An agent following a meeting series should not carry every earlier transcript into every new prompt. It should retain meeting records, use the next meeting’s invite or agenda to retrieve the history that matters, and reason over that selected context alongside the current meeting. In a six-month meeting history, the hard part is not fitting more text; it is choosing which past decisions belong in the conversation.
Use a retain–recall–reason loop
A practical multi-meeting workflow separates storing history from selecting it for each new task:

- After a meeting, retain its record. Send the minutes or transcript to the memory system so it can inform later discussions.
- Before analyzing the next meeting, recall relevant history. Form a semantic query from the meeting subject, invite, and agenda—not just a generic request for all prior context.
- Reason over the new meeting and the retrieved memories together. Give the agent the current meeting material plus the selected historical context, then retain the new meeting for future queries.
This order makes the upcoming agenda the retrieval cue. A discussion about vendor risk, for example, may need earlier procurement decisions or MDM policy, but not an unrelated conversation about database schemas. Aneesh Tummmala describes this approach in his meeting-history implementation article, summarizing the design problem as: “The real problem is not context size. It is context selection.”
What the meeting-ten example shows—and what it does not
Tummmala reports that transcripts in his described system average about 1,200 characters. In his meeting-ten illustration, concatenating prior meeting text produces 10,800 characters of context, while a targeted recall returns approximately 2,400 characters. The recalled material reportedly surfaced procurement and MDM-policy context for a vendor-risk discussion instead of an unrelated database-schema conversation.

Those numbers describe the author’s example and dataset, not a controlled comparison or a general performance guarantee. They illustrate the trade-off: sending everything increases prompt volume, while selective retrieval depends on whether the query brings back the right decisions. The example does not establish retrieval accuracy across other organizations, meeting formats, or memory systems.
Separate historical backfill from live meeting processing
When preparing a demo with prewritten meeting history, historical seeding can be a different path from processing a live meeting. The author describes a POST /api/demo/advance-stage endpoint that injects prepared transcript text into the memory API in parallel. Those calls bypass Gemini’s reasoning step and push raw meeting text into the memory bank; the demo is described as representing six months of governance decisions.

This is an implementation pattern for loading prepared data, not evidence of a universal ingestion speed or a substitute for deciding how live meeting records should be processed. Keep the two flows explicit: backfill can seed source text directly, while the live workflow retrieves relevant history, analyzes the current meeting, and retains its record for later use.

How Hindsight organizes memory
Hindsight’s official materials describe three operations: retain for ingestion, recall for retrieval, and reflect for reasoning. Memory banks provide dedicated spaces for stored context. The ACL 2026 paper by Latimer et al., Hindsight: Structured Agent Memory that Retains, Recalls, and Reflects, describes four logical memory networks:

Plaud transforms a single conversation into multiple perspectives, providing faster, clearer insights, and unifies these inputs to deliver role-specific summaries that reflect your intent and priorities
- Dual-mode Recording: Switch between phone call and in-person meeting modes, capturing high-quality ambient sounds for meetings and presentations, while the Vibration Conduction Sensor (VCS) ensures clear call recordings by capturing internal phone sounds
- World: information about entities and facts.
- Experience: events and what happened.
- Observation: patterns or inferences drawn from records.
- Opinion: attributed beliefs or perspectives.
The paper describes retrieval as a pipeline combining vector search, keyword matching, graph traversal, and temporal filtering, backed by PostgreSQL with pgvector. Its abstract characterizes retain, recall, and reflect as handling ingestion, retrieval, and reasoning respectively. See the ACL Anthology record and Hindsight project materials for the system description and current project information.
Keep benchmark results separate from the meeting demo
The ACL Anthology record reports benchmark results for specific configurations: 83.6% on LongMemEval and 83.2% on LoCoMo with a 20B open-source model, and 91.4% on LongMemEval with Gemini-3 Pro. These are model- and benchmark-specific results reported for the paper; they do not measure the meeting-ten example and should not be treated as a prediction of accuracy for a particular organization’s meeting history.

Evaluate the retrieval design before relying on it
A memory system can reduce irrelevant prompt material only if the retrieved context is useful and safe to act on. Review the workflow against the cases that matter in your meetings:
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →- Agenda relevance: Does a query based on the invite retrieve the decisions and evidence needed for that topic, rather than merely keyword-adjacent material?
- Time and changing decisions: Can the agent distinguish an old policy from a later revision, and preserve when a decision was made or superseded?
- Traceability: Can a generated claim be tied back to the meeting record that supports it, so a reviewer can verify the evidence?
- Prompt volume: Does targeted retrieval keep context manageable without omitting critical dependencies or caveats?
- Access isolation: Are memory banks and retrieved records limited to the people, teams, and meetings authorized to see them?
- Failure handling: What should happen when recall returns nothing, conflicting decisions, or an apparently relevant but stale record?
These are engineering checks, not capabilities guaranteed by the architecture or by the author’s single example. Test representative agendas and deliberately include revised decisions, ambiguous queries, and access boundaries before using retrieved memories to inform consequential work.
