s ready state and then pauses briefly; that does not guarantee that every asynchronous widget or lazy image has finished. For pages with a known content marker, prefer an explicit wait for that selector. Set the browser window size to the viewport you want to archive. The generated files are viewport PNGs, named by host/path and UTC capture time.

Using an external scheduler instead
For a one-shot job, remove the scheduler and invoke captureAll() from main, then let the process exit. Package the program with its dependencies and configure your operating system’s scheduler or job runner to launch it weekly. Specify the working directory and output path explicitly in deployment, and configure logs and failure notifications there. The scheduling tool—not Selenium or Java’s periodic executor—determines whether a missed run is retried after downtime.
Capture an element instead of the viewport
When the record should show one specific section, locate it and use Selenium’s element screenshot support. For example, after navigating and waiting for the element:

Waits, repeatability, and storage
Wait for the content you actually need
A completed document load does not necessarily mean all content is visually settled. Consent banners, client-rendered sections, delayed content, and lazy-loaded images can affect the result. For a page-specific capture, wait for a relevant element to appear or become visible. Use a short delay only as a deliberate settling measure, not as proof that the page is complete.
Keep each run identifiable
Use a timestamped filename and preserve the original URL in a log or metadata file. Keep a record of which URLs succeeded, failed, or timed out so that an absent image is not mistaken for an unchanged page. Store screenshots somewhere with enough space and an appropriate retention policy; the Java example writes to a local directory and does not provide backup or archival storage.
Expect environment differences
Browser version, fonts, viewport size, timing, and page changes can alter the image. Use a consistent runtime and window size when comparing weekly captures, but do not assume exact rendering parity across machines or runs. Validate representative pages before treating screenshots as an authoritative visual record.

- ChromeDriver session fails to start: check that Chrome is installed and available to the job account. If managing ChromeDriver manually, verify its major version matches Chrome; otherwise use Selenium Manager as the default management path supported by Selenium bindings.
- Screenshot is blank or missing content: the page may still be rendering, require a selector-specific wait, or have content that appears only after interaction. Wait for the intended content and inspect the result at the configured viewport.
- Consent banner or popup obscures the page: the site may display consent or other overlays in the automated session. Follow the site’s access rules and decide whether the record should include that visible state; do not assume Selenium removes overlays.
- A site blocks the run or presents a bot check: stop and review that institution’s policies and access requirements. Do not try to evade access controls.
- The weekly run does not happen after a reboot: an in-process executor only runs while its Java process is alive. Run it under an always-on service or configure an external scheduler to start a one-shot job and define downtime behavior.
- Images overwrite one another: ensure filenames include a unique timestamp and that the process can write to the chosen output directory.
- Only the top of a long page appears: the standard WebDriver screenshot is a viewport capture, not a dependable full-page method for every page. Use an element screenshot when appropriate, or validate a separately chosen full-page technique against pages of representative length.
